Verify the employer independently before you trust the vacancy, the recruiter, or any request for information. Type the company’s known web address yourself (or find it through a trusted source), open its careers section, and confirm that the same job appears there. Then verify the recruiter through contact details published on that independently located site. Do not pay to obtain a job, forward money from a check, or disclose Social Security, bank, or identity information until the employer and hiring process have been confirmed.
No single clue proves that an opportunity is genuine. A polished logo, an offer letter, or an email sent from a company-looking domain can all be copied. The Federal Trade Commission (FTC) puts the limitation plainly: “There’s no sure-fire way to detect a job scam, but there are red flags that should raise your suspicions.”
What you are actually verifying
A legitimate-looking careers page and a legitimate recruiter email are related, but they are not the same proof. Check three separate links in the chain:
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problems- The employer: Is there a real organization behind the name, with an independently located website and a way to contact it?
- The vacancy: Has that employer authorized this exact title, location, duties, and application route?
- The recruiting channel: Is the person who contacted you actually associated with the employer and this opening?
A genuine company can have a fraudulent advertisement copied onto a job board. A real vacancy can be paired with an impersonated recruiter. Conversely, an unfamiliar recruiter domain can sometimes belong to a legitimate staffing firm. Treat each link as a question to verify rather than allowing one reassuring detail to stand in for the others.

Use this independent verification sequence
1. Find the company website without using the recruiter’s link
Do not begin by clicking the careers URL in an unsolicited message. Type a company domain you already know, use a trusted directory or professional contact to find it, or search for the organization and then inspect the result carefully. A scammer can register a look-alike domain, redirect a link, or copy the appearance of a real site.
- Enter the company’s known address manually, or locate it from a source you already trust.
- Check that the page uses the expected domain spelling. Look for extra words, substituted characters, unusual country-code endings, or a domain that merely resembles the company name.
- Open the company’s main site, then use its own navigation to reach “Careers,” “Jobs,” or “Work with us.”
- Save the careers-page address you reached independently. Use this address, not the message’s link, for the next checks.
The FTC advises visiting an official company website to verify openings because scammers sometimes copy or alter genuine postings and circulate them on employment platforms. A search result, social profile, or familiar job board can help you find the real site, but none of those sources alone proves that a particular advertisement was authorized.
2. Match the exact vacancy
Open the job listing on the independently located careers page and compare it line by line with the opportunity you received. Record differences instead of dismissing them as harmless formatting changes.
| Detail to compare | What a consistent match looks like | What requires clarification |
|---|---|---|
| Job title | The title is the same or the employer clearly explains an internal variation. | A different level, department, or occupation appears in the message. |
| Location and work arrangement | City, country, remote status, and travel expectations agree. | The message promises remote work or a different country that the official listing does not mention. |
| Duties and requirements | Main responsibilities, qualifications, and schedule are recognizable. | The message adds unrelated work, unusually little qualification, or vague duties. |
| Application method | The employer’s site directs applicants to the same form or recruiting system. | You are told to bypass the company system, reply with identity documents, or use a new payment or messaging channel. |
| Posting status | The opening is currently visible and accepting applications. | The page has no such role, shows a closed role, or lists a materially different employer. |
A posting on a well-known employment platform does not establish authorization. The FTC describes hijacked advertisements on job and career websites. If the job is absent from the employer’s site, pause and ask the employer through an independently published channel before sending anything. Do not let the recruiter explain away the absence using contact information that exists only in the suspicious message.
3. Examine and independently confirm the recruiter
Read the complete sender address, not just the display name. Compare the domain after the “@” with the domain shown on the company’s official site. A personal account such as Gmail or Yahoo is a warning sign for a purported in-house recruiter, but it is not conclusive: companies may use outside staffing agencies, and a scammer can also use a professional-looking domain.

Inspect the message for inconsistencies:
- The display name and actual address do not match.
- The reply-to address differs from the sender address.
- Spelling, signatures, job titles, or telephone numbers change between messages.
- The sender asks you to move immediately to an encrypted chat, personal phone, or another account.
- The domain is a close misspelling, a free subdomain, or unrelated to both the employer and a named staffing firm.
These clues tell you what to investigate; they do not decide the case. A company logo, branded signature, invitation, or formal offer letter can be copied. Likewise, a company-domain address is not proof that the mailbox is controlled by the employer.
Confirm the person through a phone number or contact method obtained independently from the employer’s website. Call the main number or use the site’s published recruiting contact, explain that you received a message about the specific role, and ask whether the person and vacancy are real. Do not use the telephone number, email address, calendar link, or attachment supplied by the questionable message as your only verification route. If the employer cannot confirm the recruiter, stop the exchange while you investigate further.
4. Evaluate the recruiting process, not just its branding
Unexpected outreach deserves extra scrutiny, especially when the message contains little information about the work. Be cautious about:
- An offer made before a substantive interview or before anyone discusses your experience.
- Interviews conducted only by text or chat, with no verifiable company contact.
- Unusually high pay for simple work, unusually rapid hiring, or claims that no experience is needed for a specialized role.
- Pressure to respond, sign, pay, or send documents immediately.
- Vague duties, a missing supervisor, unclear location, or a refusal to explain how the work is performed.
- A demand that you keep the opportunity secret or communicate only through the recruiter’s preferred channel.
These are warning signs, not a universal checklist. A legitimate employer may hire quickly, conduct an initial text exchange, use an external recruiter, or advertise a broad salary range. The question is whether the process remains coherent and can be confirmed through an independent company channel. Ask for the department, hiring manager, work location, interview format, and next step; then verify the answers against the official listing and the employer’s response.
Be especially skeptical when the process combines several weak signals: a vague role, a personal email, an interview consisting only of chat messages, and pressure to accept before you can call the company. The combination matters more than any single formatting error.

5. Keep money and identity information out of the conversation until verification is complete
A job should not require you to pay to obtain employment. Do not send money for registration, training, equipment, background checks, or “refundable” deposits. Do not buy gift cards. Do not deposit a check and send part of the proceeds onward, even if the sender promises reimbursement; a deposited check can later be reversed while money you forwarded is gone.
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
Delay sensitive information until you have independently confirmed the employer and reached a genuine hiring or onboarding stage. That includes your Social Security number, bank-account details, copies of identity documents, and credentials that could expose another account.
| Request | Safe response while legitimacy is unconfirmed |
|---|---|
| Fee to apply, be hired, or receive equipment | Decline and end the exchange. A payment request is not a normal verification step. |
| Check to deposit and partially return | Do not deposit it or forward funds. Verify through an independently found employer contact. |
| Gift cards, cryptocurrency, wire transfer, or other irreversible payment | Do not buy or send anything. |
| Social Security, bank, or identity details before confirmation | Withhold the information and request a verifiable hiring process first. |
| Equipment purchase with promised reimbursement | Do not pay the recruiter or a linked seller. Confirm the arrangement directly with the employer. |
Legitimate onboarding may eventually require lawful identity or payroll information, but timing and channel matter. Submit such data only through a verified employer system or a contact path you reached independently, and only after the employer has confirmed the role.
6. Research names and report suspected fraud
Search the company name, recruiter name, telephone number, and distinctive phrases from the message with terms such as “scam,” “complaint,” or “fraud.” Use results as leads. A negative review can be mistaken, an old complaint may concern a different business, and a clean search result does not certify a new scam.
In the United States, FTC consumer guidance directs people to report suspected fraud at ReportFraud.ftc.gov. Keep copies of the message, sender address, advertised URL, payment instructions, and dates so your report describes the conduct accurately. Outside the United States, reporting channels and legal remedies differ; use the official consumer-protection or law-enforcement body for your jurisdiction.

Warning signs and reassuring evidence are not equal
Use the following comparison to decide what each clue can and cannot establish. “Reassuring” means it supports further verification, not that it proves legitimacy.
| Observation | What it may indicate | What it cannot prove |
|---|---|---|
| The role appears on the employer’s site | The employer may have authorized an opening with that description. | That the person who contacted you is the authorized recruiter. |
| The sender uses a company-looking domain | The address resembles an organizational mailbox. | That the mailbox or domain is controlled by the employer. |
| The sender uses Gmail or Yahoo | A warning sign for someone claiming to recruit internally. | That the offer is definitely fraudulent; an outside agency could be involved. |
| The email includes a logo or polished offer letter | Only that the sender copied professional presentation. | That the job, sender, or document is genuine. |
| A search finds complaints | A reason to investigate the company, recruiter, and details more closely. | That every complaint is accurate or concerns this opportunity. |
| The recruiter demands urgency or payment | A serious scam warning requiring you to stop and verify. | That every other part of the message can be ignored; preserve evidence and report it. |
How to decide when clues conflict
Do not average red flags into a numerical score; the FTC does not publish a formal scoring system for this process. Instead, require independent confirmation of the four essentials:
- Opening: The exact job is visible on a careers page you found without the recruiter’s link.
- Identity: The employer confirms the recruiter and the vacancy through a contact method published independently.
- Process: Duties, location, interview steps, and application route make sense together.
- Safety: No one asks you to pay, forward money, buy gift cards, or surrender sensitive data before confirmation.
If one essential is missing, treat the opportunity as unverified rather than “probably safe.” Ask a specific question through the independent channel. If the answer conflicts with the official listing, avoid the message’s links and stop sending information until the conflict is resolved.
Legitimate variations that can confuse applicants
Not every difference is fraud. A company may use a parent-company domain, an applicant-tracking system, or an external staffing agency. A listing can change title or close while a recruiter is still contacting candidates. A recruiter may begin with a short email or text before arranging a video or phone interview.

Examples of a careful verification decision
Matching listing, unverified recruiter
You find the exact role on the company site, but the message comes from a personal address. The listing is useful evidence that the vacancy exists; it does not authenticate the sender. Call the employer’s published main number, ask whether the named recruiter works on that requisition, and apply through the official system if the employer confirms the contact.
Professional domain, missing listing
The sender uses a domain that resembles the company’s and supplies a detailed offer, but the independently located careers page has no matching job. Do not rely on the domain or document. Ask the employer through its published contact whether the role exists. Until it confirms the opening, treat the message as unverified and do not send identity information.
Real listing, check-and-forward request
The role appears on the official site and the recruiter is confirmed, but someone asks you to deposit a check and return part of it for equipment. The payment instruction is unsafe even when other details are genuine. Decline the transaction, preserve the records, and report suspected fraud.
Recommended Free Tools
When to stop responding
End the exchange when the sender refuses independent confirmation, changes the job details, insists that you use only their links or phone number, pressures you to act before you can verify the role, or requests money or sensitive information. You do not need to prove the sender’s motive before protecting yourself. Preserve the original messages and attachments, avoid clicking further links, and use the employer’s independently found contact information for any final verification.
Jurisdiction and limits
The cited guidance comes from US federal consumer advice, so reporting routes, employment practices, and legal remedies elsewhere may differ. The verification habits are broadly useful, but no source establishes that every legitimate employer uses one interview format or that a company-domain email is conclusive proof. When local rules or a regulated profession are involved, consult the relevant official authority in your country or region.
