Accounts receivable (AR) automation links invoices, incoming payment information, cash application and accounting records so a business can identify who paid, apply the money to the right receivables and compare its books with bank activity. The workflow usually combines automated matching and posting with a human review queue for exceptions; a payment suggestion is not necessarily a cleared invoice or a completed bank reconciliation.

How does accounts receivable automation work?

AR automation is a sequence of connected tasks, not just automatic invoice reminders. It begins with an open receivable and ends when the accounting entry has been checked against the bank. The precise division of work between billing software, an ERP, a matching service and staff depends on the systems and their configuration.

  1. Create and send the invoice. The billing or accounting system records the amount due as an open item on the customer account. SAP describes invoice issuance as creating open items that can later be cleared through its clearing process.
  2. Collect payment information. Inputs may include customer remittance advice, lockbox data, an imported bank statement or a bank feed. Remittance advice describes which invoices the customer intends to pay; bank data records transactions received by the bank. The two can differ, so neither should automatically be treated as a substitute for the other.
  3. Extract and prepare the data. Software can extract fields from advice documents, lockbox files or email attachments and transform them into data the accounting system can process. Bank-statement imports provide a separate route for bringing transactions into the ledger.
  4. Identify the payer and find candidate invoices. Matching logic can compare payment text, customer or bank-account identifiers and open invoice details. Some systems also use historical accountant decisions to propose matches. A single receipt may cover several open invoices.
  5. Apply cash and record the accounting entry. Depending on rules and controls, the system may create a payment journal, settle the invoice automatically, or present a proposed match for approval. Recording a payment does not by itself prove that an invoice was settled.
  6. Resolve exceptions. Missing references, amount differences, currency issues, ambiguous payer identity or absent invoice records can prevent a confident match. The item may remain unmatched or require staff review before posting.
  7. Reconcile accounting activity with the bank. After payments are applied, staff or software compare bank statement transactions with accounting entries and resolve discrepancies. Microsoft documents applying payments to open ledger entries before bank reconciliation in Business Central.

How are payments matched to invoices?

A matching process compares the incoming payment record with customer accounts and invoices that are still open. Depending on the system, it may use payment references or text, customer identifiers, bank-account details, invoice numbers, amounts and prior decisions. SAP describes a cash-application approach that passes payment and invoice information from S/4HANA Cloud to a matching engine; see its Cash Application documentation.

The system may return a confident match, a recommendation needing approval, or no suitable match. Configuration determines which outcome can post automatically. Salesforce’s documented reconciliation workflow compares customer advice with bank payment proof and open invoices, then creates reconciliation records for review; feature availability depends on the relevant Data 360 and Billing workflow and, for supported editions, a Revenue Cloud Billing license. What happens when a customer pays several invoices at once?

One receipt can be allocated across multiple open invoice items. The matching system uses the available remittance details and invoice records to propose or make those allocations. If the advice is incomplete, the total does not agree, or one invoice cannot be identified, some or all of the receipt may need review rather than being silently assigned. What the automation states mean

Several distinct events are often compressed into the phrase “payment processed.” They should be tracked separately because each answers a different accounting question.

State What it establishes What it does not establish
Payment advice received The customer has supplied information about intended payment allocation. That funds reached the bank.
Bank transaction received The bank records a transaction. That cash has been applied to the correct invoice.
Match proposed The system has identified a possible payer or invoice allocation. That the match has been approved, posted or cleared.
Payment recorded An accounting payment entry exists. That an open invoice was settled; a journal can exist without clearing an invoice.
Invoice cleared The receivable has been settled or reduced according to the posted allocation. That the resulting ledger activity has been reconciled to the bank.
Bank reconciliation completed Bank transactions and accounting activity have been compared and reconciled under the configured process. That earlier allocations were necessarily correct unless the reconciliation checks them.

Product documentation describes review queues, unmatched records and configuration-dependent posting, so “fully automated” is accurate only when the relevant intake, matching, posting and reconciliation steps are actually enabled.

How to evaluate an AR automation workflow

When comparing systems or planning an implementation, establish where the accounting record lives and what still requires human work. These questions expose the practical boundaries of automation:

  • System ownership: Which platform owns customer identities, open invoices and accounting entries? SAP documents sending payment and invoice information from S/4HANA Cloud to a matching engine, while Salesforce’s workflow has specific Data 360, Billing and licensing conditions.
  • Input coverage: Can it process bank statements or feeds, lockbox files, remittance documents and email attachments, or only a subset?
  • Matching logic: Which references, text rules, identifiers or historical actions are used? Can one receipt be allocated across multiple invoices?
  • Posting controls: Does the system post and clear automatically, show a preview, or require approval? Microsoft documents a cash-application option that can create a journal without settling an invoice; see Dynamics 365 Finance cash application.
  • Exception handling: How are short payments, overpayments, missing references, currency differences and unmatched transactions investigated and resolved?
  • Evidence and auditability: Can staff trace the source payment information, match decision, journal entry and bank reconciliation status? The vendor documentation cited here does not establish one uniform audit-evidence standard, so verify this against the specific product and implementation.

These are examples of different product approaches, not interchangeable feature guarantees. Microsoft Finance capabilities can depend on version or feature flags, and workflows should be checked against the organization’s exact edition and configuration. No general percentage, time saving or days-sales-outstanding improvement follows from the workflow alone; vendor benefit claims are not a universal measured result.
