If a royalty payment looks too low, start with the statement and the agreement behind it—not a public stream counter. A stream does not guarantee a fixed artist payment: allocation, territory, subscription mix, ownership shares, fees, recoupment and reporting adjustments can all affect what reaches you. Compare matching records first, then ask the party that issued the statement to explain a specific discrepancy.
Why streams do not translate into a fixed payout
Spotify says royalties are calculated on streamshare, not at a guaranteed per-stream rate. The value can vary with listener country, subscription plan and overall streaming volume. A public play count therefore cannot, by itself, tell you what a particular artist should have received.
The path from a platform’s reported royalties to your payment may also involve a label, distributor, publisher or collection organization. Each may account for its share, fees and contractual terms. Spotify identifies the rightsholder royalty report as the most accurate source for understanding royalties generated from Spotify streams; it is more useful for tracing your earnings than a public count alone.
Reconcile the statement against the right records
Use the statement for the period in question and the agreement that governs the rights and payment. Compare like with like: the same service, territory, release or track, reporting period and currency. A public count for one time window is not a valid comparison with a payout covering a different period or territory.

Capture what the statement actually reports
Record the available details for each line you are checking. Not every statement will include every field.
- Service and reporting period
- Territory, track or release name, and identifiers
- Reported usage
- Gross amount, currency and ownership or royalty share
- Fees, deductions and any recoupment shown
- Payment status and any adjustment or explanatory code
Check the metadata, rights and deal terms
Confirm that the account and release details match the recording and rights you control. Check that writer, ownership and royalty splits, registrations and identifiers are correct. Then read the relevant agreement for the applicable share, costs, advance and recoupment position. Spotify advises artists to review statements alongside their agreement, including costs and recoupment terms. A statement can show royalties credited to an account without establishing that the balance is currently payable to you.

Sort a mismatch into the likely cause before disputing it
A difference is a reason to investigate, not proof of improper withholding. Work through the explanations that fit the records you have.
- Allocation or contract terms: Streamshare, territory, subscription mix, ownership share, fees or an unrecouped advance may explain why the artist’s net amount differs from an expectation based on plays.
- Reporting timing: The statement period and the public stream-count window may not align. Compare matching periods and check the status and reporting details shown by the issuer.
- Platform adjustments: Spotify says confirmed artificial-streaming cases may lead to associated royalties being withheld and public stream counts being corrected. If you believe the streams were authentic, Spotify advises giving your distributor or label information about the genuine promotion methods used. Apple Music Provider Support describes reports for stream-manipulation adjustments and excluded streams, with breakdowns by content, subscription type and storefront. Review the relevant platform report and ask the intermediary how any adjustment affected your statement.
- Ownership or registration: Incorrect or missing registrations and competing claims can send royalties through the wrong route or leave a share unresolved. Verify the registration and ownership records for the specific right involved.
- Payment threshold or timing: A balance may be recorded but not yet distributed. Under 37 CFR 210.29, The MLC may defer certain unpaid mechanical-royalty distributions and statements while balances are below thresholds that vary by payment method: less than $5 for direct deposit, $100 for a physical check or $250 for a wire transfer. These are thresholds in that federal provision for certain MLC distributions, not universal minimum payout amounts for platforms or distributors. Check your accrued balance and payment method before treating a small unpaid balance as an accounting error.
- A genuine accounting or contractual dispute: If the data, rights and agreement do not explain the amount, ask the statement issuer for its calculation and the basis for any deduction or adjustment.
Send a focused written query
Write to the organization that issued the statement—such as the distributor, label or collection organization. A precise question makes it easier to identify the line and calculation at issue. There is no universal appeal form or response deadline established for every distributor contract, so use the contact route and procedures in your own agreement or account.

- Identify the entry. Give the statement period, service, territory, track or release and the amount in question.
- State the discrepancy. Describe what the report shows and which record appears inconsistent. Avoid relying only on an unmatched public play count.
- Attach supporting records. Include the relevant statement pages or screenshots, agreement provision, registration or ownership record, and any platform adjustment report that bears on the line.
- Ask for the calculation. Request the usage basis, applicable share, fees or deductions, adjustment reason and any recoupment applied. If the amount is still payable, ask whether it is accrued, pending or subject to a payment threshold.
- Keep a dated record. Save the inquiry and attachments, and preserve the response and any later corrected statement or payment record.
Confirm you are checking the right royalty stream
Streaming can generate payments for different rights through different routes. A distributor’s master-recording statement should not be assumed to include every royalty connected with the song.
- Sound recording: A distributor or label statement commonly concerns the recording rights and the terms of that arrangement. Check what the agreement says it covers.
- U.S. mechanical royalties for compositions: The U.S. Copyright Office says songwriters and publishers must register with The MLC to receive royalties under the U.S. blanket mechanical license.
- Certain U.S. sound-recording royalties under statutory licensing: The Copyright Office describes SoundExchange’s role in distributing these royalties. This is a distinct route from composition mechanical royalties.
The applicable organization and payment rules depend on the right, territory and arrangement. If the statement does not cover the right you expected, check the relevant registration and collection route rather than treating that absence alone as a missing entry on the distributor’s account.

When a formal audit may apply
Formal audit rights are conditional, not a universal right to audit every platform, label or distributor. The U.S. Music Modernization Act provides a specific framework for the blanket-license system: the U.S. Copyright Office explains that The MLC may periodically audit digital music providers and musical-work copyright owners may periodically audit The MLC. An audit notice is filed with the Office and delivered to the party being audited; the Office then causes notice to be published in the Federal Register within 45 days.

For a private arrangement, read the contract’s audit clause and check its eligibility rules, notice period, scope, auditor qualifications, cost allocation, confidentiality terms and claim deadlines. Those terms depend on the agreement; procedures and remedies can also vary by jurisdiction.

Separate a share-registration dispute from an accounting question
SoundExchange says an artist dispute can arise when competing claimants assert featured-artist royalty shares totaling more than 100 percent. It follows instructions from a recording’s direct registrants and does not interpret third-party agreements. If the conflict is about who owns or registered a share, preserve split sheets, agreements, registration records and correspondence; resolving the underlying ownership or contract issue may require action beyond the collection organization.
Escalate significant disputes carefully
If a material amount, ownership claim or contract interpretation remains contested, preserve the statements, agreements, registrations and dated correspondence, and consider advice from a qualified music-business or legal professional familiar with the relevant rights and jurisdiction. A discrepancy alone does not establish fraud, and neither a platform report nor an audit request guarantees a particular payment outcome.
