To estimate a sustainable hourly rate, divide the annual revenue your work needs to generate by the number of hours you can realistically bill clients. The result is a planning floor—not a guarantee that clients will pay it, a market-rate benchmark, or a tax calculation. Use the calculator below to make your assumptions visible, then compare the result with similar services in your market.

Hourly rate calculator

Enter your target annual pay, business expenses, estimated tax share, and realistic billable capacity. Choose one tax mode: include an estimated effective tax rate, or exclude taxes and calculate a pre-tax planning floor. The calculation is an estimate; tax treatment depends on your jurisdiction and circumstances.

Annual targets and costs

Billable capacity

Formula: annual revenue target = (personal pay goal + business expenses) ÷ (1 − tax share) × (1 + reserve share). Annual billable hours = weeks worked × workdays per week × work hours per day × billable share. Planning hourly floor = annual revenue target ÷ annual billable hours.

With the example values shown, the goal and expenses total $72,000. Grossing that up for a 25% effective tax share gives $96,000 in required revenue; 46 weeks × 5 days × 8 hours × 60% utilization gives 1,104 billable hours. With no additional reserve, the illustrative planning floor is about $87 per hour. Change the values to reflect your own currency and circumstances; this example is not a tax recommendation or market quote.

What the inputs mean

  • Personal pay goal: the amount you want available for personal compensation. If you enter a take-home goal, tax gross-up is needed to estimate the revenue that may support it. If you instead enter a pre-tax owner-pay target, do not treat it as take-home.
  • Operating expenses: annual costs needed to run and deliver the work that clients do not reimburse, such as insurance, software, licenses, equipment, office costs, and marketing. For examples of costs to consider, see Upwork’s rate-setting guidance.
  • Tax share: an editable planning estimate applied to required revenue in this calculator. It is not a tax-rate lookup; use tax-excluded mode if you cannot make a reasonable estimate, and consult local guidance or a qualified tax professional before relying on a figure.
  • Reserve or margin: an optional addition applied to revenue after tax gross-up. It is a buffer for uncertainty or reinvestment, not another name for personal pay or expenses. Avoid counting the same amount in more than one field.
  • Billable utilization: the share of work time spent on paid client work. Non-billable time may include administration, marketing, proposals, bookkeeping, professional development, and unbilled client communication.

The example uses a 60% billable share only as an editable starting assumption: Upwork presents a 60% billable/40% non-billable split as typical guidance, not a universal measured freelancer statistic. Your actual share can be higher or lower.

Estimate billable hours rather than assuming a full work year is billable

A 52-week calendar does not mean 2,080 paid client hours. Holidays, time off, illness, gaps between projects, and the work required to find and manage clients reduce capacity. Estimate weeks available after leave and holidays, then apply a realistic billable share to your work hours.

Track time over a representative period if possible. Separate paid delivery from the unpaid work that supports it, and use the observed mix to revise your estimate. If your schedule is seasonal or project-based, a single utilization figure may conceal busy and slow periods; plan with a conservative annual average.

Use tax assumptions carefully

Tax rules vary by country, region, business structure, income, and filing status. The calculator’s effective-tax input is a simplified planning assumption, not a substitute for estimating all taxes owed. Adding a tax percentage directly to a take-home target is not the same as grossing up for a share of revenue: if taxes consume 25% of revenue, for example, the arithmetic to retain a stated amount is to divide that amount by 0.75, not multiply it by 1.25.

United States

The IRS says self-employment tax consists of 12.4% Social Security and 2.9% Medicare. Generally, 92.35% of net self-employment earnings is considered in that calculation; the Social Security taxable maximum changes annually, Medicare applies to all net earnings, and Additional Medicare Tax may apply above filing-status thresholds. These are self-employment-tax rules, not a complete estimate of federal and state income taxes. See IRS Topic 554 for current details.

United Kingdom

HMRC says self-employed people may deduct allowable expenses when calculating taxable profit and should keep records to support those expenses. Whether a cost is allowable depends on the rules; do not assume every operating expense entered in the calculator is deductible. See HMRC’s guidance on expenses if you’re self-employed.

Small teams and contractor classification

For a small team, first define what the target represents: owner compensation, employee payroll, total business revenue, or margin. A blended rate can obscure different roles, pay levels, billable capacity, and costs; the formula is useful only when its inputs match the target. There is no single allocation method established here for every team.

Pricing a contractor’s work does not determine whether the person is legally an independent contractor. The IRS says, “The keys are to look at the entire relationship and consider the extent of the right to direct and control the worker.” Classification depends on the full working relationship; a rate calculator cannot settle it. See IRS guidance on independent contractor or employee classification.

Compare your floor with rates for comparable work

Once you have a planning floor, compare it with rates for services that resemble yours in skill, experience, location, specialization, scope, and urgency. Treat comparisons as a reality check rather than proof that every freelancer can charge the same price. Upwork advises researching rates by similar skills, experience, and location, and notes that profile rates may differ from contract history.

If your calculated floor exceeds what comparable clients appear willing to pay, do not hide the gap by choosing an arbitrary lower number. Consider what can change: client mix, specialization, utilization, project scope, expenses, or target pay. Each adjustment has a trade-off; for example, raising utilization without allowing enough time for sales and administration can make the estimate unrealistic.

When hourly pricing is not the best fit

Hourly billing makes the client’s cost depend on time spent, which can be useful when scope is uncertain or changes are likely. A day rate is another way to price a defined period of work. A project fee can give the client a clearer total when deliverables and revision limits are well specified, but it shifts more overrun risk to the provider if the work takes longer than expected.

Before switching formats, assess how certain the scope is, how revisions and client change requests will be handled, what schedule risk exists, and who bears the cost of overruns. Whatever the format, the hourly-floor calculation can help test whether expected revenue covers your pay goal and business costs at realistic capacity.

What to look for in another rate calculator

There is no established definitive ranking of alternative calculators. Check whether a tool distinguishes gross revenue from take-home pay, includes non-billable time and actual expenses, exposes its tax assumptions, accounts for time off, and shows its formula. If it gives a rate without showing how it handles those inputs, treat the output cautiously.

For a complementary example of the calculation sequence, Clio describes setting a pay and expense target, estimating annual business cost and billable hours, then dividing cost by billable hours. Its example is for legal practices and explicitly excludes taxes, so it illustrates a method rather than a universal rate. See Clio’s hourly-rate explanation.
