AI can help businesses review expense claims at scale by extracting receipt details, matching them to transactions, applying written policy rules, and prioritizing unusual items for finance staff. Its value is faster, more consistent triage—not proof that a claim is fraudulent or that an employee acted improperly. A person should assess context before a reimbursement is denied or any consequential action is taken.
What AI expense monitoring actually reviews
Expense-monitoring tools generally work with financial records: receipt images, card transactions, reimbursement claims, expense entries, policy rules, and approval workflows. This is a targeted review of company-funded spending, not a reason to monitor employees’ broader behavior.
Depending on the system, AI or automated rules may extract receipt details, compare them with a card transaction or expense entry, identify duplicate submissions, flag policy exceptions, and route claims for review. For example, SAP Concur describes AI and machine learning for expense auditing, Workday describes receipt matching and AI-powered risk detection, and Rippling describes rules and alerts for spending changes. These are vendors’ descriptions of their own products, not independent evidence of performance.
Why businesses use it
Reduce repetitive review work
Automated checks can handle routine comparisons and surface exceptions, allowing finance teams to focus attention where a closer look may be useful. Rydoo says its Smart Audit customers report “-60% manual effort” when combining Smart Audit with auto-approval and auto-controlling flows, and “30% faster expense processing” from automated policy checks. Rydoo also reports an ROI range of 4 to 10.7x for its current Smart Audit customers, which it says depends on automation and local compliance rules. These are vendor-reported figures, not independently validated results or guarantees for another business.

Apply written rules more consistently
A system can check claims against configured rules—such as limits, categories, vendors, roles, or approval requirements—so similar records can receive similar initial treatment. That only helps when the rules reflect the company’s actual written policy and are maintained when the policy changes. Ambiguous rules can produce inconsistent or unhelpful flags just as readily as inconsistent manual processes.
Surface possible errors and anomalies sooner
Matching receipts with transaction data can reveal missing information, duplicates, or mismatches for review. A pattern that differs from typical spending may also warrant a question. SAP Concur says its Verify product reviews 100% of expense reports; that is the vendor’s stated coverage, not proof that every error or misuse is correctly detected.

Improve spend visibility
When expense records and review status are available in a shared workflow, finance teams may be able to see where claims are awaiting approval or repeatedly triggering exceptions. The usefulness of that view depends on which records the system receives, how quickly they arrive, and whether it connects to the company’s existing expense and accounting processes.

A flag is a prompt to investigate, not a finding of fraud or intent. The system identifies patterns or mismatches in the data it receives. Incomplete receipts or transaction details, unclear policies, or legitimate exceptions can lead to missed issues; ordinary mistakes or unusual but valid purchases can trigger alerts.

The cited vendor pages do not establish independent head-to-head rates for false positives, missed fraud, or return on investment. Rydoo’s page also reports that Smart Audit processes one million expenses monthly with over 95% accuracy and more than 10 million expenses audited. Those are Rydoo’s claims; the page does not provide independent validation that would establish how the figures transfer to a different business or dataset.
How to introduce monitoring without undermining trust
- Define the purpose: Explain that the system reviews company-funded expenses and related business records to check claims against expense policy.
- Tell employees what is checked: Describe the records used, the rules that can trigger review, who can access the data, and how an employee can correct or contest a mistaken flag.
- Keep people responsible for decisions: Have a reviewer assess context, document the outcome, and allow correction or override. Do not treat an automated flag as the sole basis for denying reimbursement or making an employment-related decision.
- Limit access: Give expense data access only to roles that need it, and define who can review, change, or approve claims.
- Check performance in a pilot: Use a representative sample of your own expenses and agree in advance how to measure correct flags, false positives, missed issues, review time, and exceptions.
These are practical governance recommendations, not a statement of universal legal requirements. Rules vary by jurisdiction, employment context, data involved, and how a decision is made. Payhawk says its AI is designed for financial tasks and cannot influence HR or disciplinary matters; that is a statement about Payhawk’s own product boundary, not a general industry rule. SAP Concur describes combining AI with human auditors, also as a description of its service.

How to evaluate AI expense-monitoring software
Ask vendors to demonstrate the workflow with your policies and a representative pilot dataset. Compare the following capabilities rather than relying on headline accuracy or savings claims:
- Data inputs: Which receipts, card transactions, reimbursements, invoices, or expense entries can it review?
- Policy controls: Can rules vary by role, department, entity, country, category, and approval limit?
- Timing: Does it check claims before submission, during approval, before reimbursement, or after payment?
- Flag explanations: Does each alert identify the suspected mismatch and preserve the supporting evidence?
- Human review: Can finance staff investigate, override, document, and correct outcomes?
- Privacy and access: What data is retained, who can see it, and how are permissions managed?
- Integrations: Does it work with your accounting, payroll, card, and travel systems?
- Measured results: Can the vendor report precision and false-positive rates using agreed definitions and your representative data?
Products describe different combinations of receipt checks, rules, alerts, and auditing. The available product information does not support an independent comparative ranking. For examples of stated capabilities, see Rydoo expense management, Rydoo Smart Audit, SAP Concur Detect, SAP Concur Verify, Rippling expense management, Workday Expenses, and Expensya Smart Policy. Treat each product page as the vendor’s account of its own capabilities.
