In Microsoft Teams, Add an agenda creates shared Collaborative notes for a meeting. These Loop-based notes include three sections: Agenda, Meeting notes, and Follow-up tasks.
You can add an agenda before the meeting from Teams desktop or the web app, edit it during the meeting, and find it afterward from meeting details or recap. The Teams mobile app does not let you add notes to a calendar invitation while scheduling.
Add an agenda while creating a Teams meeting
Use Teams on a desktop computer or at teams.microsoft.com. The agenda option is available from the meeting details screen.

- Open Microsoft Teams.
- Select Calendar from the left-hand navigation.
- Select New to create a meeting.
- Enter the meeting title, attendees, date, time, and other details.
- In the meeting Details pane, select Add an agenda.
- Enter the agenda items, meeting notes, or tasks you want participants to see.
- Select Send to create the meeting and send the invitation.
Participants receive the calendar invitation with access to the meeting notes. The notes are saved automatically, so you do not need to find a separate Save button.

What Add an agenda creates
The agenda is not a separate, plain-text field on the invitation. Teams creates Collaborative notes, which are Loop-based meeting notes. The notes contain these sections:

| Agenda | Topics, discussion points, and the order of business. |
| Meeting notes | Decisions, explanations, questions, and other information recorded during the meeting. |
| Follow-up tasks | Actions with task names, assignees, and due dates. |
For example, an agenda might contain “Review launch timeline,” “Approve the support workflow,” and “Confirm the next release date.” Put the resulting decisions in Meeting notes, then add owners and deadlines under Follow-up tasks.
Add an agenda to an existing Teams meeting
- Open Teams and select Calendar.
- Select the meeting you want to change.
- If it is a recurring meeting, choose whether to edit the whole series or one occurrence.
- Update the existing agenda, or select Add an agenda if Collaborative notes have not been created yet.
- Make your changes. Teams saves them automatically.
Changes synchronize for people who have access to the meeting notes. You do not normally need to resend the invitation just because you changed the agenda.
Important choice for recurring meetings
A recurring meeting gives you two different editing options:
- View series: changes the agenda and meeting information for all future occurrences in the series.
- Edit one occurrence: changes only the selected meeting.
Use the individual occurrence when one week needs a special topic. Use View series when the same agenda structure should apply to every future meeting.

Edit the agenda during a Teams meeting
You can add topics as the discussion develops, or record decisions and actions while everyone is present.
- Join the Teams meeting.
- Select Notes in the meeting controls.
- Add or edit items under Agenda, Meeting notes, or Follow-up tasks.
- To keep the notes open separately while you continue using the meeting window, select More actions (…) > Open in new window.
Any organizer or attendee can access the meeting notes and use @mentions to identify people responsible for agenda items or follow-up tasks. External attendees cannot access or edit Teams meeting notes.
Find the agenda after the meeting
There are several ways to reopen the Collaborative notes after the call ends.
From the Teams calendar
- Open Calendar in Teams.
- Select the past meeting.
- Select Expand meeting details.
- Scroll to the meeting notes.
From Meeting recap
- Open Calendar and select the past meeting.
- Select View event.
- Select View recap > Notes.
From meeting chat on mobile
If you are using the Teams mobile app after the meeting:
- Open the meeting chat.
- Select Apps.
- Select Recap > Notes.
Can you add a Teams agenda from mobile?
Not when scheduling the meeting. The Teams mobile scheduling screen does not currently support adding notes to the calendar invitation. To include an agenda before sending the invite, create or edit the meeting in Teams desktop or the web app.

You can still access meeting recap information and notes from supported mobile meeting chats after the meeting.
How agenda tasks connect to Planner
Follow-up tasks in Collaborative notes can synchronize with Planner, but the connection has some rules that are easy to miss.
- Adding at least one task to a Collaborative-notes task list creates a lightweight Planner plan.
- The first task list maps to the first Planner bucket.
- Additional task lists create additional Planner buckets.
- Creating a bucket directly in Planner does not create a new task list in the Collaborative notes.
- Moving a task out of a bucket created from Collaborative notes can make the task disappear from the meeting notes while keeping it in Planner.
- Moving a task to another Planner plan removes it from the meeting notes.
In a Teams chat, multiple task lists can create multiple Planner plans. If you want an action to remain visible in the meeting notes, manage it from the Collaborative-notes task list rather than moving it freely between Planner buckets.
Access and sharing limitations
Meeting notes are shared live with people who have access to them, and changes are saved automatically. They can also be opened and edited as a Loop document in Office.com.
Access is not universal:
- External attendees: cannot access or edit Teams meeting notes.
- People who were not directly invited: may have limited access, even if they can join the meeting or see related chat content.
- Internal attendees: can generally access the notes according to the meeting and organization’s permissions.
If a participant says the agenda is missing, check whether they were directly invited and whether they are an external user. Also make sure you are opening the correct occurrence of a recurring meeting.

Practical agenda format for Teams
A short agenda is easier to use than a paragraph in the invitation. A useful structure is:
- Objective: state what the meeting must accomplish.
- Topic and owner: identify who will lead each discussion.
- Time: assign a realistic number of minutes.
- Expected outcome: specify whether the group needs a decision, review, or status update.
- Follow-up: record the task owner and due date before ending the meeting.
For a 30-minute project meeting, for example:

Keep decisions in Meeting notes and actions in Follow-up tasks. This makes the post-meeting recap more useful than treating the agenda as a static list of talking points.

- Looking for an agenda box in the mobile scheduler: use Teams desktop or web instead.
- Editing a recurring series accidentally: choose the individual occurrence if only one meeting needs a change.
- Expecting a Planner bucket to create an agenda section: the synchronization works from Collaborative-notes task lists to Planner, not the other way around.
- Assuming every attendee can edit the notes: external users are excluded, and uninvited users may have limited access.
- Searching for old “meeting notes” behavior: Microsoft now refers to these as Collaborative notes, powered by Loop.

Can I add an agenda after sending a Teams meeting invitation?
Yes. Open Teams Calendar, select the meeting, and choose Add an agenda if notes do not exist yet. If notes already exist, open them and update the Agenda section. Changes save automatically.

What is the difference between a Teams agenda and meeting notes?
The current Add an agenda action creates Collaborative notes with three sections: Agenda, Meeting notes, and Follow-up tasks. The agenda holds planned topics, while the other sections capture results and actions.
Can I add an agenda from the Teams mobile app?
No. Teams mobile does not currently let you add notes to a calendar invitation while scheduling. Create or edit the meeting from Teams desktop or the web app instead.
Where are Teams meeting agendas saved?
Open the past meeting from Teams Calendar and expand its details, or open View event, then View recap and Notes. On mobile, open the meeting chat and select Apps, Recap, and Notes.
Does changing a recurring meeting agenda update every meeting?
Only if you edit the series. Selecting View series applies the change to all future occurrences; editing one occurrence changes only that meeting.
