Businesses can manage group food orders reliably by collecting each attendee’s meal choice and dietary needs before ordering, confirming allergy details directly with the restaurant or caterer, and keeping special meals identifiable from kitchen preparation through handoff. For allergies, a menu label or ordering-platform filter is not proof that a meal is safe.
Build a clear process before placing the order
One person should own the final order and the communication with the food provider. Set a response deadline that gives the vendor enough time to review requests, then collect each attendee’s meal selection and relevant dietary details. For recurring meetings, use a consistent process and let people update their information rather than relying on an old list.
Record preferences separately from allergies. Vegetarian, vegan, and religious dietary requirements affect what someone chooses to eat; an allergy may require checking ingredients and preparation practices. Capture only information needed to fulfill the order, and pass it to the person who will place and verify it.

Use a practical order record
- Attendee name and meal choice.
- Dietary preference or requirement, stated plainly.
- Any reported food allergy, including the food identified by the attendee.
- Whether the vendor has confirmed ingredients and preparation for an allergy request.
- How the meal will be separated and identified at delivery.
Do not turn an attendee’s report into a broader safety guarantee. The organizer’s role is to communicate the request accurately and obtain a clear answer from the provider.

Confirm allergy requests with the restaurant or caterer
For a reported allergy, contact the restaurant or caterer directly. Ask about the ingredients in the specific meal and how it will be prepared, including whether equipment or preparation surfaces may contact the allergen. A dietary filter, menu description, or label such as “allergy-friendly” does not establish that a meal is safe.
The CDC recommends that restaurants make ingredient lists or recipes available, train staff, and have a plan for allergy requests. It recommends separate equipment and preparation areas when feasible; if those are unavailable, staff should thoroughly clean and sanitize equipment and surfaces before preparing food for a customer with allergies. These are risk-reduction practices, not a guarantee that a meal is allergen-free. See the CDC’s restaurant food-allergy guidance.
What to do when the answer is uncertain
If the provider cannot confidently explain the ingredients or preparation controls, do not promise the attendee that the meal is safe. Ask whether the provider can confirm an alternative; if not, use another provider or make a different arrangement with the attendee. Do not treat silence, a generic menu note, or an automated platform response as confirmation.

Keep requirements attached to the order
Send the final selections and allergy details to the person placing the order and, where possible, confirm that the information reaches the kitchen. Ask the vendor how special meals will be prepared, kept separate, and identified at delivery. Put critical details where the provider will see them; a general note buried in an order is easy to miss.
The 2022 FDA Food Code addresses allergen awareness in food-service training and identifies ingredient information, cross-contact prevention, communication, and establishment-specific procedures as relevant to allergen management. It is a model code for jurisdictions to adopt or adapt, not a rule that applies identically everywhere. Check the current requirements adopted where the food is prepared or served.
Choose an ordering format that fits the group
Shared catering and individual meals can both work. The key difference is how easily the organizer and vendor can keep each choice linked to its recipient and communicate any special handling. Compare the approaches with the provider before choosing:

| Consideration | Shared catering, such as trays or buffet food | Individual selections in a coordinated order |
|---|---|---|
| Choice collection | Often requires the organizer to gather preferences and decide quantities. | Can associate a selected meal with an attendee, depending on the ordering process. |
| Meal identification | Ask how any separate meal will be kept apart from shared dishes and identified. | Ask whether each meal can be labeled and checked against the attendee list. |
| Allergy communication | Confirm how the allergy request reaches the kitchen and how ingredient information is supplied. | Confirm the same details; individual ordering does not itself verify ingredients or preparation. |
| Coordination | May simplify serving a group from a small number of dishes, but requires careful identification of special items. | May make person-to-meal matching easier, while requiring accurate selections, delivery coordination, and a reliable order record. |
These are operational trade-offs, not evidence that either format is inherently safer. Choose based on the vendor’s ability to confirm preparation, provide ingredient information, separate and identify meals, meet the lead time, cover the location, and support the required invoicing and delivery coordination.
Ordering platforms are coordination aids, not safety checks
Encore Catering describes Encore Select as a service for individual meal choices and managing invitations, responses, dietary requirements, and final order details: Encore Select. UK-based Ordit describes individual choices, vendor-provided menu allergen information, and meals labeled with each person’s name; its page advises direct vendor confirmation for severe allergies: Ordit group ordering. These are vendor descriptions, not independent assessments. Confirm current features, availability, service area, menu data, and allergy workflows with the provider before relying on them.
Identify meals without mistaking labels for safety controls
Individually packed meals can make it easier to match an order to its recipient. Ask the caterer to identify each meal clearly, then verify those labels against the final order when the delivery arrives. For shared platters, agree in advance how a special meal will be separated and identified.

Labels or removable food-container stickers can support identification at handoff, but they do not verify ingredient accuracy, prevent cross-contact, or certify that food is safe for someone with an allergy. The Foundation FSSC’s April 2026 catering and food-service guidance says organizations offering special meal requests should have an allergen-control process and clearly identify and label meals intended to meet dietary restrictions.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Verify the delivery before distributing meals
- Compare the delivered items with the final attendee order before serving.
- Check that special meals are identifiable and remain associated with the intended recipient.
- Keep ingredient or allergen information supplied by the vendor available to the attendee where possible.
- If a meal’s identity or preparation is uncertain, do not guess or distribute it as the requested meal; contact the provider and arrange a confirmed alternative.
These checks support accurate handoff; they cannot independently establish that a meal is free from an allergen.
Understand which labeling rules apply
FDA packaged-food allergen-labeling requirements apply to foods subject to FDA regulation. The FDA’s Edition 5 allergen-labeling guidance, issued January 6, 2025, describes an exception for food placed in a wrapper or container in response to a consumer’s order at a retail or food-service establishment. That distinction concerns the scope of packaged-food labeling requirements; it is not permission to disregard food-safety practices or other applicable rules. Requirements vary by jurisdiction, so check local rules for the food-service setting.

Why a deliberate process matters
The CDC page reviewed September 9, 2026, reports that about one in three people with food allergies say they have had a reaction in a restaurant. That figure comes from studies summarized in a restaurant context; it is not a universal estimate for every population or food-service setting. The same CDC summary notes that more than half of interviewed restaurant staff had never received food-allergy training. In the studies it describes, most restaurants had ingredient lists or recipes for at least some menu items, while most did not have separate preparation areas and equipment for allergen-free food. Those findings describe the studies and settings summarized by CDC, not every restaurant today.
The 2022 FDA Food Code states that food allergy affects approximately 4% of the U.S. population, or twelve million Americans. This is a figure printed in that edition, not a newly measured 2026 estimate. Both sources reinforce why an organizer should obtain specific answers from the vendor instead of assuming that a dietary label or request alone resolves the risk.
