For ordinary transport in India, an e-way bill is valid for one day for up to 100 km, plus one more day for every additional 100 km or part of 100 km. Over-dimensional cargo (ODC) follows a shorter distance increment of one day for every 20 km or part thereof. The bill expires at midnight on its last valid day. If an exceptional event such as a breakdown, accident, natural calamity, law-and-order problem or trans-shipment delay prevents delivery, the eligible transporter can request an extension through the official system, normally from eight hours before until eight hours after the existing expiry time.
E-way bill validity at a glance
The distance schedule comes from the e-way bill rules. Use the standard schedule for ordinary consignments and the ODC schedule when the consignment is classified as over-dimensional cargo.

The standard table is set out in the Government of India’s Chapter XVI: E-Way Bill Rules. The ODC schedule is stated in the E-Way Bill System FAQ. A partial distance counts as a complete increment: 250 km therefore receives three standard validity days, not two.

The FAQ says the validity ends at midnight on the last day. Treat that as a hard deadline unless an extension is successfully recorded in the system.

When does the validity clock start?
There is an important wording difference between two official documents. The system FAQ says validity starts when the first entry is made in Part B of Form GST EWB-01: the first vehicle entry for road movement, or the first transport-document-number entry for rail, air or ship movement. Later Part-B entries do not restart or recalculate the period.
The rules PDF describes validity as being counted from the time the e-way bill is generated. Because those descriptions are not fully aligned, do not calculate a disputed deadline from memory. Check the bill’s displayed validity, the current portal guidance and the applicable rule for your movement. If timing is commercially or legally critical, preserve screenshots and transport records showing when Part B was first completed.
In practical terms, enter the first Part-B transport detail promptly and monitor the displayed expiry time. Changing vehicles later is a transport update; it is not a new validity period.

Can a delayed shipment receive an extension?
Yes, but an extension is intended for an exceptional circumstance, not for routine lateness or poor planning. The official FAQ describes extension in circumstances of an exceptional nature and trans-shipment, after the transporter updates the reason and relevant Part-B details.
Events that can support an extension request
- Accident involving the conveyance.
- Vehicle or other conveyance breakdown.
- Natural calamity that blocks or materially delays movement.
- Law-and-order problems, road closures or similar official restrictions.
- Trans-shipment delays or an in-transit warehouse situation that prevents completion within the remaining validity.
The official E-Way Bill System Q&A asks the transporter to explain the reason in detail. A vague note such as “delay” is less useful than a factual description identifying what happened, where it happened and why the original route could not be completed.

When can you submit the extension?
The official Q&A and the Extend Validity API documentation describe a window beginning eight hours before expiry and ending eight hours after expiry. That is an operational window around the existing expiry time; it is not permission to wait indefinitely after a bill has lapsed.
Start the request as soon as the exceptional event is known. Waiting until the final hours creates a risk that the portal window, connectivity, authentication or transporter assignment will prevent completion. Keep the incident evidence—breakdown records, police or authority notices, weather information, toll records, workshop details and updated vehicle documents—alongside the bill number.

The transporter carrying the consignment when the delay occurs is normally the person who should submit the extension. The request identifies the current transporter and the vehicle or transport document now associated with the movement.
The API guidance states that, when no transporter is assigned, the generator can update the relevant information. If a different transporter is shown on the bill, resolve the assignment before attempting the extension or use the role permitted by the live portal. Login permissions and validations can change, so follow the current fields rather than an old screenshot or third-party checklist.
How to extend an e-way bill on the portal
Use the official E-WayBill System portal. Menu names can be revised, but the process is generally the following.

- Sign in with the responsible GST/e-way-bill account. Use the transporter account that is actually carrying the goods, where that transporter is assigned.
- Open “Extend Validity.” Select the extension function from the e-way bill operations menu and enter the e-way bill number.
- Confirm the movement details. Check the displayed bill, transport mode, current Part-B information and existing expiry before submitting anything.
- Select the applicable reason. Choose the closest exceptional-event reason offered by the portal, such as breakdown, accident, natural calamity, law-and-order issue or trans-shipment.
- Describe the event in detail. State what happened, the date and location, how movement was interrupted and why the requested time is necessary. Use factual remarks that match your supporting records.
- Enter the present location. Provide the current place of the goods or conveyance, including the warehouse or breakdown location when relevant.
- Enter the approximate remaining distance. Give the distance still to be travelled to the destination. The API validation says this cannot exceed the original distance.
- Update Part-B transport information. For road movement, enter the current or replacement vehicle number and other requested vehicle details. For rail, air or ship, provide the applicable transport-document information.
- Review and submit inside the eight-hour window. Save the acknowledgement or updated bill and verify the new validity shown by the system.
The FAQ says the extension is calculated with reference to the remaining distance. It also says Part A cannot be changed through this extension process. If the destination, consignor, consignee or other Part-A data is wrong, correct the underlying compliance issue through the appropriate process instead of trying to use an extension as an edit function.

Special cases: warehouse, trans-shipment and breakdown
Goods held in a warehouse
If goods are in a warehouse while the bill is approaching expiry, the official Q&A describes entering the warehouse location and selecting the applicable transit status in the extension workflow. Record why the goods are there, when they arrived and what onward movement remains. The warehouse address should correspond to the actual location at the time of the request.
Vehicle breakdown
Use the extension facility, select the breakdown-related reason and enter the breakdown location. If a replacement vehicle is arranged, provide the current vehicle details required by the portal and retain the workshop or roadside documentation. A vehicle change by itself does not create a fresh validity period; it is part of updating the existing movement.
Trans-shipment
For goods transferred between conveyances, update the Part-B transport information for the movement that is actually continuing. Explain the trans-shipment delay and identify the current location. Do not assume that each new vehicle grants another full validity period.
What information should be ready before you start?
- E-way bill number and the account credentials of the eligible user.
- The exceptional-event reason code and a detailed factual explanation.
- Current location of the goods or conveyance.
- Approximate remaining distance to the original destination.
- Current road vehicle number, or the transport-document number for rail, air or ship.
- Replacement-vehicle information, when applicable.
- Incident evidence and contact details for the driver, transporter, workshop, warehouse or authority involved.
The API documentation also imposes technical validations: a reason and remarks are required, remaining distance must not be greater than the original distance, and the transport identifier must match the selected mode. The API guidance further restricts an extension beyond 360 days from generation. That limit is an implementation constraint documented for the API; the portal’s current validation should control an actual submission.

What happens if the e-way bill expires?
The official FAQ says goods whose e-way-bill validity has expired are not supposed to be moved, subject to the exceptional and trans-shipment extension context. Do not simply continue the journey and hope to regularize it later.
If the vehicle is still stopped and the event falls within the eight-hour post-expiry window, submit the extension immediately with complete details. If the window has passed, contact the responsible GST/e-way-bill authority or help channel and document the shipment’s location and circumstances before moving. The correct remedy can depend on the current portal rules, the nature of the event and any inspection or detention already underway.

Using the wrong distance schedule
Do not apply the 20-km schedule to ordinary cargo. It is for ODC; ordinary transport uses 100 km per day plus a day for every additional part of 100 km.
Counting only complete distance blocks
“Part thereof” means a fraction creates another day. A standard 301-km journey is four days, not three. For ODC, 61 km is four days, not three.

Later vehicle entries do not restart validity under the FAQ’s operational explanation. Track the original bill and its displayed expiry.

Submitting a generic reason
“Traffic” or “delay” without context may not explain an exceptional circumstance. Identify the incident, location, date, operational effect and remaining route.
Entering an inaccurate remaining distance
Use a reasonable route estimate from the actual location. The API validation does not allow a remaining distance greater than the original distance, and inconsistent data can trigger rejection or questions during inspection.
Trying to change Part A during extension
The extension function is for validity and transport details. It is not the mechanism for changing Part-A information.
Waiting until after expiry
The eight-hour window is narrow and measured around the existing expiry. Build an internal alert before the final day, especially for long-haul, seasonal or multi-trans-shipment routes.
A practical monitoring checklist for transport teams
- At generation, record the e-way bill number, distance, transport mode and displayed expiry.
- When the first Part-B entry is made, record its timestamp and the vehicle or transport document used.
- Set alerts at least 24 hours before expiry and again eight hours before expiry.
- At the first sign of an exceptional delay, capture the exact location, event time, reason and remaining distance.
- Confirm who is the current transporter and whether a replacement vehicle or transport document is needed.
- Submit the extension within the permitted window and save the acknowledgement.
- Verify that the updated bill displays the new validity before the vehicle resumes movement.
Why the official sources should be checked before acting
The figures and workflows above come from official system material, but portal validations and regulatory instructions can change. The FAQ, Q&A, rules PDF and API reference do not use identical wording for the start of validity, which is why a live bill display matters in a disputed case. Before moving a delayed consignment, check the current portal and the latest official guidance for the relevant transport mode, state, destination and event.

Bottom line for a delayed shipment
Calculate ordinary validity in 100-km increments, ODC validity in 20-km increments, and treat midnight on the final day as the normal expiry. If an exceptional event interrupts the journey, the current transporter should use “Extend Validity” from eight hours before to eight hours after expiry, provide the current location, remaining distance, detailed reason and updated Part-B transport data, then confirm that the portal records the extension. Do not keep moving with an expired bill or treat a vehicle change as a new validity period.
