Start with the company’s GSTIN, not just its trading name. Search every GSTIN registered to the legal entity and state on the official GST Portal, then obtain the company’s notices, replies, orders and appeal papers through authorised access. A public taxpayer lookup is useful for identity and status, but it is not a complete public docket of another taxpayer’s notices or litigation.
To establish the position defensibly, match each document to the legal entity, GSTIN, issuing authority, tax period and procedural stage. Treat a show-cause notice as an allegation or proposed demand until an adjudication order and any appeal, stay or payment record show what ultimately happened.
What you can and cannot see in a GST search
Indian GST records fall into three different access categories. Confusing them is the main reason a search produces an overconfident conclusion.
| Record type | Typical access | What it can establish | Important limitation |
|---|---|---|---|
| GST taxpayer profile | Public GST Portal taxpayer search, using a GSTIN or other available search option | Whether the identifier corresponds to a taxpayer and the status and basic details displayed by the portal on the date checked | It is not a complete public notice or litigation docket |
| Notices, replies and orders in the taxpayer account | Authenticated taxpayer-facing GST Portal functions | The documents and workflow visible to that taxpayer account, including the portal’s notices and orders areas | GSTN documentation does not establish that an unrelated third party can open every company notice without authorised access |
| Appeals, writs and other litigation records | The relevant appellate, tribunal or court record system, where records are available, plus documents supplied by the company | A procedural case, order or outcome recorded by that forum | Search interfaces, party-name support and coverage vary; an empty or unavailable public search is not proof that no case exists |
GSTN describes taxpayer search and taxpayer-account notice functions, including an “Additional Notices and Orders” area, in its portal functionality documentation: GSTN’s January–March 2021 functionality compilation. The document describes the feature, but it does not turn every taxpayer’s authenticated documents into an open public database.

Collect the right company identifiers first
A company may hold separate GST registrations in several states. A search by one registration can therefore miss records belonging to another registration of the same legal entity.
- Record the legal name. Use the name on the company’s certificate of incorporation, contract, audited accounts or other authoritative corporate document. Keep the trade name separately; a brand or branch name is not proof of the contracting entity.
- Ask for the CIN and PAN when available. These help distinguish similarly named companies and connect GST registrations to the correct legal person. They are identity cross-checks, not substitutes for a GSTIN search.
- List every operating state and GSTIN. Request the complete registration list from the company. Include registrations used by branches, warehouses or special business units if they are relevant to the transaction or period under review.
- Check the legal entity behind each GSTIN. Compare the legal name and other taxpayer details displayed by the official search with the company documents. Do not treat a similar trade name as a confirmed match.
Save the GSTIN, the date and time of each lookup, and the visible result. Portal information can change, so a dated record is more useful than an undated screenshot.
Search each GSTIN on the official GST Portal
Use the official GST Portal taxpayer-search function for every relevant registration. The portal’s public result should be treated as an identity and status check, not as a search for all notices.
Quick wins for a faster PC:
Clear out junk files and repair common Windows errorsFree Scan →Scan for outdated or missing drivers - takes under a minuteDriver Scan →- Open the official GST Portal and select its taxpayer-search function. Choose the search method the portal currently presents, such as a GSTIN/UIN lookup.
- Enter one GSTIN at a time and complete any verification step shown by the portal.
- Check the displayed legal name, registration status, registration date, state or jurisdiction and other visible taxpayer information.
- Compare those details with the company’s legal documents. Record a mismatch rather than silently correcting it.
- Repeat the process for every GSTIN on your list, including registrations in other states.
- Keep a dated evidence log showing the GSTIN searched, the result displayed and any portal error or unavailable result.
The public result may show that a registration is active, cancelled or otherwise marked by the portal, but it does not by itself tell you whether a notice was issued, answered, adjudicated, stayed, paid or appealed. An empty result can also reflect an incorrect GSTIN, an identity mismatch, a portal limitation or the absence of information in that public view.
How to obtain a company’s notices and orders lawfully
For a buyer, lender, investor, customer or other unrelated third party, the practical route is to request documents from the company or its authorised tax representative. Do not ask for, use or attempt to bypass another taxpayer’s login credentials.
GSTN’s described taxpayer-account functions include notices and orders and an “Additional Notices and Orders” area. Those are authenticated functions. The documentation does not establish a right for an unrelated person to inspect every document in another company’s account.

Request a complete document pack
Ask for documents covering the review period and all relevant GSTINs:
Free tools Windows power users keep installed
One-click scans. No signup required.
- Show-cause notices and other notices, including attachments and relied-upon statements
- Replies, written submissions, request-for-adjournment letters and hearing records
- Orders-in-Original, demand orders, rectification orders and recovery communications
- Appeal forms, acknowledgements, grounds of appeal and stay applications
- Appeal orders, tribunal or court orders, and directions affecting recovery
- Payment challans, instalment arrangements, refunds, reversals or other evidence of settlement
- Correspondence identifying the GSTIN, tax period, authority and document reference
Ask the company to certify that the pack is complete for the specified GSTINs, periods and forums, or to state exactly what is excluded. A document-only review can establish what was supplied and verified; it cannot prove that no undisclosed matter exists.
Read every notice as a procedural document
Do not compare headline amounts until you know what each figure represents. A notice may propose tax, interest or penalty; a later order may confirm a different amount; an appeal or stay may change what is recoverable.
| Field to capture | Why it matters |
|---|---|
| Issuing authority and jurisdiction | Identifies who issued the document and which forum or commissionerate handles the matter |
| GSTIN and legal name | Confirms that the document belongs to the company and registration under review |
| DIN or other document identifier | Provides a precise reference for cross-checking correspondence and later orders |
| Date of issue and date of service | Separates the document’s creation date from the date a response period may begin |
| Tax period | Shows which returns, supplies or transactions are being examined |
| Statutory provision | Indicates the legal basis and the procedural route that may follow |
| Amount proposed | Shows the allegation or proposed demand; it is not automatically a final liability |
| Reply, hearing and adjournment history | Shows whether the taxpayer responded and whether the authority proceeded after a hearing opportunity |
| Adjudicated amount | Records what an order actually confirmed, which may differ from the notice |
| Appeal, stay and payment status | Shows whether recovery is being challenged, suspended, paid or otherwise resolved |
Preserve the notice, the response and the resulting order together. Reading only the first notice can turn a proposed amount into an inaccurately reported “tax liability.” Conversely, reading only an appeal filing can hide the underlying allegation and the amount originally confirmed.
Trace appeals with the correct form and stage
CBIC’s Goods & Service Tax Appeal Rules identify forms for different appeal levels. Use the form number as a clue to the procedural stage, then verify the actual acknowledgement and order supplied for the case.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Fix the driver behind crashes, sound loss and screen glitches3Repair Windows errors before they cause bigger problems| Form | Stage identified in the CBIC rules | What to request or verify |
|---|---|---|
| APL-01 | Appeal to the Appellate Authority | Filed form or acknowledgement, date of filing, order challenged, grounds and any stay or payment condition |
| APL-05 | Appeal to the Appellate Tribunal | Tribunal acknowledgement, appeal number, pre-deposit or other compliance evidence, hearing and interim orders |
| APL-08 | Appeal to the High Court | High Court filing or case reference, challenged order, admission or interim directions and final disposition if available |
An appeal form alone does not establish success. Determine whether the appeal was admitted, dismissed, withdrawn, remanded, partly allowed or finally decided. Check whether a stay applies, what amount remains payable and whether a later order superseded the document you first received.

Special routing for DGGI notices handled by a Common Adjudicating Authority
Some Directorate General of Goods and Services Tax Intelligence (DGGI) show-cause notices are adjudicated by a Common Adjudicating Authority (CAA). For the specified Orders-in-Original in that arrangement, read the authority and review route carefully rather than assuming the ordinary commissionerate path.
CBIC Circular No. 250/07/2025-GST, dated 24 June 2025, states: “The Principal Commissioner or Commissioner of Central Tax under whom the Common Adjudicating Authority (Additional/ Joint Commissioner) is posted shall be the reviewing authority in respect of such O-I-Os.”
This sentence applies to the specified CAA Orders-in-Original covered by that circular. It is not a universal rule for every GST adjudication. Match the order to the circular’s scope, identify the CAA and the officer’s posting, and then verify the applicable review, revision or appeal document.
Checking court and tribunal litigation without overclaiming
A GST dispute can move beyond the taxpayer account into an appellate tribunal, High Court or another court proceeding. The available official materials for this guide do not establish the current search interface, party-name search capability or completeness of every eCourts, High Court or GST Appellate Tribunal record system. Avoid giving a company-name search result more weight than the underlying forum’s coverage supports.
Use the case number, appeal number, order number, legal entity name, GSTIN and tax period supplied in the company’s documents to direct a search of the appropriate official forum where a searchable record exists. Confirm that a result refers to the same entity; common names and group companies can produce false matches. Save the order or docket entry and note the date retrieved.
If no public record is found, report that no record was located in the forum and search parameters used. Do not translate that into “the company has no GST litigation.” A private taxpayer document, an unindexed matter, a proceeding under a different legal name or an unavailable public database can all produce an empty result.

A defensible due-diligence workflow
- Define scope. Set the legal entity, review date, GSTINs, states, tax periods and forums covered. State whether the work is a document review, a public-record search or both.
- Confirm identity. Match each GSTIN’s displayed taxpayer details to the legal name and corporate identifiers. Resolve mismatches before assessing risk.
- Run the public searches. Search each GSTIN separately, record status and visible information, and retain the check date.
- Obtain authorised documents. Request the company’s notices, replies, orders, appeals, stays and payment evidence for the defined scope.
- Build a matter register. Give each matter a unique row containing authority, GSTIN, tax period, statutory provision, document dates, amounts and procedural stage.
- Reconcile the timeline. Link notice to reply, reply to adjudication, adjudication to appeal and appeal to stay, payment or final outcome. Flag missing links.
- Check the appropriate forum. Use the identifiers in the documents to search an official appellate, tribunal or court record where available, while recording the forum’s search limitations.
- Report only what the evidence supports. Separate documents reviewed, records located, unresolved gaps and conclusions about current exposure.
Compare matters using status, not just amount
When several notices or cases are found, compare them on the dimensions that change financial and legal significance:
The Tool Desk
Outbyte PC Repair FREEClear out junk files and repair common Windows errorsFree Scan →Outbyte Driver Updater FREEFix the driver behind crashes, sound loss and screen glitchesFind Drivers →- Authority and forum: a departmental notice, appellate order and High Court proceeding are different procedural events.
- Allegation versus outcome: keep proposed demand, adjudicated amount, amount stayed, amount paid and amount overturned in separate fields.
- Tax period and legal basis: identical amounts for different periods or provisions are not the same risk.
- Deadline and procedural stage: an unexpired reply period, a pending appeal and a final order require different actions.
- Recovery position: identify whether recovery is stayed, secured, paid, under instalment arrangement or not addressed in the supplied papers.
- Entity match: confirm the GSTIN and legal person before aggregating amounts across registrations or group companies.
A useful register therefore has separate columns for proposed tax, interest, penalty, confirmed amount, paid amount, stayed amount and unresolved amount. If a value is not stated in the source document, mark it as “not stated” and identify the document that was unavailable.

Searching only the company name
Why it fails: legal entities can share similar names, trade names can differ from incorporated names, and one company can have multiple state registrations.
Correction: obtain every relevant GSTIN, search each one and reconcile the displayed legal name with corporate records.
Assuming a public GST profile contains notices
Why it fails: taxpayer-account documents are authenticated and are not established as a complete public notice docket.
Recommended Free Tools
Correction: request the document pack from the company or an authorised representative and record the scope of the request.

Calling a show-cause notice a final tax liability
Why it fails: the amount may be reduced, withdrawn, remanded, stayed or overturned after a reply and adjudication.
Correction: label the amount as proposed until an order confirms it, then track appeal, stay and payment status separately.
Using an empty court search as proof of no case
Why it fails: public databases differ in coverage and search capability, and matters may be filed under another identifier or legal name.
Correction: document the forum, search terms and date, then qualify the result as “no record located in the searched source.”
Aggregating group-company liabilities
Why it fails: a GSTIN belongs to a particular registration and legal entity; a parent, subsidiary or branch may be a different taxpayer.
Correction: aggregate only after proving the entity relationship and stating the basis for inclusion.
How to write the final finding
Use a dated, bounded conclusion. For example:
- “The review covered GSTINs [listed in the report], the period [dates] and the documents supplied on [date].”
- “The GST Portal taxpayer searches showed the statuses recorded in the attached log on [date].”
- “The documents reviewed include [notice/order/appeal categories]. The proposed amount of [amount] was [or was not] confirmed by the order dated [date].”
- “The appeal record supplied identifies form [APL-01/APL-05/APL-08] and is [pending/decided/other status shown by the record].”
- “No additional record was located in [named official forum] using [identifiers] on [date]. This does not establish that the company has no other GST notice or litigation.”
Use “records and documents reviewed” when that is what you actually did. A statement that the company has no GST litigation requires broader, verified coverage than a single taxpayer lookup or an incomplete public search can provide.
When specialist help is appropriate
Consider an Indian GST or indirect-tax professional when a notice alleges a material amount, a limitation or response deadline is close, several GSTINs are involved, a DGGI/CAA order is present, or an appeal or stay must be evaluated. The specialist should receive the complete chronology and documents, not just the headline amount. Their role is to interpret the applicable law and procedural options; it does not remove the need to verify identity, dates and source records.
