A business laptop usually serves well for three to five years. If you need one budgeting assumption, use four years—but treat that as a planning point, not an automatic replacement date. Keep a laptop longer when its operating system is supported, security controls and applications work, failures are rare, and repairs remain economical. Replace it when support ends, reliability or performance threatens work, required software or peripherals no longer function, or repair and downtime costs approach the cost of a supported device.

What “laptop lifespan” actually means

A laptop has several lifespans, and they do not end at the same time:

  • Mechanical life: how long the chassis, hinges, ports, keyboard, display and cooling system continue working.
  • Performance life: how long the processor, memory, storage and graphics hardware can handle the employee’s workload with acceptable responsiveness.
  • Support life: how long the operating system, firmware, drivers, security tools and vendor service remain supported.
  • Economic life: the point at which repairs, downtime and administration cost more than keeping the device in service is worth.

A four-year-old laptop can therefore be a sensible production machine for one employee and an unacceptable risk for another. A traveling salesperson, developer, designer or executive may exhaust a device sooner than a desk-based employee who mainly uses a browser and office applications. Age helps you schedule reviews; its condition and support status determine the decision.

Operating-system support is the hard boundary

Security support matters more than the purchase date. Microsoft states that Windows 10 version 22H2 was serviced with monthly updates only through October 14, 2025. After that date it no longer receives quality, feature or security updates, and Microsoft recommends moving to a Windows 11 PC. A Windows 10 laptop still turning on is not necessarily a supported business endpoint.

Windows 11 support is tied to both the release and the edition. Microsoft documents one feature update each year, with the following servicing periods:

Windows 11 edition Support period from general availability
Home, Pro, Pro for Workstations and Pro for Education 24 months
Enterprise and Education 36 months

Check the exact Windows edition and release installed on every managed laptop. A device that cannot meet your organization’s supported Windows 11 configuration, security baseline or management requirements should move into replacement planning even if its hardware appears fast enough.

How to decide whether to keep, repair or replace a laptop

Use the following decision sequence during an annual review or after a significant incident.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Confirm support. Verify the Windows edition and release, vendor firmware and driver availability, endpoint-security support, and your organization’s required update policy.
  2. Measure the work it must do. Record memory pressure, storage free space, application wait times, video-conferencing quality, docking behavior and any workload-specific requirements.
  3. Review reliability. Count incidents, forced shutdowns, repair tickets, failed ports, display or hinge problems and lost work during the previous 12 months.
  4. Check serviceability. Confirm warranty status, parts availability, repair turnaround and whether the battery, SSD, memory or other failed component can be replaced.
  5. Compare total cost. Add the proposed repair or warranty expense to technician time, shipping, loaner equipment, employee downtime and the risk of another failure.
  6. Choose the least risky option. Keep a supported, reliable device; repair a single replaceable bottleneck; or replace the whole system when risk or cost is no longer acceptable.

Keep the laptop

Keeping it is reasonable when the current Windows configuration remains supported, security controls report healthy, required applications run acceptably, failure history is low and parts or service are available. Record the warranty end date, battery health, free storage, memory pressure, recurring incidents and parts availability so the decision can be revisited with evidence rather than guesswork.

Repair or upgrade it

Repair first when one replaceable component is the bottleneck. Common examples include a worn battery, failing SSD, upgradeable memory, keyboard, display, charger or dock. A component repair can restore a dependable laptop without the migration work, configuration time and data-handling steps that accompany a full replacement.

Repairability is improving on some newer designs. Microsoft’s 2025 sustainability reporting says newer Surface devices include at least 11 replacement components and describes repairability work intended to extend device life. That does not mean every model is equally serviceable, so verify the exact model’s parts and service documentation before approving a repair.

Replace the whole laptop

Replace it when one or more of these conditions applies:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • It cannot run a supported operating-system version or receive required security updates.
  • Business applications, identity tools, endpoint security, docking, video conferencing or required peripherals fail after reasonable remediation.
  • Repeated failures or downtime exceed the tolerance for the employee’s role.
  • The required memory, processor, storage, graphics or AI/NPU capability cannot be reached through supported upgrades.
  • Repair, battery, warranty and lost-productivity costs approach the delivered cost of a new supported device.
  • The chassis, ports, hinges, display or battery creates a safety or reliability risk.

When a battery problem means “replace the battery”

A weak battery alone does not automatically justify a new laptop. Dell identifies several concrete battery-replacement signals: the diagnostic health status is “Fair” or “Poor,” runtime has fallen below 50% of the original capacity, diagnostics report an error, the laptop shuts down unexpectedly, the battery is swollen or damaged, or heavy use has pushed it into the roughly two-to-three-year range.

Before ordering a compatible replacement battery for your exact laptop model and part number, complete this triage:

  1. Run the manufacturer’s battery diagnostic and record the health result and any code.
  2. Compare practical runtime with the original specification or your organization’s mobility requirement.
  3. Check for unexpected shutdowns, charging failures, overheating or rapid percentage drops.
  4. Inspect the case for lifting, gaps, trackpad distortion or other signs of swelling.
  5. Confirm that the replacement part is engineered for that exact system and that installing it will not void applicable warranty coverage.

A swollen or physically damaged battery should be removed from service and handled through qualified support; do not continue charging it or attempt an improvised repair. Dell warns that third-party batteries can introduce safety, performance, compatibility and warranty risks. Use a genuine, model-specific part or an approved service channel, and follow your organization’s procedures for transport and recycling.

Is a four-year-old business laptop too old?

Not by itself. Four years is a useful budgeting reference because Lenovo describes an organization refreshing hardware on a four-year cycle while moving its workforce to Windows 11 devices. That example supports a planning cadence, not a universal expiration rule.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

At four years, perform a formal review rather than making an automatic decision. A supported, stationary laptop with low incident rates and a recently replaced battery may remain economical. A heavily traveled laptop with worn hinges, limited memory, repeated dock failures and a looming support deadline may already be a replacement candidate.

Application and peripheral compatibility need local testing

Microsoft reports App Assure compatibility above 99.7% for enterprise organizations, including line-of-business applications. That broad result is useful reassurance, but it cannot certify your company’s own software stack. Test the applications, identity workflow, security agents, docks, printers, scanners, conference-room equipment and specialized peripherals employees actually use.

For a replacement or Windows migration pilot, select representative users from each role. Confirm sign-in, policy enrollment, VPN or zero-trust access, file associations, macros or plug-ins, printing, docking, cameras, microphones, external displays and sleep or resume behavior. Record failures and remediation steps before expanding the rollout.

How to set a company laptop-refresh policy

A rolling policy is safer than replacing every device on one birthday. Build the policy around a three-to-five-year planning window, with four years as the starting assumption, then adjust it for role, travel, workload, warranty terms and support status.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use role-based refresh tiers

  • Mobile and business-critical users: review earlier because travel wear, battery dependence and downtime have a larger impact.
  • High-performance users: review against application, memory, graphics, storage and emerging AI requirements rather than age alone.
  • Light-duty or stationary users: keep longer when the operating system, security controls, applications and hardware remain reliable.

Review every year

For each asset, check OS eligibility, vendor support, battery health, incident count, application performance, free storage, memory pressure and parts availability. Match service coverage to the expected PC lifecycle; Lenovo explicitly recommends matching coverage duration with that expected lifecycle. Its sealed-battery replacement coverage can extend up to three years, so compare the term with the period you intend to keep the device.

Pilot before broad deployment

Plan readiness checks before a company-wide Windows or hardware rollout. Pilot the applications and peripherals listed above, validate security and identity enrollment, and provide a rollback or loaner path for roles that encounter blocking issues.

Plan data handling and disposition

Preserve or securely erase storage according to company policy and regulatory obligations. A service such as Lenovo’s “Keep Your Drive” illustrates why retaining a failed or replaced drive can matter for privacy and compliance. Document whether each old laptop will be redeployed, refurbished, recycled or harvested for usable spare parts; a refresh cohort should not send a working device to disposal automatically.

Compare the alternatives on the same seven criteria

When a device is borderline, score a battery or component repair, a warranty extension, a refurbished replacement and a new business laptop against the same criteria:

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Supported security and OS lifecycle
  • Workload performance and headroom
  • Reliability and downtime history
  • Repairability and parts availability
  • Warranty and service response
  • Battery mobility
  • Total cost of ownership

This prevents a cheap repair from looking attractive when it leaves an unsupported operating system, and prevents a new purchase from looking necessary when a battery swap resolves the only material defect.

A practical four-year assessment checklist

  • Identify the Windows edition and release, and confirm that it remains within your support policy.
  • Check endpoint-security status, encryption, patch compliance and firmware support.
  • Measure battery health and runtime; investigate any swelling or unexpected shutdowns immediately.
  • Review the last year of incidents, repairs, lost work and loaner use.
  • Test the applications and peripherals that are essential to the employee’s role.
  • Check memory pressure, storage headroom and workload performance during normal peak use.
  • Confirm warranty end date, service response, parts availability and repair turnaround.
  • Compare the fully loaded repair cost with a supported replacement, including migration and downtime.
  • Decide whether to keep, repair, redeploy or replace, and record the reason and next review date.

The decision in one sentence

Budget for three to five years, review at least annually, and replace a business laptop when support, security, reliability, required performance or repair economics—not the calendar alone—make continued use a business risk.
