A media server normally handles metadata in three separate stages: it scans your folders to discover files, matches each item to a catalog record, and then applies details such as the title, plot, cast, artwork, subtitles, or album information. The metadata agent or provider performs the matching and enrichment; it is not the file scanner.
Accurate folder organization, recognizable names, and explicit provider IDs give the agent better evidence. Plex and Jellyfin support different naming hints and identifier syntax, so a method that works on one platform should not be assumed to work on the other.
The three stages behind a populated library
1. Scanning discovers and analyzes files
When you add a library or new content, the server first walks the configured folders and identifies files it can read. The scanner records properties such as the path, filename, container, codecs, streams, duration, and likely media type. It may also inspect embedded tags or nearby artwork, but its primary job is discovery and analysis.
A scan can therefore succeed even when an item later appears as “unmatched.” The server has found the file; it simply has not established which movie, series, episode, or album the file represents.

2. Matching identifies the catalog item
After scanning, the selected metadata agent or provider compares the information it received with records in one or more catalogs. A recognizable title, release year, series name, season and episode number, and media type narrow the candidates. If several catalog records fit, an explicit identifier can remove the ambiguity.
3. Metadata application fills the library view
Once a match is chosen, the agent retrieves fields such as plot summary, cast, crew, posters, backgrounds, ratings, genres, album reviews, and other artwork. Depending on the library and configuration, those fields can come from online catalogs, local artwork, embedded tags, or structured files beside the media.
What information does matching use?
Library type and path
Separate movies, television, and music into the appropriate library types and paths. Mixing major content types in one path makes classification harder and can cause files to be ignored or matched to the wrong kind of record. A movie folder should not also be the root for television seasons or music artists.

Names, years, and hierarchy
Agents infer identity from the structure around a file as well as the filename. A movie title followed by its release year is generally more useful than a title containing download notes or release-group text. For television, a series folder, season folder, and episode designation give the scanner separate clues. Consistent hierarchy also makes later rescans predictable.

Provider identifiers
A catalog ID is a direct instruction: match this file to this record. It is especially useful for remakes, similarly titled films, regional titles, specials, and shows with ambiguous names. IDs are platform-specific hints, not a universal syntax.

Keep the identifier attached to the movie or series folder or file exactly where the platform expects it. An ID copied from one server’s naming guide may be ignored by another.
Source priority determines which metadata wins
Most agents can consult several sources in an ordered list. Higher-priority sources are checked first. A lower-priority source can still supply a field that the earlier source did not provide, but it should not be treated as an equal replacement for every field.
Local assets are useful when you want your own poster, fan art, subtitle, or embedded detail to survive catalog changes. Enable the relevant local-media or embedded-metadata sources and place them ahead of online sources when that is the desired result. If you change source order after items already exist, refresh their metadata so the new order is applied.

Source priority is field-sensitive in practice: a local poster may be selected while the plot comes from an online catalog. If a single field remains wrong, inspect the source settings before repeatedly renaming files.
Plex-specific matching controls
Movie names and IDs
For Plex movie libraries using the current Plex Movie agent, include the release year when it is known. When the title is still ambiguous, add a documented TMDB or IMDb ID in curly braces, for example Film Title (2022) {tmdb-272}.mkv. The exact placement should follow Plex’s current movie-naming guidance; the essential point is that the ID is written in the syntax recognized by that agent.
Series-level .plexmatch hints
Plex supports a .plexmatch file for television content when the scanner cannot reliably infer the series. The file can provide the show title, season, year, provider ID, or GUID. A provider-ID hint takes precedence over title and year hints and over the series directory name.

They tell Plex which episode a file contains instead of relying entirely on filename parsing. Keep these hints with the series content and use them only where ordinary naming is insufficient; a consistent naming scheme is easier to maintain.

NFO files and stable identity
Plex documents NFO support for Plex Media Server 1.43.1 and newer. An NFO file is UTF-8 XML containing supported movie, television, or episode tags. For identity, Plex recommends typed <uniqueid> elements, such as a TMDB ID.
A consistent unique ID can produce a stable internal GUID. That stability helps preserve watch status and play history when a library is rescanned or when other metadata changes. NFO support and accepted tags are version-dependent, so check the requirements for the server version you actually run before standardizing an NFO workflow.
Jellyfin identifier syntax
Jellyfin documents provider IDs in file and folder names. Its supported forms include bracket, parenthesis, and brace notation, with provider identifiers for services such as TMDB, TVDB, and OMDb/IMDb. The server’s provider configuration and version determine which providers are enabled and how an ID is interpreted.
Do not copy a Plex {tmdb-...} example into a Jellyfin library and expect identical behavior, or move a Jellyfin multi-provider name into Plex without checking its agent documentation. The shared principle is explicit identity; the delimiters and provider labels remain product-specific.

Music matching is a tagging problem as well as a naming problem
Music libraries depend heavily on organization and embedded tags. Artist, album, album-artist, track number, disc number, year, and genre fields should be internally consistent. A folder tree that separates artists and albums helps discovery, while correct embedded tags improve identification and display.
There is no single tagging recipe that applies to every music format or server. If an album is misidentified, first correct the embedded tags and folder structure, then use the server’s own edit or fix-match controls. Treat music metadata separately from video filename hints: a movie ID in a filename does not solve an album-tag problem.
A reliable troubleshooting sequence
- Verify the library type and path. Confirm that movies, television, and music are assigned to separate libraries and that each path contains the expected media type.
- Check names and hierarchy. Add a recognizable title and year for movies. For television, use a series and season structure with clear episode numbering. Remove confusing text that could be mistaken for part of the title.
- Add an explicit provider ID when needed. Use the syntax documented for your server and selected agent. An ID is the fastest remedy for a genuine title collision.
- Use Plex TV hints for difficult series. If Plex cannot infer the series, season, year, provider ID, GUID, or episode, add the appropriate
.plexmatchhint rather than repeatedly guessing at filenames. - Inspect agent and provider settings. Check which metadata agent is selected, which providers are enabled, and the order of online, local, and embedded sources.
- Refresh existing metadata after source changes. New priorities do not necessarily rewrite items already in the library. Run the product’s refresh-metadata action for the affected item or library.
- Use fix-match only after checking identity clues. Manual correction is appropriate when the file is well identified but the automatic choice is wrong. If the underlying name or ID is ambiguous, the error can return at the next scan.
- For supported Plex installations, consider NFO identity fields. Use UTF-8 XML and typed unique IDs when you need structured local control or stable identity across rescans.
Common symptoms and the likely cause

How to make a library resilient to future rescans
- Keep one media type per library path.
- Use stable, human-readable names with years where relevant.
- Keep provider IDs consistent rather than switching between catalogs for the same item.
- Store local posters, subtitles, and NFO files beside the media only when you intend to manage those assets locally.
- Document which source has priority so a future server migration does not silently change artwork or descriptions.
- After reorganizing files, rescan and verify a sample of movies, series, episodes, and albums before applying the same change to the entire library.
The practical model is simple: scanning answers “what files exist?”, matching answers “which catalog item is this?”, and metadata sources answer “which details should be displayed?”. Good structure supplies reliable clues, explicit IDs resolve ambiguity, and source priority determines whether the final library reflects online catalog data or your own local assets.
