When a customer pays late, the sale may still appear in your accounts, but the money cannot cover payroll, rent, or suppliers until it arrives. Start by mapping cash on hand, expected receipts, and bills due; then work the overdue invoices, adjust outflows carefully, and compare financing only if a gap remains.

How do I see the cash gap before it becomes a crisis?

Build a short-term cash view that puts three things on one schedule: cash available now, customer invoices outstanding with realistic expected payment dates, and bills that must be paid. Update it frequently and compare expected receipts and payments with what actually arrives and leaves.

The U.S. Small Business Administration recommends bookkeeping that tracks accounts receivable, accounts payable, available cash, and bank reconciliation. Balance-sheet records can also support cash-flow projections. See the SBA’s business management guidance.

Do not use reported profit as a substitute for cash. Under accrual accounting, a sale can be recorded before the customer pays; under cash accounting, it is recorded when payment is received. That timing difference can leave a profitable business short of money for near-term obligations.

  • Cash available: Record the balance you can use, accounting for any restrictions or pending transactions.
  • Expected receipts: List each open invoice, amount, due date, customer contact, and a realistic expected payment date.
  • Upcoming outflows: Include payroll, rent, taxes, loan payments, utilities, and essential supplier bills.
  • Forecast versus actual: When a payment misses its expected date, revise the forecast instead of continuing to count it as available cash.

A spreadsheet, accounting system, or paper cash-flow planner can all serve as the working schedule; the useful feature is a clear, regularly updated view of timing.

What should I do about overdue invoices?

Work the receivables process before taking on debt. The SBA recommends prompt invoicing and a consistent follow-up system. Make sure each invoice is complete, sent to the correct billing contact, and includes the agreed due date and any required purchase-order details. Keep the invoice, proof of delivery or completed work, and follow-up messages together.

  1. Check the terms and paperwork. Confirm the due date in the contract or order, invoice accuracy, submission method, and any approval or purchase-order requirements.
  2. Contact the customer promptly. Ask whether the invoice was received, whether anything is holding up approval, and when payment is expected. Keep the exchange factual and document the answer.
  3. Follow a calendar. Set reminders around the due date and follow up consistently on unpaid invoices. A receivables aging list helps identify which accounts need attention first.
  4. Escalate deliberately. If the customer disputes a charge, seek the specific issue and resolve it with supporting records. For a serious or contested debt, consider professional advice before threatening collection or legal action.

For future work, a business may negotiate deposits, milestone billing, shorter payment terms, or a pause on new work while an account is overdue. These are terms to agree with customers in advance, subject to the contract—not automatic rights to change an existing invoice. The SBA also describes customer credit checks as a possible way to inform credit policies. Its Net 30 cash-flow guidance discusses invoicing, follow-up, deposits, and credit practices.

How can I manage bills while waiting for customers to pay?

Review outgoing cash by timing and importance. Identify essential obligations, discretionary purchases that can wait, and supplier invoices whose due dates may be negotiable. Ask suppliers whether they will agree to terms that better match your customer collection cycle; the SBA notes that Net 30 or longer supplier terms can keep cash in the business longer.

Model the actual due dates before changing payment timing. A late fee, interrupted supply, or damaged relationship with a critical vendor can cost more than the temporary cash retained. Do not assume that a supplier has agreed to an extension unless the terms are confirmed.

  • Protect essential obligations: Prioritize costs that keep the business operating and obligations with serious consequences for nonpayment.
  • Defer discretionary outlays: Review optional purchases and projects against the cash forecast.
  • Coordinate with suppliers: Request revised terms early, explain the timing issue, and confirm any agreement in writing.

What financing can bridge a payment delay?

Financing can cover a timing mismatch, but it adds cost and repayment obligations. The SBA describes accounts-receivable financing as one possible source of working capital and notes that alternative lenders typically charge more than banks or credit unions. New Jersey Business.NJ.gov also points businesses toward community and nonprofit lenders, including Community Development Financial Institutions (CDFIs) and some credit unions, which may offer smaller loans and technical assistance. It warns that some short-term for-profit loans carry extremely high rates.

  • What is the total dollar cost, including fees, and what is the effective rate?
  • How much will be advanced, when will funding arrive, and what are the eligibility requirements?
  • Does approval depend on your business’s credit, the customer’s credit, or both?
  • Must you repay if the customer does not pay? Is there recourse, a personal guarantee, or collateral?
  • How and how often is repayment collected, for how long, and what will that do to cash available for future bills?
  • Does the provider offer useful technical assistance or advisory support?

For invoice financing, specifically clarify whether the arrangement is a loan or a sale of receivables, how fees accrue, what happens if the invoice is disputed or paid late, and whether you remain responsible for collection. Do not assume that the customer’s eventual payment will automatically settle every obligation under the financing agreement.

New Jersey’s business finance guidance is a starting point for exploring lenders and support. Compare offers from banks, credit unions, community lenders, and invoice-financing providers on total cost and repayment risk, then test each payment schedule against the forecast.

Could the Main Street Lenders Grant program fit?

Business.NJ.gov’s Main Street Lenders Grant program page, updated March 26, 2026, lists eligibility for businesses operating in New Jersey with fewer than 10 full-time employees and less than $1.5 million in annual revenue. The page lists loans of $10,000 to $100,000, an interest-rate cap of 5%, and at least 12 months of payment deferral after closing. It identifies payroll, rent, utilities, inventory, and other operating costs as possible uses.

Those are the terms shown on the dated program page, not a guarantee of approval or proof that funds remain available. Check the program page and confirm current eligibility, availability, repayment terms, and application steps directly with a participating lender before relying on the program in a cash plan.

Do New Jersey prompt-payment rules set a deadline for every customer?

No. Do not assume a New Jersey prompt-payment statute gives every private business invoice a statutory due date. The New Jersey Department of Transportation’s vendor FAQ describes the Prompt Payment Law in covered public and private construction contexts, including payments by owners to contractors and by contractors to subcontractors and material suppliers. It also describes a separate 60-day prompt-payment rule for other invoices under N.J.S.A. 52:32-32 et seq. The page concerns state vendor payment processes and is not a blanket statement that all private business-to-business invoices are due within 60 days.

For an ordinary customer invoice, check the contract and applicable law. The FAQ says interest after 30 days applies to covered agreements written after the law’s effective date; that should not be generalized to unrelated invoices. For a specific construction-payment dispute or uncertainty about your rights, consult a New Jersey attorney. See the NJDOT vendor FAQ.

Where can a New Jersey owner get additional help?

The New Jersey Business Action Center offers a New Jersey Small Business Manual as a free download; the agency also says one printed copy at a time can be requested at no cost. For financing guidance, Business.NJ.gov lists routes to alternative and community lenders. Confirm any lender’s terms, eligibility, and obligations directly before applying.
