An applicant tracking system (ATS) may extract text from your résumé PDF, use it to populate application fields, and make information available for recruiter searches. What it extracts—and the order it appears in—can vary by file format and system setup. A quick copy-and-paste check can reveal obvious problems in your PDF, but it cannot reproduce a particular employer’s parser or guarantee how your application will be handled.
What an ATS means by “reading” your PDF
Résumé parsing is the process of extracting and organizing information from a résumé. Depending on the system and employer configuration, that information may populate fields in an application or candidate profile, and it may help recruiters search for qualifications. Parsing is not the same as a person reviewing the designed page: the system works with extracted text and mapped fields, which may not preserve the visual layout you created.
Workday describes parsing as a feature that can populate fields from an attached résumé and let users review the resulting data. It also notes that results can vary with résumé format and word order. Workday Administrator Guide: “Concept: Resume Parsing”

Different application flows are possible, too. Oracle Taleo documentation describes a setup in which a candidate pastes résumé text and the system parses it to prepopulate application or candidate-file information. - Open the final file you plan to upload. Check the actual PDF rather than an earlier draft or the source document.
- Select all, copy, and paste. Paste into a plain-text editor or a blank Word document. Look for whether the text is selectable and whether the pasted version contains the résumé’s content.
- Scan the essentials. Check your name and contact details; section headings; employers, job titles, and dates; technical skills; and the substance of your project and experience bullets.
- Check reading order and characters. A job title should stay associated with its employer and dates. Bullets should not be interleaved with another column, and words should not be missing, fused together, or replaced by odd characters.
- Fix problems in the source file, then export again. If the PDF has no selectable text or the paste is missing or scrambled, create a fresh text-based PDF or use the format requested by the application. Repeat the check on the new final file.
A coherent paste is a useful positive signal that the PDF exposes text in a sensible sequence. It does not prove that an ATS will map every item into the right field.
What can make extraction harder
Visual layout choices can affect what a parser extracts or the sequence it presents. Roche advises applicants to avoid tables, text boxes, logos, images, graphics, columns, headers, and footers, and says some systems may read columns across rather than down or drop header and footer content. Workday likewise advises avoiding images and image-based styles for best results. These are source-specific recommendations about potential parsing problems, not a guarantee that every system fails on every such design.

- Columns: Text may be extracted in an order different from the intended top-to-bottom reading path.
- Headers and footers: Contact details or other important information placed there may be omitted by some systems.
- Images and graphics: Image-based text may not be available as ordinary selectable text.
- Tables and text boxes: Their layout can complicate the sequence in which information is extracted.
- Unusual section names: A parser may have more difficulty identifying content under headings that do not clearly describe it.
Make a developer résumé easier to interpret
Use recognizable section headings
Prefer clear labels such as Experience, Projects, Technical Skills, and Education. Roche specifically recommends conventional headings including “Education,” “Work Experience,” and “Technical Skills.” Keep key contact information and résumé content in the document body instead of relying on a header or footer.
Name technical skills accurately and in context
Use the concrete names of programming languages, frameworks, tools, and methods you actually used. Place them in the context of relevant work or projects so a recruiter can assess how you applied them. Roche notes that recruiters may search technical skills such as coding languages and recommends putting skills in context for human evaluation.

Choose a format based on the application and the file
Follow the employer’s stated file-format instructions first. Roche’s FAQ recommends DOCX as the format it considers most accurately parsed, while noting that PDFs preserve visual formatting. Utah Valley University recommends DOCX or a text-based PDF and explains that an image-based PDF does not provide extractable text. These are recommendations from those sources, not a universal DOCX-over-PDF rule; check the file you submit.
After you upload
If the application shows fields filled from your résumé, compare them with the original and correct any missing or misplaced information before submitting. Workday says parsing results can be reviewed, and Roche advises applicants to check that information has populated in the right fields. The availability and appearance of autofilled fields depend on the application flow.
What the copy-and-paste check cannot tell you
Pasting text into an editor does not identify which ATS an employer uses, reproduce its extraction or field-mapping rules, or test employer-specific configuration. It also cannot predict recruiter decisions. A PDF that pastes cleanly may still be mapped imperfectly, while a layout choice that one source cautions against is not proof of automatic rejection. ATS platforms and employer setups vary; the practical goal is to catch obvious extraction and reading-order problems before you apply.
