Calculate billable hours by identifying time that qualifies under your client agreement, converting that time to decimal hours, applying the agreed rounding rule, and multiplying by the applicable rate. A clear record should show the work, hours, rate, and line amount so you and your client can check the invoice.
How to calculate billable hours
- Record the work as it happens. Note the client, project, date, and task while the details are fresh. A regular time-entry routine is more reliable than reconstructing a week from memory. Stripe recommends tracking work as it happens and organizing entries by task type.
- Separate billable from non-billable time. Bill only work that qualifies under the agreement. Keep breaks and general administration separate when they are not agreed billable items.
- Convert minutes to decimal hours. Use
hours + (minutes / 60). For example, 1 hour 30 minutes equals 1.5 hours, not 1.30 hours. - Apply the agreed rounding rule. Follow the contract or other applicable terms consistently. Whether time is rounded per entry or after accumulating a day or billing period can change the total.
- Multiply by the applicable rate. Use the agreed rate for that task, role, or rate group. Calculate each line, then add the line amounts for the pre-tax subtotal.
- Review before invoicing. Check the entries against the agreed scope, confirm the rates and descriptions, and reconcile the line amounts and totals. Handle tax, expenses, discounts, and other adjustments according to the applicable terms and rules.
Example: 1.5 eligible billable hours × $100 per hour = $150 before taxes, discounts, expenses, or other adjustments. This is an arithmetic illustration, not a typical rate or reported industry figure.
Choose and apply a rounding policy
There is no universal rounding increment established by the cited guidance. Stripe describes examples of rounding to 5, 10, or 15 minutes, while emphasizing fairness, consistency, and transparency. Choose a method that fits the agreement and any applicable professional obligations, disclose it, and apply it the same way to every relevant entry. Stripe’s guide and Everhour’s calculation guide both stress consistent application; Everhour says to apply rounding at the level specified by the client agreement.
Rounding each entry and rounding a combined daily or invoice total may produce different billable time. Billable’s hourly invoice template guidance puts the contract point succinctly: “Pick one increment, put it in the contract, and use it on every line.” Billable’s guidance does not establish that any one increment is right for every engagement.

Keep enough time precision for the calculation, then format currency consistently for the invoice. Beeline Professional documents an example that converts 8 hours 25 minutes to 8.41667 hours and retains full time precision for rate multiplication while displaying monetary amounts to two decimal places. Group work so each entry is understandable and traceable to the client, project, and task. Show the description, hours, rate, and line total; then summarize total hours and the amount due. Stripe recommends specific task descriptions and an invoice table with hours, rates, and line totals. Attach a detailed timesheet when the contract or the client’s finance process calls for one. Choose a tracking or invoicing method
The right format depends on whether you need to record time, calculate charges, or prepare the client-facing invoice. Compare the workflow before choosing:

Common billable-hours mistakes
- Entering minutes as decimal digits: 1 hour 30 minutes is 1.5 hours, not 1.30.
- Rounding inconsistently: use the disclosed rule at the level specified by the agreement.
- Billing every recorded hour: recorded time is not automatically billable; check the agreement and separate non-billable entries.
- Using vague descriptions or hiding the rate: show enough detail for the client to understand the work and verify the calculation.
- Applying the wrong rate: match each task or role to the agreed rate.
- Skipping reconciliation: compare entries, line amounts, subtotals, and invoice totals before sending.
Scope and local requirements
This is practical billing guidance, not legal, tax, payroll, or jurisdiction-specific advice. Contract terms and location can affect rounding, taxes, timekeeping, and record-retention obligations. Stripe also describes its guidance as general information rather than legal or tax advice. Check the requirements that apply to your agreement and location.
