OpenClaw can automate meeting transcripts in two ways: its meeting plugins can join supported browser meetings, capture captions, maintain notes, and finalize a transcript; or it can receive a transcript made by another recorder and route the text to an agent that extracts tasks, updates a system, and sends follow-ups. Choose native capture when OpenClaw can run on the meeting’s Chrome host. Choose transcript intake when your recorder already handles the call, when the meeting is not supported, or when you need a managed separation between capture and automation.
The setup is controlled mainly by transcripts.enabled and transcripts.autoStart. Native capture persists state in OpenClaw’s shared SQLite database and can be exported with the transcripts CLI. External transcripts arrive through a webhook, watched folder, chat message, or file upload. The exact CLI flags and configuration field names can change, so verify them in the current OpenClaw documentation before applying a command in production.
Which OpenClaw transcript automation route fits your meetings?
Start by deciding where the speech is turned into text. OpenClaw’s built-in meeting capture does that work for supported browser-based meetings. In the intake model, a separate recorder produces the transcript and OpenClaw starts only after text or an audio file reaches it.

You can use both routes. For example, native capture can handle internal Google Meet calls while a webhook intake handles calls recorded by another system. Keep the workflows separate so a duplicate delivery cannot create two sets of tasks.

How native meeting capture works
A meeting plugin attaches to an already-active meeting bot session. During the call, caption rows and running notes are written to shared state. Notes normally refresh about every five minutes while new speech is saved. When the bot leaves, OpenClaw finalizes the visible captions and writes the final summary. You can then list, inspect, or export the transcript.
This is not a universal recording promise. A provider may expose captions only for particular accounts, languages, plans, or host settings. A meeting can therefore produce incomplete captions or no transcript even when the plugin joined successfully. Tell participants what will be captured and check the provider’s own recording and transcription controls.

For automatic starts, the documented provider IDs are google-meet, teams, slack-huddle, and zoom. discord-voice is the bundled auto-start-capable source and requires both a guildId and a channelId. A normal meeting join does not need an autoStart entry; auto-start entries are for sources that should launch capture automatically.
What you need before enabling capture
- A Chrome host on which the meeting plugin and its browser session can run continuously.
- Provider authentication configured for the account that will join the meeting.
- Native audio dependencies where the provider plugin requires them.
- Permission from the meeting host and participants under your organization’s policy and the provider’s rules.
- Enough disk space and backup protection for the OpenClaw state directory.
Set up Google Meet native transcription
Google Meet requires the plugin, native audio support on the Chrome host, and provider authentication. The setup command below is an observe-only configuration step; confirm the current syntax in the live documentation because command options may change.
- Install the Google Meet plugin. Install it on the same OpenClaw/Chrome host that will run the meeting session.
- Install native audio dependencies. Complete the operating-system audio requirements documented for the plugin. A successful browser login alone does not guarantee that audio or captions can be observed.
- Configure provider authentication. Sign in the account that is allowed to join the meetings. Test with a meeting where the account can see captions.
- Run the observe-only setup. The documented starting command is
openclaw googlemeet setup --transport chrome-node --mode transcribe. Treat the flag names as version-sensitive and check the current command reference first. - Start a test meeting. Use a short meeting with explicit participant consent. Confirm that the bot joins, captions appear, and running notes update.
- End the meeting normally. Leaving the meeting triggers finalization. Abruptly killing the browser or gateway can leave a session without its final summary.
- Inspect the result. Use the transcripts CLI to list the session and show its contents before building downstream automations.
OpenAI is the default transcription provider for agent mode in the documented Google Meet setup. That default does not establish your account’s pricing, quota, retention, or regional availability; check those separately before enabling the workflow for a large group.

Enable, disable, and auto-start capture
transcripts.enabled: the persistence switch
Automatic meeting notes and the transcripts tool are controlled by transcripts.enabled. When it is set to false, OpenClaw stops writing durable meeting notes on the host. Use this as a deliberate policy control, not as a troubleshooting shortcut: disabling it means there may be no durable transcript to recover after the session.
After changing the setting, restart or reload the component required by your OpenClaw version, then run a short test. Verify both behaviors: an enabled session creates state and a disabled session does not leave durable meeting notes.
transcripts.autoStart: the source allow-list
Automatic sources are configured under transcripts.autoStart. An entry is enabled by its presence; omit an entry to disable that source. Configure only providers you intend to capture. For Discord voice, include the required guild and channel identifiers rather than enabling the source globally.
A reported Control UI path for these settings is Settings → Communications → Meeting capture. UI labels can move between releases, so use the configuration file or the current documentation if that path is not present in your build.
Find and export native transcripts
Canonical native transcript state lives at $OPENCLAW_STATE_DIR/state/openclaw.sqlite. Do not edit this SQLite file directly while the gateway is running. Back it up using your normal OpenClaw backup procedure and restrict access because it may contain participant names, speech, and action-item context.

Use the transcripts CLI
The transcripts CLI exposes three core operations:
- List sessions so you can identify the meeting and its session selector.
- Show a selected session to inspect captions, notes, and finalization status.
- Path to locate the stored record or associated export path.
The exact executable syntax and option names are version-sensitive. Run the help output supplied by your installed release and compare it with the current documentation before scripting the commands. Do not copy an old flag from a third-party example into a production cron job without checking it.
Export through the gateway or Control UI
The gateway export method accepts a session selector and a format of markdown or jsonl. Its response is a base64-encoded file object containing a filename, MIME type, and byte size. Decode the payload only in a protected destination and preserve the original filename for auditability.
Browser exports in the Control UI are capped at 4 MiB. If an export exceeds that limit, the interface fails visibly instead of downloading a partial file. Use the CLI or gateway for large meetings and long-running sessions. Exact export flag names were not confirmed in the available page material, so verify them against your installed version.
Bring transcripts from another recorder into OpenClaw
Use intake when another system already records the meeting, when OpenClaw cannot join the provider, or when you want capture to run on a separate managed service. The hand-off can be simple, but it must be idempotent: the same meeting should not create duplicate CRM updates or repeated notifications.

Choose an intake method
- Webhook: best for near-real-time delivery after the recorder finishes or reaches a milestone.
- Watched folder: useful for VTT, SRT, JSON, or text files written by a desktop or server recorder.
- Chat message: practical for a low-volume manual workflow where an operator posts the transcript or a link.
- File upload: suitable for controlled hand-offs when an API integration is not available.
A webhook payload can carry a meeting title, transcript text or URL, attendee list, timestamp, and source ID. Require the source ID even if your first tests use only text. Persist it before processing and reject a second delivery with the same ID unless you are intentionally replaying a failed run.

Handle audio files before extraction
An audio file is not a transcript. Add a transcription stage before asking an agent to extract tasks. Keep the audio and generated text linked by the same meeting ID, record the transcription status, and route failures to a review queue rather than silently creating an empty task list.
Prefer timestamped VTT or SRT when available
VTT and SRT files exported from Zoom or Google Meet are useful because timestamps help attribute statements to speakers and locate the source passage. Preserve the original file alongside normalized text. If speaker labels are missing or unreliable, instruct the extraction agent to mark attribution as uncertain instead of assigning an owner by guesswork.
Build a transcript-to-action workflow
The automation should separate parsing, decisions, and side effects. This makes it easier to retry a failed CRM call without sending a second chat notification.

Accept the webhook, file, or message only from an expected source. Validate that a meeting ID or source ID exists.
- Deduplicate. Look up the source ID in durable storage. Return a success response for an already-completed ID without running the side effects again.
- Normalize. Convert VTT, SRT, JSON, or plain text into a common structure containing meeting metadata, timestamped utterances, and speaker labels where available.
- Transcribe if necessary. Send audio through your approved transcription provider and retain the resulting text and status.
- Extract structured items. Ask the agent for decisions, action items, owner, due date, priority, evidence timestamp, and confidence. Require “unknown” when the transcript does not establish a value.
- Validate before writing. Reject an action item with no evidence or with an invented owner. Send ambiguous records to a human review queue.
- Apply side effects. Create or update the CRM/task record using the source ID as an idempotency key, then record the external record ID.
- Notify participants. Send a concise summary and links only after the task writes succeed. Include a failure notice when a destination was unavailable.
- Archive the run. Store the input reference, extraction result, destination IDs, timestamps, and error messages under the meeting ID.
Use a conservative extraction contract
A practical output shape is a list of objects with title, description, owner, dueDate, evidence, and confidence. Tell the agent to leave owner or dueDate unset when the meeting does not state them. Require an evidence timestamp or quoted excerpt for every task so a reviewer can verify it quickly. This is a workflow pattern, not an official OpenClaw agent schema; adapt it to the schema supported by your installed release.
Zoom recordings and external transcript tools
OpenClaw’s Zoom recording retrieval works only with cloud recordings, not recordings saved locally. If your organization keeps local files, deliver those files through the folder or upload intake path instead.

Some Zoom workflows pair an external transcript service with exports to a document store and then trigger OpenClaw. In that arrangement, the external service performs meeting capture and OpenClaw performs routing. OpenClaw does not become a meeting participant merely because a transcript-export integration exists. Confirm where the transcript is generated, where it is retained, and which system is responsible for deletion.
Native capture versus intake: a practical decision checklist
- Use native capture when the provider is supported, the Chrome host is under your control, and you need notes during the meeting.
- Use intake when the meeting platform is unsupported, another recorder is already approved, or capture must run in a separate environment.
- Use both when different teams use different meeting providers; keep source IDs and retention rules distinct.
- Choose CLI exports for files that may exceed 4 MiB; use the browser only for smaller, interactive downloads.
- Choose VTT or SRT over an unstructured summary when speaker attribution and timestamp evidence matter.
Troubleshoot common failures
The bot joined, but the transcript is empty
- Check whether captions were enabled and visible to that account.
- Confirm the meeting language and account support for captions.
- Verify native audio dependencies and Chrome-host permissions.
- Check that
transcripts.enabledis true and that the session is writing to the expected state directory. - Test with a short meeting before changing multiple settings at once.
Running notes exist, but the final summary is missing
The final summary is written when the bot leaves the meeting. Allow a normal leave sequence and inspect the session after the gateway has finished. If the browser or gateway was terminated, recover the visible notes and captions, then treat the session as incomplete rather than claiming a finalized transcript.
The same meeting creates duplicate tasks
Inspect the source ID at intake. Store it before extraction, enforce a uniqueness constraint, and make downstream writes idempotent. A timestamp or meeting title alone is not a safe deduplication key because recurring meetings can share both.
A browser export fails
Check the file size. The Control UI limit is 4 MiB, and the interface fails instead of delivering a partial file. Retrieve the session through the CLI or gateway and export as markdown or JSONL.
Automation runs but the CRM is wrong
Require evidence for every extracted item, reject missing or speculative owners, and separate extraction from side effects. Replay the extraction against the original transcript, then update the destination only after validation succeeds.
Privacy, consent, and retention controls
Recording-notice requirements, transcription costs, and provider pricing depend on your jurisdiction, contracts, account, and deployment; they are not established by OpenClaw’s capture setting. Obtain the required consent and notice before enabling a bot, limit access to the SQLite state and exports, define a retention period, and document who can trigger transcript-to-task actions.

Treat webhook endpoints as write-capable interfaces: authenticate requests, reject oversized payloads, log delivery status without logging unnecessary transcript text, and rotate secrets.
