Start with the booking confirmation and the reservation’s own change and cancellation terms. They tell you which company handles the request, whether your fare or room rate allows it, the deadline, and any fee. If an airline cancels or significantly changes a flight, treat that as a disruption—not a voluntary cancellation—and check the passenger-rights rules that apply to your trip.
What to check before you request a change or cancellation
Find the confirmation email and the booking in your online travel agency (OTA) account. Check that the reservation is confirmed, then note the supplier, booking reference, payment arrangement, and the channel the confirmation says to use. For a hotel, the confirmation may also say whether the property or the OTA took payment.
Read the terms attached to this specific reservation rather than relying on a general policy page. Look for whether changes are allowed, the cancellation deadline and any stated local time, fees, fare or rate differences, and what happens if you do not show up. A non-refundable or restricted booking may not offer the same choices as a flexible one.
- Voluntary request: You want to cancel or change a booking that the airline or property is still providing.
- Supplier-initiated disruption: The airline cancels the flight or makes a significant change. This may give you options that do not apply to a voluntary cancellation.
- Payment and refund route: Identify who charged you and, for a flight, the merchant of record shown on your payment statement. This can matter when determining who issues a refund.
Before accepting a voucher, credit, or alternative itinerary, compare it with any refund option available for your situation. A voluntary change is not automatically free, and a rule that applies to a direct airline booking may not apply to an OTA purchase.

How to request a change or cancellation through an OTA
- Open the reservation. Sign in to the OTA account or use the link or instructions in the confirmation email. Confirm you are looking at the right passenger, dates, and booking reference.
- Choose the requested action. Use the reservation’s manage-booking controls or the help channel named in the confirmation. If the option you need is not available online, contact the OTA using its stated support route.
- Check the cost before confirming. Review any cancellation or change fee, fare or room-rate difference, and the amount or form of any refund, credit, or alternative offered. If the terms are unclear, ask the OTA to explain the result before you authorize the request.
- Save the outcome. Keep the request record and the OTA’s confirmation. Check whether the booking now shows as changed or cancelled, and retain any refund or credit details provided.
For a U.S.-connected flight that the airline cancelled or significantly changed, do not process it as an ordinary voluntary cancellation without first checking your disruption options. The U.S. Department of Transportation (DOT) advises customers who booked through an OTA to contact the travel agent first about a refund.
Which flight rules may apply?
Refund and cancellation rights depend on the trip, the cause of the change, and the jurisdiction. These examples are not a universal policy for every airline, OTA, or itinerary.

The DOT also states: “Airlines are not required to make changes to a ticket free of charge.” That is why a voluntary date change may involve a fee or a fare difference even when the airline’s separate 24-hour cancellation-or-hold requirement applies to a qualifying direct booking.
How hotel changes and cancellations work
For accommodation, check the policy attached to the specific reservation. The property’s cancellation terms can determine whether a fee applies and which changes are permitted; a general OTA help page cannot promise that every property will allow the same options.

Booking.com as an example
Booking.com’s customer-service guidance says available changes can be initiated through the confirmation email or Booking.com, but the property’s policy determines which changes are available. It says a free-cancellation booking does not incur a cancellation fee when cancelled within the permitted period; a late cancellation or a non-refundable booking may incur a fee. The confirmation indicates whether the property or Booking.com handles payment.
Booking.com’s accommodation terms describe the reservation as a booking made directly with the service provider, with the ability to change or cancel depending on the booking terms. The platform says its policy information is based on what the provider supplies. Treat these as Booking.com-specific explanations, not rules for every OTA or property.

If the policy or refund route is unclear
- Ask the OTA to identify the exact fare or rate term governing your request, the applicable deadline, and any fee or price difference before you proceed.
- For a flight disruption, state that the airline cancelled or significantly changed the flight, rather than describing your request only as a voluntary cancellation. In the U.S., DOT’s guidance is to contact the OTA or travel agent first when you booked through one.
- For a refund, check who took payment and who is identified as the merchant of record where relevant. Save the booking confirmation, correspondence, and transaction details.
- If your trip or dispute falls outside the U.S., EU, or UK examples above, consult the applicable local passenger-rights regulator and the terms for your reservation. The cited examples do not establish rights for every jurisdiction or transaction.
