Use the Google Workspace Admin console to create individual user accounts, delegate only the privileges people need, configure Gmail for your domain, and strengthen sign-in security. The core paths are Directory > Users for accounts and Apps > Google Workspace > Gmail for mail settings. Custom-domain email also depends on domain verification and correct DNS records, while third-party mail clients should use OAuth rather than legacy username-and-password access.
What the Admin console manages
The Admin console is where authorized administrators manage an organization’s Google Workspace accounts and services. The controls visible to an administrator depend on the roles and privileges assigned to that account. User management and Gmail configuration are separate tasks: creating a user gives someone an organizational account, while Gmail settings and domain DNS determine how organizational email works.
Google’s Admin Help pages describe the workflows below. Interface labels and available controls can change, so check the current console and linked Google guidance if a label or option differs.
How to add a user account
People using an organization’s Google services need individual user accounts. Avoid giving several people one shared login; individual accounts make access and administration attributable to each person.

- Sign in to the Admin console with an account that has the required User management privilege.
- Open Directory > Users and select Add new user.
- Enter the person’s name and primary email address. If the organization has multiple domains, select the appropriate domain. You can also provide a secondary email address and phone number, and set details such as organizational unit, password, and profile photo during setup.
- Provide the new user’s account details through a suitable secure channel. Google’s setup guidance describes previewing and emailing account details to a secondary address or copying the password. A password-reset link in the welcome email expires after 48 hours.
Account access and visibility in directory searches can take up to 24 hours to become available. If the organization needs many accounts, Google also provides a bulk-add workflow. License requirements and plan limits vary: annual-plan organizations may need additional licenses, while flexible-plan additions can affect the monthly bill. Google’s cited Business-edition guidance says up to 300 users can be added; confirm current terms for the organization’s edition before relying on that limit. Google: Add an account for a new user
How to delegate administrator access safely
Administrator roles determine which parts of the console a person can manage. Google’s privilege definitions include actions such as creating, viewing, updating, suspending, renaming, and deleting accounts; resetting passwords; and managing aliases. Assign access according to the work a person actually performs rather than making every administrator a super administrator.

- Give user-management rights only to trusted people who need to manage accounts.
- Grant Gmail settings access separately when someone needs to configure organization mail.
- Check the current privilege definitions in the console before assigning a role; role names and controls may change.

Enable 2-Step Verification (2SV), especially for administrators and people handling sensitive information. Google Workspace Admin Help says, “2SV is the first line of defense that can cut account takeover by as much as 50%.” Google does not identify the underlying study or its publication year on that page, so treat this as Google’s stated figure, not as a result independently established here. 2SV options are not interchangeable: security keys offer Google’s stated phishing protection, while prompts and passkeys rely on an available device and codes can depend on a phone network. Choose a method users can reliably use, and verify current eligibility and settings in Google’s guidance.
How to configure Gmail for your domain
Verify the domain and route incoming mail
Your organization must own and verify its domain before using it for Workspace mail. To activate Gmail for a custom domain, configure the domain’s MX records using Google’s current instructions and the DNS controls provided by the domain host. Record values and the steps for entering them depend on the current Google setup and the host’s interface; do not assume one provider’s recipe applies to another.

For Gmail controls, open Apps > Google Workspace > Gmail > User settings. End-user access controls are under Gmail’s End User Access section. The administrator needs the Gmail Settings privilege. Apply a setting at the top organizational level, to a child organizational unit, or to a configuration group, depending on who should receive it. Google says changes can take up to 24 hours to take effect, and some options depend on edition. See Google: Manage Gmail settings for your users.

Alias or separate account: which should you create?

| You want an alternate address attached to the same account; an alias is not a separate inbox or private identity. | The account needs its own credentials and access management. |
Google warns that aliases are not private and may be visible in directory or search contexts. Consider that visibility before assigning an address intended to appear exclusive or confidential. Google’s cited alias help page is Add or delete an alternate email address (email alias).
Connect Outlook, Apple Mail, or another mail client
For third-party clients, use an app version that supports OAuth. Google says Workspace accounts stopped supporting less-secure-app access that asks for a Google username and password on May 1, 2025. IMAP can be enabled or restricted through administrator-managed settings, so confirm it is available for the organization and the intended users before rollout. What to do if an account may be compromised
- Temporarily suspend the account to help prevent unauthorized access. Google says suspension resets sign-in cookies and OAuth tokens.
- Investigate account activity and review recovery information with the user.
- Restore access only after the account has been remediated.
