To book a flight and hotel through an online travel agency (OTA), compare options for the same dates and travelers, check the full price and restrictions, enter traveler details carefully, and verify the final terms before paying. Save both confirmations. An OTA arranges bookings as an intermediary, so the airline, property, and OTA may have different roles if you need help or a change.
1. Search with the right trip details
Enter your departure and arrival locations, travel dates, and passenger count. For hotels, use the same dates and specify the correct number of guests and room occupancy. These details determine which itineraries and rooms are available, so correct them before comparing prices.
2. Compare flight options and restrictions
Look beyond the headline fare. Compare the full price, departure and arrival times, number of stops, airports, and the airline operating each flight. An itinerary may be sold by one airline but operated by another; check the operating carrier and its applicable rules.

For airfare displayed in the United States, the U.S. Department of Transportation (DOT) says advertised prices must include applicable government taxes and fees and mandatory carrier-imposed surcharges. Optional services and fare restrictions can still affect what you pay. The DOT’s ticket-buying guidance explains that discounted or basic fares may have stricter rules, such as limited baggage, no assigned seat, or no refund.

- Check whether the fare is refundable and what change restrictions apply.
- Confirm baggage allowance and whether seat assignment is included or costs extra.
- Review optional services and charges before checkout. The DOT says optional services cannot be automatically included in airfare without your affirmative agreement.
- Compare the total for the itinerary you actually want, including any services you choose.
3. Compare hotel rooms and payment terms
Compare location, room type, occupancy, included services, total charge, and the cancellation deadline. Read the payment schedule and check who will charge your card. A label such as “free cancellation” or “pay at property” applies only under the terms of the particular reservation, not automatically to every room.
Booking.com says cancellation fees are set by the property, and the reservation confirmation explains who collects payment and when. Some reservations require prepayment. These are platform-specific details: check the terms attached to the room and booking you select rather than assuming the same policy applies across hotels or OTAs. See Booking.com customer service for its accommodation guidance.

5. Know who to contact if plans change
An OTA is an intermediary: when you buy through a travel agency or agent, the agency arranges air travel on your behalf rather than selling you a ticket directly as the airline. The DOT advises contacting the agent first about a problem with an OTA-booked ticket; airline support may be limited. For hotel changes, use the contact or booking-management route named in your confirmation. Booking.com says some changes can be requested through the confirmation email or its site, subject to the property’s policy. Expedia’s Help Center lists support topics including flights, stays, refunds, and cancellations, but the terms for an individual reservation are booking-specific.

The airline 24-hour cancellation-or-hold requirement
For qualifying airline bookings made at least seven days before departure, the DOT says airlines must either allow cancellation for a full refund within 24 hours or offer a 24-hour hold at the quoted price; airlines do not have to offer both. The requirement does not apply to tickets booked through OTAs, travel agents, or other third-party agents. An OTA may offer a similar policy voluntarily, so check its own terms before relying on a 24-hour window. See the DOT’s refund guidance.
Refunds after a U.S.-covered flight disruption
For flights to, from, or within the United States, DOT guidance says a passenger is entitled to a refund when an airline cancels the flight and the passenger declines travel or credits, or when a qualifying significant delay or change occurs and the passenger declines the alternatives. If an OTA or agent is the merchant of record, the agent is responsible for providing a proper airfare refund. The merchant of record is the entity shown on the payment statement; contact the booking agent first when you bought through an OTA.
