Google Vault is Google Workspace’s information-governance and eDiscovery service. It lets authorized administrators set retention rules, preserve data with holds, search supported Workspace services, and export results. It is not an automatic archive or a general-purpose backup: retention must be configured, and data can be permanently purged when no applicable rule or hold prevents deletion.
What Google Vault does
Vault helps an organization manage Workspace data for retention and legal or investigative discovery. Its core workflow is to preserve data when required, find potentially relevant items, and export search results for review. Google describes Vault as “an information governance and eDiscovery tool for Google Workspace” and states that “Vault isn’t a data archive.” Google Vault Help
That distinction matters: Vault is not a separate repository that automatically keeps every message and file forever. It is a policy-driven service, and its coverage depends on the organization’s licensing, configuration, and the kinds of data involved.

Is Google Vault a backup or archive?
No. A backup is generally intended to provide a recoverable copy of data after loss or damage. Vault’s documented purpose is governance and eDiscovery: retention rules and holds control whether supported data remains available, while search and export help collect material for a matter or investigation. Vault should not be treated as a substitute for a backup or as a guarantee that every deleted item can be restored.

Vault exports are also not a standing backup. They are search-and-collection outputs, including matching data and metadata, and Google says an export remains available in Vault for 15 days before it is deleted. Google Vault Help
How retention rules affect deleted data
Retention is policy-driven. Administrators configure rules for supported services and define their scope and duration. Until rules are set up, Vault does not guarantee that data will be retained. When a rule expires, data that has been deleted by a user or administrator and is not protected by a hold may proceed through the service’s standard deletion process. Expiration is not the same as immediate deletion or recovery: the outcome depends on the applicable retention rules, holds, and Google service deletion processes. Do not assume Vault will keep deleted data indefinitely simply because the organization has Vault.
How holds preserve data
A hold is a preservation instruction for legal or investigative needs. Google’s glossary says holds can apply to accounts, organizational units, or groups. For Gmail and Chat, conditions can further limit which messages are covered. A hold overrides retention rules while it applies. Google Vault Help Google Vault Help: Holds

Held data can become eligible for deletion only after all applicable holds have been removed and the relevant retention conditions permit deletion. A hold is therefore a preservation control, not a separate backup copy or an indefinite guarantee independent of the organization’s legal and administrative decisions.
What data Vault can search
Google’s Vault overview lists the following supported data categories. Coverage and behavior can differ by service; for example, Chat messages are covered when conversation history is turned on. Google Vault Help

How Vault search and export work for eDiscovery
Vault supports the early collection stages of eDiscovery: searching helps identify potentially relevant data, holds can preserve it, and exports collect matching results for analysis. Searches can be scoped by account, organizational unit, date, or keyword; most services support Boolean operators. Exported results include metadata intended to associate items with users and help corroborate the export against data on Google’s servers. Google Vault Help

Exports are a way to collect search results, not to make a complete, continuously updated copy of the organization’s Workspace data. An export is available in Vault for 15 days, according to Google’s help page; the page does not state a publication year for that duration. Google Vault Help

Google’s organization-wide Data Export tool is a separate workflow from Vault search and export. Vault is suited to searching and collecting data for a defined matter or investigation; Data Export is intended to export organizational data at a broader scope. Google says the Data Export tool can include data retained by Vault policies, but Vault-retained data in that export is admin-only and requires Vault licenses. Which Workspace licenses include Vault?
Google’s Vault overview lists Vault as included with Frontline Standard and Plus, Business Plus, Enterprise Standard and Plus, all Education editions, Enterprise Essentials and Enterprise Essentials Plus for domain-verified organizations, and G Suite Business. Google also says Vault add-on licenses are available for compatible editions, but directs organizations to Google Sales for compatibility information. Plan names, availability, and add-on eligibility can change. Check the organization’s current subscription and region-specific eligibility rather than relying on a static plan list. Google says both users whose data is managed in Vault and administrators who use Vault need a Workspace license that includes Vault. If a user or required license is removed, data may be irreversibly purged and unavailable to Vault. Google Vault Help

Set up access, retention, and audit controls
- Confirm coverage. Check that the organization’s edition or compatible add-on includes Vault, and that each covered user and Vault administrator has the required license.
- Set roles and privileges. A super administrator can configure Vault access and privileges so users can perform only the actions assigned to them.
- Define governance requirements. Work with the organization’s legal or compliance team to determine which services, populations, and retention periods are needed. This is general setup guidance, not legal advice.
- Configure retention rules and holds. Set rules for the relevant services and establish holds where preservation is required. Do not assume data is retained before configuration.
- Use search and exports for collection. Scope searches to the appropriate accounts or organizational units, dates, and terms, then export results for analysis.
- Review the audit log. Vault records actions such as changes to retention rules, searches, and exports. Google says the audit log cannot be edited. Google Vault Help
