To add useful filters and search to a wildlife archive, first decide what each record represents and which metadata fields are complete enough to search. Then connect those fields to a clearly labeled search form, show users when results change, and set rules for sensitive locations and media rights before making records public.

1. Decide what a searchable record represents

Start with the collection’s data, not a preset list of filter controls. An archive may treat each record as evidence that a species occurred at a place and time, or it may also preserve surveys as distinct records linked to the species observations they produced.

Occurrence records

An occurrence record describes evidence of a taxon at a particular place and time. This model can suit an archive whose main purpose is to find observations, specimens, or other records of organisms.

Survey events

For survey-driven collections, keep the sampling event and its related occurrences distinct when the survey context matters. GBIF defines an Event as “an action that occurs at some location during some time.” Its guidance says Event-level data can preserve protocol, survey scope, sampling effort, and completeness; event datasets use an Event core, with occurrence data and other extensions where appropriate. See GBIF’s occurrence-data guidance and its publishing guidance.

GardePro E5S Non-Cellular Trail Camera, 1296P HD Video with Sound
  • 64MP Photos & 1296P HD Videos: Equipped with a high-quality optical lens and advanced image sensor, the E5S captures ultra-sharp 64MP photos and smooth 1296P HD videos.
  • Low-Power, Eco-Friendly Wildlife Viewing: Simply retrieve the SD card to see what your camera has captured—each visit could bring a new surprise. Non-Cellular and Non-WiFi operation ensures minimal power use, fewer battery changes, and zero disturbances.
  • Rugged & Weather-Resistant: Built to withstand harsh outdoor conditions with an IP66 waterproof rating. Features a 1/4"-20 mounting thread for secure placement on trees, posts, or fences. Ideal for use as a durable trail camera.
  • Fast 0.1s Trigger Speed with 3 PIR Sensors: Never miss fast-moving deer wildlife. Three PIR sensors enable a lightning-fast 0.1s trigger speed motion activation, perfect for hunting purposes.
  • Extended Power Options & Efficient Design: Powered by 8×AA batteries (not included). For continuous outdoor use, the E5S supports the GardePro SP350 Solar Panel (sold separately), ensuring reliable power even in remote areas.

Preserving that context helps people interpret a result. For example, a species not appearing in a survey’s records does not necessarily mean it was absent if the survey’s effort or scope was limited. Avoid flattening event details into species records if doing so would hide those distinctions.

Use a shared vocabulary and stable identifiers

Darwin Core provides a vocabulary for biodiversity data and supports interoperability and reuse. GBIF describes Darwin Core Archive as a package that maps data columns to those terms and includes dataset documentation. Choose stable, unique identifiers for records so that links to individual records, media, and shared searches continue to point to the intended items as the archive changes.

2. Choose how media attaches to records

Decide whether images and other media are just links or have their own structured information. The right choice depends on what users need to find and what rights and attribution details must accompany each asset.

Simple media URLs

Darwin Core’s associatedMedia field can hold one or more media URLs. This is a straightforward option when the archive needs to link to files but does not need extensive structured descriptions.

Structured media descriptions

A Simple Multimedia or Audubon Media Description extension can carry details such as creator, description, and license. For camera-trap media linked to occurrence records, GBIF recommends an Occurrence core with an Audubon Media Description extension. Its guidance also covers one media item relating to multiple observations, or one observation having multiple files; preserve unique occurrence-and-media identifier combinations in those cases. See GBIF occurrence-data documentation and GBIF’s camera-trap data guide.

3. Select filters from fields the archive can support

Candidate filter fields include taxonomic names, coordinates, dates, basis of record, license, and multimedia data. GBIF documents these kinds of fields in its occurrence-download format, but it does not prescribe a particular interface or facet list. Treat the following as a starting point, and offer a filter only when values are sufficiently consistent and complete to produce trustworthy results.

  • Taxon: species name or a broader taxonomic group. Decide how synonyms and spelling variants are handled.
  • Place: a public region or location, subject to the archive’s rules for sensitive coordinates.
  • Date: observation date or survey date, depending on the record type.
  • Record type: the basis of record or another clearly explained category.
  • Media: whether a record has associated media, or a media type if that metadata is available.
  • Reuse terms: license or reuse status, where the archive can display accurate rights information.

Check field coverage before exposing a control. A date filter, for instance, is misleading if many records have no usable dates and users cannot tell that those records were excluded. Inconsistent place names or taxonomic values can create the same problem.

4. Separate free-text search from filters

Use a search box for words or phrases in relevant names and descriptive text; use structured filters to narrow results by known fields such as taxon, date, or region. Make the search function easy to find so visitors can look for content without first understanding the site’s navigation. W3C’s Web Accessibility Initiative describes search as a way to help users find content without navigating or understanding the site structure; see its search-function guidance.

When practical, store selected filters and the query in the page URL. That lets people bookmark a result set or share it with someone else. Treat this as an implementation choice, not a requirement of Darwin Core or GBIF.

The smaller size makes them easier to conceal from theft/vandalism, and also much easier to carry out into the field.

5. Make controls and result updates accessible

Give each search and filter control a persistent, visible label; placeholder text alone is not a durable label. Group related controls, such as a date range, with a fieldset and legend. Add concise instructions when users need to know an expected format or whether a field is optional. W3C’s Labeling Controls tutorial states: “A label and a form control should be associated with each other either implicitly or explicitly.” Its Forms tutorial covers labels, grouping, and instructions.

If applying a filter updates results without reloading the page, tell users that the results changed and expose the update as a status message for assistive technologies. Keep keyboard focus predictable, and make a clear-filters action easy to locate. W3C explains status-message techniques in its status messages guidance.

6. Set public access and reuse rules before launch

Protect sensitive locations

Wildlife coordinates can be sensitive. Before indexing locations for public search, decide whether precise coordinates should be visible, generalized, or restricted to authorized users. The appropriate policy depends on the species, collection, and jurisdiction; GBIF’s camera-trap data guide flags sensitive information as a data-management consideration but does not establish one universal coordinate rule.

Show rights with records and media

Display license and attribution information alongside the relevant record or media. GBIF occurrence downloads include license information, but permissions depend on the contributing dataset and asset. A file being visible in the archive does not mean it is free to reuse; make the applicable terms clear rather than implying blanket permission.

7. Test with real archive tasks

Test whether the metadata and interface work together using tasks readers actually need to complete. For example, ask someone to find a particular species in a region during a date range, then check whether the result is understandable and whether missing or restricted fields create confusion.

  • Confirm that the chosen record type matches what the results page says a result represents.
  • Check that each filter has populated, interpretable values and that missing metadata does not silently distort results.
  • Verify that media links, creator details, and license information remain attached to the right records.
  • Try the search and filter controls with a keyboard and a screen reader; confirm that labels and result updates are announced clearly.
  • Check that sensitive coordinates are handled according to the archive’s policy.

GBIF reported that more than 4,000 Event datasets were discoverable through its network as of 2025. That figure indicates the scale of survey data available through GBIF; it is not a performance benchmark or a prediction for an individual archive. See GBIF’s occurrence-data information.
