Choose a conference bag by starting with whether attendees need one, then matching its size, materials, construction, comfort and branding to what they will carry and how long they will carry it. A bag that is useful beyond the event is more likely to earn repeat use; an unwanted or flimsy giveaway adds cost and material without delivering that value.
Decide whether to give attendees a bag
Before comparing tote materials or requesting quotes, ask whether a physical bag solves a real attendee need. Registration materials may already be digital, and many attendees arrive with a bag of their own. An additional tote may be useful for a specific event kit, but it may also be unwanted. Use feedback from previous events to find out what people actually carried and kept. IAAPA advises organizers to consider everyday usefulness, likely lifespan, quality, whether recipients want the branding and the risk of tote saturation. There is no universal conference-bag size established by the available guidance. Build the specification around the contents and the route attendees will take with them.

- List the likely contents. Include registration materials, sponsor inserts, a notebook, a bottle and any other items attendees are expected to carry.
- Consider the carry time and route. A bag carried between sessions or across a trade-show floor needs to be comfortable when loaded, not merely large enough to hold the kit.
- Check the sample with the actual kit. Confirm that the contents fit without forcing the bag open or making it awkward to carry.
PPAI quotes Jennifer McFadden, communications director at BAG MAKERS, Inc., recommending “higher GSM material for greater durability, and wide adjustable shoulder straps for comfort.” PPAI, “Ready To Roll” The advice supplies no universal GSM threshold, so assess the material and straps against your contents and expected carry conditions rather than treating a particular weight as a standard.
Compare materials with construction in mind
Material labels alone do not establish how a specific bag will perform or what its full environmental impact is. For a custom conference tote, request the actual specifications rather than relying on a material name or a broad sustainability label. Durability depends on the construction of the bag as well as the fiber; no material in this comparison is established as the best choice for every event.
Keep the branding useful after the event
A bag is more likely to remain useful if its design does not tie it too tightly to a single conference. The University of Liverpool recommends minimal customization and avoiding event dates so merchandise can be used beyond one event. - Ask attendees whether they would carry the design in everyday settings.
- Check that customization does not undermine the bag’s practical use or appeal beyond the venue.
Evaluate value without assuming a reuse rate
MPI presents cost per impression as a planning lens for event merchandise, but the result depends on an estimated reuse and exposure assumption. MPI, “How to choose the right mix for your event” The available guidance establishes no verified, bag-specific reuse frequency or lifespan, so do not present projected impressions as measured outcomes.
Compare the delivered cost with the usefulness you expect, the number of bags likely to be left over and the product’s probable life. Treat any estimated repeat use as an explicit assumption, not a promised result. Also weigh material and disposal impacts against the chance that attendees will actually use the item.

Get supplier details before ordering

- What are the exact materials, composition, sourcing and production details?
- What are the delivered dimensions, material weight, strap style and construction?
- Can you review a sample with the intended event kit before approving the order?
- How is the customization applied, and what information supports any environmental claims?
- What are the print specifications, lead time, bulk minimum and total delivered cost?
Record attendee feedback after the event: whether people used the bag, what they carried in it and whether they would keep using it.
