A virtual business phone number is managed by a cloud phone service, which routes calls to supported apps, desk phones, or other destinations. It can give a business a separate calling identity without requiring staff to use one shared physical phone, but the number alone does not include features such as voicemail or call queues: those come from the provider’s phone system and plan.
What makes a business phone number virtual?
“Virtual” describes how the number and call handling are managed, not an inability to reach an ordinary telephone. A provider assigns a number or transfers an existing one, then its cloud system controls calls and routes them over VoIP and, for calls to or from the public telephone network, an appropriate PSTN connection. Staff can answer through supported desktop or mobile apps, compatible desk phones, or other endpoints the service allows. That distinction matters when comparing services: the phone number is the address callers dial; the cloud phone system supplies call control. Depending on the provider and plan, the system may offer call routing, queues, ring groups, voicemail, and auto attendants. These are capabilities to verify, not features guaranteed by every virtual number. [Microsoft Learn: Phone System] [Google Workspace: Google Voice setup and administration]

- A caller dials the business number. The provider’s cloud phone service receives the call and applies the configured routing rules.
- The system directs the call. Depending on the setup, it may ring an individual, a group, or a queue, or use an auto attendant to offer menu choices.
- A staff member answers on a supported endpoint. This may be a desktop or mobile app or a compatible desk phone. For example, Microsoft lists desktop and mobile devices, certified Teams phones, and meeting-room devices for Teams PSTN calls. Device support varies by service. [Microsoft Learn: PSTN connectivity options]
- For external telephone calls, the service needs PSTN connectivity. The provider and configuration determine how that connection is supplied. A phone-system license by itself may not include the arrangement needed to call external numbers. [Microsoft Learn: PSTN connectivity options]
A dedicated handset is optional. If employees prefer one, check the exact model’s certification and compatibility with the selected phone service and calling plan before buying it. [Microsoft Teams-certified devices]

Provider examples: what to compare
These services illustrate different fits, not a universal ranking. Availability, plan requirements, and calling arrangements depend on the business’s location and configuration.
| Service | What its documentation describes | Questions to check |
|---|---|---|
| Microsoft Teams Phone | Cloud call-control functionality that can be integrated with Teams. External PSTN calling requires a connectivity arrangement; Microsoft documents options including Microsoft-provided service, an existing provider, mobile SIM integration, or existing telephony infrastructure. [Microsoft Learn] | Which PSTN option is available and suitable in your market, and what licensing and configuration it requires. |
| Google Voice for Workspace | Business number assignment and porting, billing administration, ring groups, and multi-level auto attendants are described in Google’s documentation. [Google Workspace Help] | Whether the needed features and number options are supported for your Workspace plan and geography. |
| Zoom Phone | Cloud VoIP calling, business virtual numbers, and number porting. Zoom’s cited porting instructions cover the United States, Canada, and Puerto Rico. [Zoom Phone] [Zoom support: phone number porting] | Whether number availability and porting requirements apply to your specific country and number type. |
Zoom Video Communications reported that Zoom Phone native PSTN connectivity was available in more than 45 countries and territories as of January 31, 2025. That dated coverage figure does not establish current number inventory or that every feature is available in every location. [Zoom investor document]

- Supports 4 SIP accounts and 4 multi-purpose line keys
- Swappable faceplate to allow for easy logo customization
- GRP2612W includes built-in dual-band Wi-Fi support. Ethernet cord must be disconnected to enable Wi-Fi capability
- HD audio supporting all major codecs, including wideband codecs G.722 and Opus Up to 16 digital BLF Keys
- Enterprise-level protection including secure boot, dual firmware images, and encrypted data storage
Use these criteria to narrow the options
- Existing tools and administration: Consider how calling fits into the collaboration system your staff already uses and how administrators will manage users and numbers.
- Numbers and porting: Check local or toll-free number availability, port eligibility, and the provider’s process.
- Calling reach and connectivity: Confirm PSTN arrangements, supported calling geographies, and any limits relevant to your locations.
- Call handling: Match the service’s plan capabilities to your needs for queues, voicemail, ring groups, shared lines, and auto attendants.
- Endpoints: Verify support for the apps and any certified handsets employees intend to use.
- Emergency calling: Ask how emergency calls are handled and how addresses or locations must be registered for each operating geography.
- Total cost: Request current per-user licensing, calling charges, taxes, and add-on costs for your location and configuration. The sources above do not establish a like-for-like current price comparison.
Can you move an existing business number?
Often, a business can request number porting: transferring a number from its current telecommunications provider to the new phone service. Eligibility, required information, and process vary by provider, geography, and number type. Google documents porting as an administrative capability, while Zoom’s cited instructions cover the United States, Canada, and Puerto Rico and note that paperwork and required details can depend on the number. [Google Workspace Help] [Zoom support: phone number porting]
What’s actually slowing this PC down?
Pick the symptom - the matching free tool is one click away.
- Ask the destination provider whether your specific number can be ported and what information it requires.
- Obtain the exact account and number details from the current provider and submit the destination provider’s required paperwork.
- Follow the providers’ instructions for the transfer and plan call handling around the confirmed process and timing; do not assume every number is eligible or that transfers take a standard amount of time.
What to verify about emergency calls
Emergency calling should be a deployment requirement, not an assumption based on a service working for ordinary calls. Google directs Voice customers to information about how VoIP emergency features differ from traditional emergency service, and Microsoft includes emergency-screening and connectivity considerations among its PSTN options. [Google Workspace Help] [Microsoft Learn: PSTN connectivity options]
