The documented no-code method is to add shipment data to each order through WooCommerce → Orders → Shipment Tracking. Select a provider, enter the tracking number, confirm the ship date, preview the destination, and save. Customers can then see the provider, number, date, and carrier link in supported My Account pages and order emails. Saving the tracking record does not send an email by itself; the saved details are included when the order is moved to Completed and WooCommerce sends its Completed Order email.
What WooCommerce order tracking actually adds
Order tracking is shipment information attached to an existing WooCommerce order. It is separate from the order-status field. Changing an order from Processing to Completed does not create a tracking number, carrier link, or shipped date. Those values must first be saved through the Shipment Tracking panel or through the shipment-tracking API.

A saved tracking item can contain four customer-facing values:
- Shipping provider: the carrier or delivery service name.
- Tracking number: the identifier supplied by the carrier.
- Tracking link: the URL a customer follows to see carrier events.
- Shipped date: the date the parcel entered shipment.
Depending on the email and account surfaces enabled in your store, WooCommerce can display these details on the customer’s order page and in supported order emails. The basic workflow is a carrier link, not a live event timeline. If you need stages such as dispatched, in transit, out for delivery, and delivered, use a timeline-oriented extension or build that experience separately.

Choose the implementation that fits your workflow
Use the simplest option that provides the customer experience and fulfillment process you actually need. The following comparison uses the capabilities documented for each approach.

Choose the Shipment Tracking extension when a carrier link and basic shipment fields are enough. Choose a timeline extension when customers need a sequence of delivery stages rather than one external carrier page. Choose an API integration when tracking originates in a warehouse, shipping platform, marketplace, or custom fulfillment system and manual re-entry would be error-prone.

Install and configure the right extension
The Shipment Tracking panel is provided by the WooCommerce Shipment Tracking extension. Install and activate it before expecting the panel to appear on an order. If your requirement is a five-stage customer timeline, install and configure a timeline-oriented extension instead of trying to turn a carrier-link field into a timeline.
Collect reliable shipment data
- Use the tracking number exactly as issued by the carrier, including required letters, prefixes, or leading zeros.
- Confirm the provider name and destination before saving; a typo can send customers to an invalid tracking page.
- Use the actual shipped date, not the order date, when the two differ.
- For a custom provider, obtain a complete HTTPS tracking URL and test it in a private browser window.
Decide when customers should be notified
Map your fulfillment events to WooCommerce statuses before entering data. The documented email behavior is tied to the status transition: saving tracking details does not itself send an email, while changing the order to Completed causes the Completed Order email to include saved tracking information. If your operation needs a dispatch email before completion, use an extension or automation that explicitly supports that message rather than assuming the save action will notify the buyer.
Add a tracking number manually from an order
This is the standard no-code procedure for a single order.
- Open the order list. In WordPress administration, go to WooCommerce → Orders.
- Select the order. Open the order that has been handed to the carrier. Check the billing and shipping details so you do not update the wrong order.
- Find Shipment Tracking. In the order-edit screen, open the Shipment Tracking panel.
- Choose a provider. Select the shipping provider that issued the number. The provider selection determines the carrier link WooCommerce can construct.
- Enter the tracking number. Paste the complete identifier. Do not add spaces or punctuation unless the carrier uses them.
- Confirm the shipped date. Set the date the parcel was shipped. Review the store’s date and time settings if the date appears shifted.
- Preview the destination. Use the panel’s preview or link display to verify that the destination matches the carrier and that the number is present in the URL.
- Save the tracking item. Save or update the order. The shipment record is now attached to the order.
- Set the appropriate order status. When your process is ready to send the Completed Order email, change the order to Completed and save the status change. The email includes the saved tracking information when that email is enabled and supported.
Adding the shipment record and changing status are two separate actions. If you save tracking while leaving the order in Processing, the data remains available on the order but the documented Completed Order email is not triggered by the tracking save.

Check what the customer can see
My Account order page
Sign in as a test customer, open My Account → Orders, and select the order. The supported display should show the provider, tracking number, shipped date, and a link to the carrier. The exact placement and wording depend on your WooCommerce and extension versions and on any theme overrides.
Order emails
Review the WooCommerce email settings and send a test order through the same status transition your staff will use. The Completed Order email is the documented surface that includes saved tracking information after the order becomes Completed. A tracking record saved while the order remains in another status does not independently send mail.
Customer-account privacy
Tracking links can reveal shipment progress or delivery locations. Display them only to the customer who owns the order, and avoid placing tracking numbers in publicly accessible pages, thank-you text, or unprotected feeds. If a carrier URL contains personal data, use the carrier’s official HTTPS format and avoid copying it into unrelated notifications.
Add a carrier that is not listed
You do not need to wait for a built-in provider when a legitimate carrier is missing. The Shipment Tracking panel provides a Custom Provider option.

- Open Shipment Tracking and choose Custom Provider.
- Enter the provider’s name exactly as you want customers to see it.
- Enter the provider’s complete HTTPS tracking URL or URL template, according to the field’s instructions.
- Enter the tracking number and shipped date.
- Preview the generated destination, follow it, and confirm that it reaches the intended carrier page.
- Save the tracking item, then apply your normal order-status and email workflow.
For API integrations, the custom link template must contain %1$s. WooCommerce substitutes the tracking number for that token when it creates the customer-facing link. A template that omits the token, points to the wrong carrier, or uses an untrusted destination can produce a broken or misleading link, so validate it before sending live data.
Manage more than one package
Some orders ship in separate parcels. Treat each parcel as its own tracking item when the extension and your fulfillment process support multiple items. Record the provider, number, link, and ship date for each package rather than overwriting the first number with the second.

- Use a consistent internal rule for package labels, such as the warehouse carton or fulfillment-line identifier, so staff can tell entries apart.
- Check the customer view after adding the second item; the theme must display all saved items rather than only the latest one.
- If one package ships later, record its actual ship date instead of copying the date from the first parcel.
- When correcting a typo, edit or delete the incorrect tracking item before adding the replacement so the customer does not follow two conflicting links.
The basic documentation confirms that shipment-tracking endpoints can list, retrieve, and delete tracking items for an order. Whether a particular extension version exposes a convenient multi-package interface in the admin screen should be verified in that version’s settings.
Use a timeline or notification extension when a carrier link is not enough
Timeline-oriented tracking
The Order Tracking for WooCommerce extension is designed for a status timeline rather than only a carrier hyperlink. Its documentation describes up to five timeline stages, customizable tracking emails, and pickup notifications that can appear in My Account and email. This is useful when your support team wants customers to understand an internal sequence such as order received, packed, dispatched, in transit, and ready for pickup.
Define the meaning of each stage before publishing it. A timeline should represent events your operation can actually update; otherwise customers may see a reassuring label that does not correspond to a carrier scan.
Configurable tracking notifications
PH Order & Shipment Tracking with Notifications is an alternative when configurable tracking messages, email delivery, and order-status behavior are the primary requirements. Compare its status triggers with your existing WooCommerce statuses before activating notifications, especially if another plugin already sends completion or dispatch mail.
Avoid overlapping messages
Running the basic Completed Order email and a notification extension can produce duplicate messages. List every enabled trigger, identify the status or event that activates it, and run one test order through the complete path. Disable a redundant message or change its trigger before customers receive production email.
Automate tracking with the WooCommerce REST API
Automation is appropriate when a warehouse or fulfillment service already knows the tracking number. WooCommerce recommends using the current v3 REST API for new integrations under /wp-json/wc/v3/. Authentication uses API keys generated in WooCommerce, with permissions limited to what the integration needs.

Set up authentication safely
- Create a dedicated API key for the integration rather than sharing a staff member’s credentials.
- Grant the minimum read or write access required for order updates.
- Store the consumer key and secret in the integration’s secret manager, not in theme files, client-side JavaScript, or a public repository.
- Use HTTPS for the store and for every carrier link your integration creates.
- Test against a non-production order before enabling automatic writes.
Work with shipment-tracking endpoints
The Shipment Tracking API exposes the provider, tracking number, tracking link, and shipped date fields. Its order-specific endpoints support listing, retrieving, and deleting tracking items. A custom provider can be posted to:
/wp-json/wc-shipment-tracking/v3/orders/<order_id>/shipment-trackings
The request needs a provider name, an HTTPS link template containing %1$s, a tracking number, and a shipped date. In an integration, map the external fulfillment record to the WooCommerce order ID, send one request per package, record the response, and retain an idempotency key or equivalent internal marker so a retry does not create duplicate tracking items.

Separate data updates from notifications
Posting a tracking item updates the order record; it does not, by itself, guarantee that an email is sent. Your integration must deliberately apply the status transition or notification mechanism that your store uses. If the integration changes an order to Completed, confirm that the Completed Order email is enabled and that the saved tracking information is available before the message is generated.

- Provider test: select each carrier you use and confirm the displayed name is understandable to a customer.
- Number test: test identifiers with leading zeros, letters, and the longest format your carriers issue.
- URL test: open the generated link on desktop and mobile, and verify that the number is inserted into the carrier destination.
- Date test: confirm that the shipped date remains correct across your WordPress timezone and any fulfillment-system timezone.
- Account test: view the order as its customer and ensure tracking is visible only to the owner.
- Email test: move a test order through the exact status change that should send mail and inspect the rendered message.
- Correction test: edit, delete, and re-add a tracking item, then confirm the customer no longer sees the obsolete link.
Keep a record of the extension versions, enabled email templates, and status triggers used in the test. Re-run the matrix after a WooCommerce, theme, email, or tracking-extension update.
Troubleshoot common failures
The Shipment Tracking panel is missing
Confirm that the Shipment Tracking extension is installed and active, that you are editing a WooCommerce order rather than another post type, and that your staff role can edit orders. A theme or admin customization can also hide panels; temporarily test with the standard WooCommerce administration interface.
The customer sees no tracking information
Open the order and verify that the tracking item was saved, not merely typed into an unsaved field. Then check the customer’s account ownership, the order-page template, and whether the extension’s display hooks are disabled by a theme override. Test with a newly created order to distinguish a single-record problem from a site-wide display issue.
No email arrived
First determine whether the order actually changed to the status that triggers the intended email. Saving a tracking item alone is not an email event. Next check whether the Completed Order email is enabled, inspect spam and mail-delivery logs, and look for a second plugin that suppresses or replaces the message.
The link opens the wrong page
Reopen the tracking item, inspect the provider or custom URL, and test the destination with the exact number. For a custom provider, verify the HTTPS template and the %1$s token. Replace the item if the URL cannot be trusted; do not ask customers to edit the link themselves.
The API creates duplicates or fails authentication
Check that the request uses the intended order ID, current v3 authentication, and a key with write permission. Log the response body and status code, then add retry protection so a timeout does not post the same package repeatedly. If the provider link fails validation, correct the template before retrying.
Recommended operating procedure
- Capture the carrier, number, package, and actual ship date in the fulfillment system.
- Send those values to WooCommerce manually through Shipment Tracking or automatically through the shipment-tracking API.
- Validate the generated carrier link before the customer notification is released.
- Apply the order status that your store has mapped to its customer email.
- Verify the order page and email as a customer would see them.
- Correct or delete obsolete tracking items promptly when a carrier reissues a number.
This sequence keeps shipment data, customer visibility, and notification timing distinct. It also makes it clear whether a failure occurred during data entry, link generation, status processing, or email delivery.
