Build patient reviews through a consistent, neutral invitation that gives every eligible patient the same opportunity to share an honest account of a service they experienced. Keep that public-review request separate from private experience surveys, protect patient information in messages and replies, and check the rules of each review platform and the data practices of any vendor you use. Search snippets are not the strategy: a dependable process is.

What a trustworthy review process is—and is not

A review program is a repeatable way to invite feedback, not a campaign to secure praise. The Federal Trade Commission (FTC) advises marketers to solicit reviews from people who experienced the service and not to ask only those expected to leave positive reviews. Selective invitations can distort the picture prospective patients see. The invitation should therefore be neutral, and eligibility should not depend on a satisfaction score, a staff member’s impression, or a patient’s willingness to recommend the practice.

Reviews and private feedback serve different purposes. A public review is an account a patient chooses to share on a review platform. A private experience survey is a channel the practice can use to learn what is working and what needs attention. Keep both routes available without using survey answers to decide who receives the public-review link. HHS recommends post-visit surveys as part of telehealth practice, while the FTC cautions against selectively soliciting likely-positive reviewers.

There is no basis here for assuming that search snippets are disappearing or that a particular search feature has changed. The useful response to any uncertainty about search presentation is to build a review process the practice can operate directly and responsibly.

Set the review workflow before inviting anyone

Choose destinations you can maintain

Decide which public review destinations the practice is prepared to monitor and respond to. Before launching, check each platform’s current solicitation and incentive rules; those rules can differ and change. A platform link is only useful if staff know where it leads, the practice is willing to manage feedback there, and the solicitation method is permitted by that platform.

Define eligibility and keep it neutral

Write down who receives the invitation and apply the same standard consistently. A practical standard is that the person experienced the service and is eligible for the practice’s ordinary follow-up. Do not create separate routes based on whether someone had a good visit, gave a high survey score, praised a clinician, or seems likely to post a favorable comment. FTC guidance warns against asking only customers expected to leave positive reviews.

Operationally, this means staff should not decide at checkout whether a particular patient “deserves” the link. If the practice uses a follow-up list, the rule for inclusion should be service-based rather than sentiment-based. Keep the process simple enough that an employee cannot quietly screen out dissatisfied people.

Separate public review invitations from service-improvement surveys

Offer a private survey when the practice wants structured feedback for improvement. Send it through a communication channel suitable for the information it carries; HHS identifies encrypted email and patient portals as examples of secure communications and recommends post-visit surveys in telehealth guidance. Survey responses can inform internal service work, but they should not determine who is routed to a public review site.

Do not send sensitive health details to a general-purpose marketing tool merely because it can automate a message. Assess the information moving through the system, the safeguards in place, and the obligations that apply to the practice and vendor before using that channel.

Choose the communication channel by the data it carries

Text, email, a patient portal, a survey system, a review-management service, and a QR code are not interchangeable. Choose based on what each channel handles, not just how quickly it can distribute a link.

Option Best-fit role Questions to resolve
Patient portal Secure communication and private post-visit feedback when appropriate to the practice workflow What patient-linked information is retained, who can access it, and does the message clearly separate private feedback from a public-review choice?
Encrypted email A secure communication option identified in HHS telehealth guidance Is the email actually encrypted as used by the practice, and does its content avoid unnecessary health details?
Text message A possible way to deliver a neutral invitation, subject to privacy and workflow review What information appears in the text or link preview, which vendor processes it, and is the communication appropriate for the data involved?
Survey platform Private experience feedback for service improvement What does the vendor collect, use, share, keep, and secure? Is the public-review invitation kept separate from survey scoring?
Review-management software Potentially useful for organizing invitations or monitoring public feedback Does it send the same neutral opportunity without sentiment screening, what patient-linked data does it handle, and do destination platforms allow the method?
QR code sign An optional access aid for an approved review link Can patients choose freely without staff pressure, and does the code go to a neutral destination rather than filtering by likely sentiment?

Before selecting a tool, map the data flow: what information is collected, where it goes, why it is used, who receives it, how long it is kept, and how it is protected. Make sure the practice’s privacy statements accurately describe actual practices, including vendor handling. A vendor’s marketing claim that it is “HIPAA certified” is not a substitute for evaluating its role, safeguards, contract, and data flows.

Understand the privacy and legal questions before sending requests

HIPAA does not make every review reminder automatically permissible or automatically forbidden. HHS explains that a covered entity or business associate generally needs an individual’s valid HIPAA authorization to use or disclose protected health information (PHI) for marketing. Whether a particular service-related review request is a marketing use depends on the facts and the data flow. A practice should not assume the answer solely from the label “review request” or from the fact that the message is routine.

Where HIPAA marketing authorization is required, HHS says it must be signed, written in plain language, and specific about the information, recipient, timing, and purpose. Treatment generally cannot be conditioned on giving that authorization, subject to limited exceptions. If a proposed workflow may involve PHI for marketing, have qualified privacy or legal professionals assess the precise use and disclosure before deployment.

HIPAA is not the only relevant framework. HHS notes that FTC Act duties apply to HIPAA-covered entities and business associates, as well as companies outside HIPAA that collect, use, or share consumer health information. Practices should use safeguards, make clear and accurate representations about privacy, and periodically review their handling of health data. A promise such as “your feedback is private” must match what the platform and vendors actually do.

For any communication method, ask the same practical questions: Does the message reveal more than it needs to? Does a link or preview disclose sensitive context? Can the vendor use data for another purpose or share it with another recipient? How long are records retained, and what safeguards apply? A secure channel does not eliminate the need to assess the purpose and information involved.

Use a simple, non-pressuring invitation

Write a short message that identifies the practice, invites an honest account, and makes clear that participation is optional. Do not imply that a favorable review is expected, offer a reward for a positive rating, or make care depend on posting. Do not ask patients to disclose health details publicly. A neutral example is:

Thank you for visiting our practice. If you would like to share an honest account of your experience, you can do so here: [approved review link]. Sharing feedback is optional. For private feedback or questions about your care, please contact us through [appropriate practice channel].

Use the bracketed wording only as a drafting aid and replace it with the practice’s actual approved link and contact route before sending. Avoid including visit details or other sensitive information in a general-purpose message unless the channel and use have been appropriately evaluated.

Build the invitation into a consistent point in the follow-up workflow rather than relying on individual staff to improvise. For example, assign a staff role or system process to send the neutral message after the relevant service. If the practice adds a QR code at reception, treat it as another access route to the same approved destination, not as a way to steer only apparently satisfied patients. A QR sign is optional; it cannot replace fair solicitation, privacy review, or response ownership.

Do not buy, filter, or manufacture favorable sentiment

Do not offer an incentive conditioned on a positive review, and do not use fake reviews or a vendor that manipulates ratings. The FTC advises disclosing incentives where appropriate and checking platform rules before launching an incentive-based solicitation. Because platform policies vary, an approach permitted under one platform’s rules may not be permitted under another’s.

The FTC approved its Consumer Reviews and Testimonials Rule in August 2024; FTC staff says it went into effect on October 21, 2024. The rule’s staff Q&A addresses incentives, insider reviews, and review handling. Practices should consult the current rule guidance and destination-platform policies rather than treating an old vendor workflow as permanently compliant.

Third-party reputation firms do not remove the practice’s responsibility to supervise a program. The FTC warns that such firms may generate fake reviews and that a business can be responsible for conduct undertaken on its behalf. Before engaging a vendor, examine what it actually does, how it selects recipients, whether it suppresses or routes feedback based on sentiment, what claims it makes, and how it handles patient-linked data. A contract or dashboard label does not make a misleading practice acceptable.

Respond to reviews without confirming patient status

A public reply can protect privacy while showing that the practice takes feedback seriously. The American Medical Association’s 2025 guidance says HIPAA does not explicitly prohibit physicians from responding to online reviews, but physicians must protect PHI even when the reviewer has already disclosed personal information. The AMA advises against acknowledging that the person is a patient, recommends speaking generally about practice policies if responding, and suggests taking case-specific discussion offline.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not confirm an appointment, diagnosis, treatment, clinician relationship, or other patient-specific fact in a public reply. A patient’s own disclosure is not permission for the practice to disclose anything. Avoid correcting the reviewer’s account with details from the medical record, even when the practice believes the review is inaccurate.

A privacy-conscious reply can be brief: “We take feedback seriously and are committed to respectful care. We cannot discuss individual circumstances in a public forum. Please contact our office through [appropriate channel] if you would like to speak with us.” Adapt this only to the practice’s actual policies and contact methods. Keep the public response general; move any case-specific discussion to an appropriate private channel.

Assign someone to monitor the selected review destinations and route urgent or clinical matters through the practice’s established processes rather than trying to resolve them in public. Review responders should know what they may say, what they must not confirm, and where to refer a patient who contacts the practice offline.

Audit the process as channels and vendors change

Review the workflow periodically instead of assuming that a message, platform rule, or vendor claim remains suitable indefinitely. Check the following items when reviewing the process:

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  • Invitation fairness: Is the same neutral opportunity offered to eligible people, without using satisfaction scores or staff judgment to screen for positive sentiment?
  • Destination rules: Do the current solicitation method and any incentive comply with the rules of every platform receiving reviews?
  • Message content: Does the invitation avoid unnecessary patient-specific information and accurately describe the optional nature of feedback?
  • Data flow: What is collected, why, where it goes, who receives it, how long it remains, and what safeguards protect it?
  • Privacy representations: Do statements about confidentiality and vendor handling match the actual practice?
  • Vendor conduct: Does the provider screen recipients, manipulate ratings, generate reviews, or use patient-linked data in ways the practice has not evaluated?
  • Response ownership: Is a staff member responsible for monitoring reviews and using privacy-safe replies?

When a platform updates its rules, a vendor changes its system, or the practice changes its messaging, reassess the relevant parts of the workflow before continuing. The central test remains whether the practice can explain and defend how it invites feedback, handles information, and responds to public comments.
