Choose the platform that best supports your MSP’s sales-to-service workflow—not the one with the longest feature list. Your main options are CRM features within your PSA, a separate CRM connected to the PSA, or an MSP-focused sales and marketing layer. Compare them using the same real-world scenarios, especially lead follow-up, quoting, data handoff, campaign automation, reporting, adoption, and total cost.
Start with the workflow you need to improve
Before comparing products, identify where your current process breaks down. An MSP might need to track leads more consistently, automate follow-up, produce quotes faster, understand campaign performance, or give service teams better information when a deal closes. Those are different problems, and they do not necessarily require the same platform.
Map the process from first inquiry through onboarding: where a lead enters, who owns it, how it advances through sales stages, how a proposal is created, and what information delivery teams need after a win. Include the PSA your MSP actually uses and the people who will maintain the records. A CRM is useful only if staff can follow a shared process and keep its data accurate.
Choose among three platform approaches
| Approach | When to evaluate it | Questions to answer |
|---|---|---|
| CRM inside the PSA | Consider this when you want fewer systems or want account, opportunity, and service operations close together. The MSPCost buyer’s guide lists HaloPSA as a PSA with integrated CRM and describes opportunity-to-quote workflows as relevant to some MSP tiers. MSPCost’s buyer’s guide | Can it support your actual sales stages, segmentation, campaigns, and reporting? Can sales hand work to service delivery without duplicate entry? |
| General-purpose CRM connected to the PSA | Consider this when you need a dedicated pipeline or marketing platform and can support a connected software stack. MSPCost presents HubSpot as an inbound marketing and lead-generation example. MSPCost’s buyer’s guide | Can the vendor demonstrate the exact PSA connector you would use? Which records and events sync, in what direction and how often, and how are errors, duplicates, ownership, and integration costs handled? |
| MSP-focused sales or marketing layer | Consider this when you want sales, quoting, QBR, or campaign workflows oriented toward technology service providers. MSPCost describes Zomentum as a revenue platform for sales, quoting, and QBRs, and GlassHive as sales and marketing automation for IT providers. MSPCost’s buyer’s guide | Which functions are native and which depend on templates or services? How does the platform connect to your PSA and marketing channels, and what data can you export if you leave? |
These examples are starting points for evaluation, not independent evidence that one product is superior. Product capabilities and integrations can change; ask vendors to demonstrate your specific workflow.

Compare the capabilities that affect daily work
PSA compatibility and data flow
Do not accept the word “integration” as proof that the records you need will sync correctly. Confirm the exact PSA edition or configuration involved, the records and fields exchanged, sync direction and frequency, error visibility, duplicate handling, and who supports failures. A connector may move some data without supporting the handoff your team depends on.
MSPintegrations documents a B2B SaaS platform that connects inbound and scheduled events to PSA systems including Autotask, ConnectWise, and HaloPSA. That establishes an example of PSA integration products, but does not verify any particular CRM connector or its field-level behavior. MSPintegrations documentation

Sales pipeline and follow-up
Test whether the system supports your actual lead sources, segments, sales stages, reminders, opportunity history, and forecasting needs. Make sure a report can show the pipeline in terms your sales team understands, and ask what underlying data drives each number.
Marketing automation and content
Check for the campaign triggers, segmentation, email workflows, consent and preference handling, and campaign analytics you need. Also decide who will write and maintain the content. Automation cannot compensate for campaigns that lack an owner or useful material.

MSP Marketing CRM describes a service combining CRM and marketing automation with prewritten MSP campaign blueprints on Keap. Treat that as a provider’s description of its own offering, not independent validation; ask which elements are included, configurable, or service-dependent. MSP Marketing CRM
Quoting and the sales-to-service handoff
Walk through a real opportunity, including how recurring services are represented, how a quote or proposal is prepared, and what happens when it is won or lost. Then follow a signed customer into onboarding. Sales discovery and assessment information should remain available to the delivery team, rather than being stranded in notes or re-entered by hand. A Liongard sales guide recommends documenting assessment results during handoff. Liongard’s MSP sales guide

Reporting, usability, and adoption
Ask for a pipeline and campaign report, then trace the source data and attribution assumptions behind it. A technically capable platform can still fail if sales and service staff will not maintain accurate records or use the same process. Liongard’s 2019 guide emphasizes both PSA integration and consistent CRM use, while noting that the particular CRM choice matters less than those practices. Liongard’s MSP sales guide

- Intuitive interface of a conventional FTP client
- Easy and Reliable FTP Site Maintenance.
- FTP Automation and Synchronization
- Create a lead, record its source, and move it through your actual sales stages.
- Apply a segment and demonstrate how consent and preferences affect an automated follow-up.
- Convert an opportunity into a quote or proposal; show what happens when it is won and when it is lost.
- Identify which company, contact, opportunity, service, and account fields move between the CRM and your exact PSA. Demonstrate sync errors, correction, and duplicate handling.
- Show how a signed customer moves to onboarding and how sales discovery information remains available to the service team.
- Generate a pipeline or campaign report and explain its source data and attribution assumptions.
Record what the vendor demonstrates, what requires configuration or a separate service, and what remains unavailable. A polished overview is not a substitute for seeing your specific workflows operate.

Compare the cost of operating the system, not just the headline subscription. Ask for current written quotes and check:
- Which users or seats are included, and how additional seats are charged.
- Contact, email, campaign, or automation limits and the charges that apply if you exceed them.
- Migration and data-cleanup work, configuration, training, and ongoing administration.
- PSA connector, integration, or implementation fees, including which provider supports the connection.
- Onboarding, support coverage, renewal terms, and cancellation conditions.
- How you can export records and campaign data, and what assistance is available if you switch platforms.
Current, comparable pricing and contract details are not established by the available sources. Vendor quotes and terms may vary by configuration, region, and contract, so assess the written offer for your own MSP rather than relying on an assumed market price.

Make the decision against your must-haves
Use a short list of requirements drawn from your workflow, then compare each approach against the same criteria. An integrated PSA CRM may reduce system sprawl but still fall short of your marketing or pipeline needs. A separate CRM may provide specialized sales and campaign functions, but adds integration and administration work. An MSP-focused layer may offer relevant workflows, but verify which capabilities are included and how the data moves through your stack.
Choose a finalist only after it demonstrates the essential handoffs and data behavior, and after you understand its operating costs and exit terms. If no candidate can show that, keep evaluating rather than treating a broad feature claim as a fit.
