Order enough bags for the people who are actually meant to receive one—not automatically for the venue’s capacity or total footfall. Count each recipient group once, add a reserve for specific uncertainties, and subtract usable stock already assigned to the event.
Calculate the number of bags from your recipient plan
Use this planning equation:
Order quantity = planned, non-overlapping recipient allocations + justified contingency − usable stock already assigned.
This is a practical synthesis of supplier guidance, not a formally validated industry standard. The key is to count intended recipients rather than simply adding percentages to the event’s headline attendance.
- Define who gets a bag. Write down the distribution promise: for example, one for every registered attendee, or one for people who complete a booth demo.
- Count recipient groups separately. List attendees, speakers, staff, sponsors, volunteers, or other groups only if they are meant to receive bags. Check for overlap: speakers or staff may already be included in an attendee or kit count.
- Estimate selective handouts. If bags are giveaways rather than guaranteed kits, estimate likely recipients using a defined interaction, such as qualified booth conversations or completed demos.
- Set a contingency for a named risk. Account for likely walk-ins, late additions, damaged bags, or distribution practices that could lead to extras. Avoid treating a buffer as an unexplained automatic percentage.
- Subtract usable event stock. Deduct existing bags only if they are available, appropriate for this event, and not already allocated elsewhere.
- Assign responsibility and distribution. Record who owns each allocation and when bags will be handed out; a controlled handoff makes the count easier to manage.
Estimate by event type
Conference, seminar, or attendee kit
If each registered attendee is promised a bag, start with the confirmed kit or recipient count—not room capacity. Add speakers, staff, AV crew, sponsors, or late registrants only when they need a bag and are not already included. A self-service pile can lead some people to take more than one; handing bags out at registration gives you more control.

Exhibition booth or trade-show handout
Do not order one for every show visitor unless that is genuinely your distribution plan. Estimate the number likely to receive a bag through the booth: for example, qualified conversations, demos, badge scans, or another clearly defined interaction. Factor in the show’s duration, booth staffing and location, and any tiers of giveaway. Use results from past events or state your traffic assumption plainly. Supplier booth-capture heuristics vary, and the available guidance does not establish a universal capture rate.
Launch, campus fair, race, or customer event
Count the group that will actually receive bags: expected customers attending, students who stop at a stall, race entrants, or registered participants, depending on what you promise. Add volunteers, marshals, or late participants only when they are intended recipients. For selective distribution, total footfall is not the same as the number of bags needed.

Choose a contingency that matches the risk
Suppliers offer differing rules of thumb: Bag Printing UK recommends about 10% extra for speakers, staff, and late arrivals, while Perfect Imprints suggests a 10–15% buffer for promotional products. These are supplier recommendations, not a universal rate or independently established demand statistics. Perfect Imprints illustrates its formula with 300 expected attendees × 1.15 = 345 units; that is a worked example, not evidence that every event needs 15% extra.

A larger reserve may be justified when walk-ins are common or running short would break a promised attendee kit. Name the uncertainty the reserve covers, then consider the cost and storage risk of unused bags.

Check the bag and fulfillment before ordering
Set the quantity plan before committing to a product, then check that the chosen bag can handle the intended contents and presentation.
- Capacity and load: Compare the bag’s dimensions with the largest item going inside and assess whether its construction can carry the combined contents.
- Material and construction: Choose based on the desired presentation and anticipated reuse, not appearance alone.
- Decoration: Confirm that the imprint area and decoration method work on the selected bag, and approve a proof for that product.
- Order and delivery terms: Minimum quantities, price tiers, production time, and delivery schedules vary by supplier and item. Confirm current terms with the seller and allow time for artwork, proof approval, production, shipping, inspection, and kit assembly.
Totes and conference bags are common event choices, but a specific product’s availability, dimensions, material, quantity options, and delivery terms must be checked on its live listing. Custom-branded orders may require a specialist supplier.
