To accept UPI as a small business in India, ask an acquiring bank to onboard you as a merchant, choose an acceptance mode for your sales channel, and confirm your merchant category and all charges in writing. Then record each payment against an order or invoice and reconcile it with the bank or merchant dashboard daily. That is the practical way to accept UPI without mistaking a zero-MDR policy for a guarantee that every service or device is free.
How to accept UPI payments as a small business
Start with a bank that provides merchant UPI acceptance. NPCI says the acquiring bank supplies the merchant infrastructure and supports QR, intent, application-based, and collect modes. Ask the bank which setup suits your sales channel and what transaction-level records it provides. NPCI’s merchant FAQ describes the available modes and the bank’s role.
Choose the mode for how you sell
- In person: Ask about a merchant QR for customers to scan at the counter. If you are considering a soundbox, treat it as an optional notification aid, not proof that a transaction has settled.
- Online: Ask about checkout integration and whether the merchant dashboard or export links each payment to your order or invoice numbers.
- Other workflows: NPCI also lists intent, application-based, and collect modes. Have the bank explain how the chosen mode works for your customers and how you will verify payments.
The acquiring bank configures your merchant category code (MCC), UPI ID, account details, and integration type. The MCC matters because fee eligibility can depend on classification; ask the bank to confirm your assigned category and applicable policy in writing.

NPCI says settlement is immediate after customer confirmation into the merchant pool account or merchant bank account, as provided by the agreement. Check your onboarding agreement for the destination account and workflow, then verify actual credits against your bank statement. Do not assume different providers use identical arrangements.

Do small businesses pay fees for UPI?
The policy position is time-sensitive. In a clarification published on 15 September 2026, the Ministry of Finance said small merchants in the P2PM category receiving up to ₹1 lakh per month through UPI QR continue to have zero MDR on all transactions. The same clarification says payments to merchants up to ₹2,000 and transactions covered by the small-merchant zero-MDR framework remain free; it reports that approximately 96% of P2M transactions are unaffected. These are statements of the government’s policy position, not a determination of your own classification or contract charges. See the Ministry of Finance clarification via PIB.
MDR is a payment-processing charge distributed among ecosystem participants; the government says it is not collected as a tax by the government or NPCI. But zero MDR does not establish that your provider charges nothing for every related service. Ask the acquiring bank to confirm your MCC, whether your business meets the relevant category and threshold, transaction treatment, settlement schedule, and any separate service, integration, or device charges.

- What MDR, if any, applies to this business and transaction type?
- Are there separate service, integration, or account charges?
- What are the purchase or rental cost, service charges, connectivity requirements, and cancellation terms for optional equipment?
- Which account receives settlement, and what timing or workflow applies?
- Can you export transaction references and match them to sales records?
- How are failed payments, disputes, reversals, and refunds handled?
How to reconcile UPI payments and fees
Keep a sales-side record that connects each payment to the underlying sale. Reconcile it against the merchant dashboard or acquiring-bank records and the bank credits each day. A customer’s screenshot or notification alone is not enough to mark an unclear payment as resolved.
- Give each sale an invoice, order, or receipt identifier.
- Record the UPI amount, date and time, transaction reference, and success status against that identifier.
- Match the day’s sales-side entries to the merchant dashboard and bank credits.
- Leave any mismatch unresolved until you have checked the merchant-side status and the bank credit.
- Log refunds, reversals, and disputes separately, retaining the original transaction reference and the resolution status.
- For a transaction-status question or merchant grievance, contact the acquiring bank; use its defined refund process.
NPCI’s merchant FAQ says merchants can check status or raise a grievance with their acquiring bank, and that refunds follow the bank’s defined process. The same bank is the right place to clarify how its records map to your statement and contract charges.

Is a UPI soundbox worth getting?
A soundbox can help an in-person seller notice an incoming-payment notification. NPCI’s June 2026 BHIM UPI guidelines include soundbox formats, and Bank of India’s product page describes a portable UPI QR soundbox kit with audio notifications. Neither source establishes that every merchant needs a device or that an audio alert replaces checking the transaction record and bank credit. Before choosing one, get the provider’s written equipment and service terms.
