A warehouse can track employee time with a dedicated clock, a shared tablet kiosk, a web or mobile app, or a combination. The right setup depends on where staff can clock in, how many people arrive at once, whether phones are allowed on the floor, how punches reach payroll, and how missed punches and other exceptions are handled. Under U.S. federal FLSA guidance, employers do not have to use a time clock; they do have to keep complete and accurate records for covered employees.

Choose a clocking method that fits the warehouse

Start with the actual clock-in journey: where employees enter, whether they can reach a device before starting work, and what happens during a shift change. A system that is convenient for an office may create queues or missed punches at a busy warehouse entrance.

Dedicated time clock

A wall-mounted or otherwise fixed clock gives workers a designated place to record time. Depending on the product, employees may identify themselves with a badge, card, PIN, or optional biometric check. It can suit a facility where personal phones are restricted or where a fixed clock is easier to supervise. Check that the device can be mounted and powered appropriately, works with the facility’s network, and supports the authentication method you intend to use. Shared tablet or kiosk

A tablet in a shared kiosk can provide a common clock-in point without installing a dedicated clock at every location. Plan for peak shift-change traffic, placement, charging or power, and access to the network. Ask how workers identify themselves and what the system does if the tablet is unavailable. ADP describes both an app-based shared tablet kiosk and a dedicated kiosk; it says its dedicated kiosk can work offline. Confirm the exact product, offline behavior, and payroll compatibility for your deployment with ADP.

Web or mobile clocking

Web and mobile options can help employees clock from permitted devices or locations, but they are not a fit if warehouse rules prohibit phones on the floor or workers cannot access a device at the right time. If location checks matter, ask how the feature works and what data it collects. Humanforce describes GPS, biometric, and QR clocking options, while Workforce.com describes timeclock and mobile/GPS clocking; these are vendor feature descriptions, not independent evaluations of accuracy or fraud prevention: Humanforce and Workforce.com.

Hybrid setup

A warehouse can combine fixed kiosks at entrances with mobile or web clocking for employees whose work requires it. This may accommodate different sites or roles, but it also creates more rules to administer. Decide who may use each method, how duplicate or conflicting punches are resolved, and which records supervisors review before payroll is finalized.

Compare systems by the work they must handle

Clocking in is only the first step. A useful warehouse employee time clock system should support the time records, approvals, and payroll handoff your operation actually uses. Vendor pages describe their own features; treat them as a starting point for questions, not proof of performance.

Shift volume and exceptions

Estimate how many workers will clock in during the busiest few minutes, not just the total headcount. Then walk through common exceptions: missed punches, meal or break corrections, shift transfers, overtime, and supervisor approvals. Ask whether employees can report a missing punch and whether supervisors can review a clear audit trail before payroll closes. Dayforce describes meal and break capture; Workforce.com describes missing-punch flags and attendance alerts. Confirm that the specific workflow matches your policies.

Payroll handoff

Ask whether the system has a direct connection to your payroll platform or provides an export your payroll team can use. Confirm which pay rules, employee identifiers, job or department codes, and approved corrections carry over. A connection alone does not ensure correct wages: someone must review exceptions and resolve errors before payroll is processed.

Reliability and rollout

Check power and network availability at each proposed clock location, and ask what workers and supervisors should do during an outage. ADP’s statement that its dedicated kiosk works offline is product-specific; do not assume the same behavior from a shared tablet, mobile app, or another vendor. Also plan for onboarding, replacement devices, support, and procedures when a clock or connection is unavailable.

Cost and seasonal staffing

Compare the full cost of hardware, subscriptions, implementation, support, and payroll integration. Ask how charges change when seasonal headcount rises, and whether inactive or temporary workers affect billing. Radius Time discusses active-worker billing on its page, but that is not a market-wide pricing benchmark; obtain a current quote for your expected staffing pattern.

Are fingerprint or photo checks necessary?

No single identity method is right for every warehouse, and a biometric clock is not a federal requirement. Badge, PIN, QR, mobile, or biometric options involve different trade-offs in convenience, device access, administration, and privacy. A biometric feature may be available from a vendor, but vendor availability does not establish that it prevents time fraud in your operation or that its use is lawful in every location.

Before choosing fingerprint or face-based verification, obtain jurisdiction-specific advice on notice, consent, retention, and other applicable rules. The sources here do not establish state-specific requirements. Also define a practical alternative for employees who cannot or should not use the chosen method, and a way to record time if the device fails.

What U.S. federal recordkeeping rules say

The U.S. Department of Labor’s Wage and Hour Division says the FLSA does not require a particular record format or timekeeping device. Its Fact Sheet #21 states, “Employers may use any timekeeping method they choose,” provided records are complete and accurate. The fact sheet lists employee identification and wage information as well as hours worked each day and workweek: DOL Fact Sheet #21: Recordkeeping Requirements under the FLSA.

Fact Sheet #21, revised July 2008, says covered employers should retain payroll records for at least three years and records used to compute wages—such as time cards, wage-rate tables, work schedules, and additions or deductions—for two years. Check whether later federal guidance or state, local, collective-bargaining, or industry-specific rules apply before setting a complete retention policy. A time clock does not by itself establish compliance; employers remain responsible for accurate records and correct wage treatment.

A practical buyer’s checklist

  • Map clock locations against entrances, work areas, phone restrictions, power, network coverage, and shift-change traffic.
  • Test the intended authentication method with actual work conditions, including gloves or other protective equipment where relevant.
  • Specify how meals, breaks, overtime, shift transfers, missed punches, approvals, and corrections should work.
  • Verify payroll integration or export with your exact payroll platform and pay rules.
  • Ask vendors to demonstrate outage behavior, audit trails, user onboarding, support, and device replacement procedures.
  • Price normal and peak staffing, including hardware, implementation, integration, support, and recurring charges.
  • For biometric options, obtain jurisdiction-specific legal review and define a non-biometric fallback.
