Choose a specialty coatings supplier by defining your substrate, end use, production process, required performance, and destination market before comparing products. Then verify the recommended grade with product-specific documents and tests—and qualify it under the conditions where it will actually be used. Packaging needs validation on the complete package and production line; industrial coatings need tests matched to service conditions; leather buyers should request evidence for their exact leather, finish, and process.

What should you define before comparing coating suppliers?

Start with a written application brief. A coating that performs on one substrate or production line may not perform on another, even if the broad application category is the same. Ask each supplier to recommend an exact grade and confirm in writing the assumptions behind that recommendation.

  • Substrate and construction: identify the material being coated and, for packaging, the full structure and ink system.
  • End use and service conditions: describe what the coated product must do, where it will be used, and the exposure it will face.
  • Production process: record application method, equipment, coat-weight needs, drying or cure conditions, line speed, and production scale.
  • Required performance: turn words such as “durable” or “slippery” into properties that can be tested, with acceptance limits.
  • Markets and restrictions: identify destination jurisdictions and any food-contact, emissions, restricted-substance, or other regulatory requirements.

This brief gives suppliers the same starting point and makes their recommendations easier to compare.

How do you compare suppliers on evidence rather than broad claims?

Use a common scorecard for every candidate. A product brochure or general capability statement cannot establish that a particular grade will work in your construction, on your line, or in your market.

Comparison area What to request or verify
Application fit Exact grade recommendation, substrate and use assumptions, application method, equipment fit, and specified process window.
Performance evidence Relevant test methods and results, the substrate or construction tested, trial conditions, and proposed acceptance limits.
Documentation and compliance Current grade-specific technical data sheet (TDS), safety data sheet (SDS), and declarations that state their scope and apply to the intended use and destination market.
Quality and change control Lot identification and traceability, certificate of analysis (COA) expectations, shelf-life controls, nonconformance handling, and change-notification practices.
Technical service Access to application specialists, testing or lab support, samples, scale-up help, and support during production trials.
Supply and business fit Regional supply, capacity, lead-time resilience, packaging and logistics, and commercial terms. Confirm these directly with each supplier.

PPG’s supplier quality manual for its Industrial Segment describes qualification, incoming-quality checks, special testing, change management, and risk management. Its Version 2 was revised in September 2024; the manual says printed copies are uncontrolled, so confirm the current controlled issue before using it as a requirement. ELANTAS describes customer-specific testing and application trials for industrial coatings. These are useful examples of evidence and support to ask about, not substitutes for evaluating the specific grade.

What should you ask a coating supplier?

  1. Which exact grade do you recommend for this substrate and end use, and what assumptions does the recommendation make?
  2. Which tests demonstrate the required properties, which methods were used, and can you test our actual substrate or package construction?
  3. Which TDS, SDS, and compliance declarations apply to our grade, use, and destination market, and what are their revision dates?
  4. What application method, process window, drying or cure conditions, storage conditions, and shelf life are specified?
  5. What lot documentation and COA parameters will we receive, and how do you handle traceability, changes, and nonconformances?
  6. What trial plan do you propose, and what measurable results will count as qualification?
  7. How will you support continuity of supply and notify us about material changes or shortages?

How do you qualify coatings for packaging?

Validate the coating on the complete package structure and production line, not just on a sample of the coating. Depending on the package’s function, define test methods and acceptance criteria for seal strength, release force, coefficient of friction, or barrier performance. Confirm results for the actual substrate, ink system, and line conditions.

Request the grade-specific TDS and SDS, then agree on the application method, coat-weight window, drying or cure schedule, storage conditions, and shelf life. Obtain written compliance documentation for the exact intended use and destination jurisdiction. PPG describes regulatory support for packaging coatings, including work related to food contact, RoHS, and VOC emissions; that broad support does not establish that a specific coating is suitable for your particular use.

Arctic Materials says its packaging coatings are not offered for direct food contact. That is a supplier-specific limitation, and a reminder that a coating’s relevance to packaging does not by itself establish food-contact suitability. Sherwin-Williams describes a Safety by Design process intended to screen packaging materials for regulatory and environmental compliance while maintaining package and application performance. Treat such process descriptions as stated capabilities, then request the documents and tests that apply to your product and market.

How do you qualify coatings for industrial applications?

Translate operating conditions into measurable requirements before asking for samples. Depending on the job, these may include adhesion, resistance to chemicals or moisture, thermal and mechanical limits, abrasion or wear, and friction behavior. Ask for relevant test methods and results, then agree on trial conditions and acceptance criteria before testing.

ELANTAS describes technical support, application trials, and customer-specific testing for properties including adhesion, thermal resistance, mechanical strength, and chemical durability. Ask the supplier to show how its proposed grade and evidence match your substrate and service environment. Separately establish incoming-quality checks, COA and shelf-life expectations, traceability, change management, nonconformance procedures, and continuity planning.

How should leather buyers assess coating suppliers?

For leather, request evidence tied to the leather and finishing process you actually use. Ask the supplier to identify the leather type and finish for which its recommendation is intended, the application process, the target appearance and hand, relevant durability properties, and any chemical restrictions. Require trial evidence on representative material and define acceptance criteria before qualification.

Zschimmer & Schwarz’s Industrial Specialities: Paints & Coatings catalog identifies leather-industry specialty chemicals and surface-treatment offerings across several substrate classes. A catalog listing establishes a relevant product category, not the fit or performance of a particular coating on a particular leather. Do not treat a general product description as a substitute for an application-specific trial.

What does a meaningful qualification trial look like?

A useful trial connects the supplier’s recommendation to observable results under realistic conditions. Before the run, align the supplier and your team on the materials, process settings, test methods, sampling, and decision criteria.

  1. Agree on scope: name the grade, substrate or full package construction, intended use, and production process.
  2. Set conditions: record relevant application, drying or cure, equipment, and operating conditions for the trial.
  3. Define measurements: choose tests that reflect the required performance and specify acceptance limits in advance.
  4. Document results: retain the grade and lot identifiers, test results, process conditions, and any deviations.
  5. Decide and control: record whether the grade passed, what limits apply, and how future material or process changes will be reviewed.

For packaging, the trial must represent the complete construction and line conditions. For industrial and leather uses, the tested substrate and service-relevant properties must match the intended application.

How should you make the final shortlist?

First remove candidates that cannot document application fit, required compliance, or a credible path to qualification. For the remaining suppliers, compare the same evidence categories and trial outcomes rather than ranking brands in the abstract. Include quality controls, change notification, technical support, and supply continuity alongside performance; a coating that passes a lab test is not fully qualified if the supplier cannot support controlled, repeatable production.
