A shared Google Sheet can keep track of who owes what, while Google Apps Script can email each person a reminder on a recurring schedule. The spreadsheet does the bill-splitting work; the script handles personalized email. Google’s official documentation shows how to send mail-merge messages from spreadsheet data, while the particular expense-tracking setup described here is an author-reported example, not a verified Google bill-splitting feature.

What this setup does—and what it does not

The reported setup uses a Google Sheet to record shared expenses and each person’s net balance, then uses Apps Script to send email reminders. Its example includes a People tab with email addresses. The author reports using Gemini to draft the script, but the code itself has not been independently inspected here.

Google’s official mail-merge sample demonstrates the email portion: it reads spreadsheet rows, inserts values into a message template, and sends personalized emails after authorization. That sample does not calculate shared expenses. Your sheet or separate script logic must determine each person’s balance.

The example prompt asks the script to skip people without email addresses and people with zero balances. Treat those as intended behaviors to confirm in the actual code—not guarantees. The available account does not establish tested handling of exchange rates, rounding, uneven splits, or optimized settlement plans.

Organize the sheet before automating it

Use clearly labeled columns and keep the information needed to identify recipients separate from the balances used to build messages. A simple layout might include a People tab with names and email addresses and a balance column or tab with each person’s net amount owed or due. Choose one currency for the balances and label it plainly.

  • Decide how expenses are divided and how payments or credits change each person’s net balance.
  • Use consistent names or another reliable identifier to match a balance to an email address.
  • Make the sign convention explicit—for example, whether a positive amount means “owes” or “is owed.”
  • Format amounts for readability, but do not mistake currency formatting for currency conversion. The reported example asks for a local currency format; it does not describe exchange-rate handling.

Build recipient-specific reminders

In Apps Script, the reminder workflow needs to read the relevant rows, find the intended recipient and balance, then construct a message for that person. Google’s sample shows the general spreadsheet-to-personalized-email pattern; your expense logic and balance rules are separate work.

  1. Open the spreadsheet and choose Extensions > Apps Script.
  2. Review or add script logic that reads the intended people and balance data. Confirm that rows without an email address and zero-balance rows are handled the way you want.
  3. Build a separate message for each recipient. State only that recipient’s balance and the action they need to take.
  4. Add a sent-status or timestamp record, and make failures visible. Google’s mail-merge example uses a sent-status column; its notes also warn that filters can affect who receives mail and whether the timestamp is recorded.
  5. Test with a small, controlled set of rows before enabling recurring sends. Check the recipient, amount, currency, message content, and sent-status behavior.

Avoid sending everyone’s balances in a group email with recipients visible in CC. Recipient-specific messages reduce unnecessary exposure of other people’s financial details; do not include payment or personal information in a shared notification unless the group has agreed to it.

Schedule reminders with a time-driven trigger

To send reminders without manually running the script, create an installable time-driven trigger. Google documents recurring triggers and their execution rules in its Installable Triggers guide.

  1. In the Apps Script editor, open Triggers (the clock icon) and choose Add Trigger.
  2. Select the reminder function, choose the event source Time-driven, then select the interval and schedule you want.
  3. Save the trigger and complete any authorization prompts.
  4. Review the trigger list periodically so you can confirm which function is scheduled and remove an obsolete trigger.

Google says, “Installable triggers always run under the account of the person who created them.” That account’s access and authorization therefore matter even if another collaborator edits the spreadsheet. A trigger does not run when someone opens the file read-only. Scheduled firing times can also be randomized within the selected interval, so a time-driven trigger should not be treated as a promise of delivery at an exact minute.

Review permissions and protect the workflow

Apps Script requests authorization for the Google services its code uses. A script that reads spreadsheet data and sends email may need access to those services; changing the code to use additional services can prompt for more authorization. Google explains how scopes and authorization work in Authorization for Google Services, last updated September 3, 2026 UTC.

  • Read the code before approving access, especially if it was generated or edited with an assistant.
  • Grant only the access the workflow needs. Google documents explicit scopes for published scripts and the @OnlyCurrentDoc annotation for limiting some document-bound access.
  • Use an account the group expects to own and maintain the scheduled automation; the trigger runs as its creator.
  • If you no longer want the script to have access, Google says authorization can be revoked through your account’s security settings.

Know the limits before relying on automatic mail

Email sending and installable triggers are subject to Google service quotas. The mail-merge sample calls out email limits, and triggers have their own quotas; check Google’s live Apps Script quotas documentation before scaling or relying on a specific recipient allowance. The applicable numeric limit is not established here, so no daily figure is stated.

Automation can send a reminder, but it cannot make inaccurate balances correct. Keep a clear record of expenses, payments, and adjustments, and check that the sheet’s calculations reflect the group’s agreed split rules before a scheduled message goes out.

When a spreadsheet is a good fit

This approach suits a group comfortable sharing and maintaining a spreadsheet, especially when the split rules are straightforward and email reminders are enough. It gives the group a visible record and avoids requiring every participant to use a dedicated app, but someone must own the spreadsheet, maintain the code and trigger, and resolve calculation or delivery errors.

Consider a dedicated expense-sharing service if the group needs more complex split rules, a more structured settlement record, or less spreadsheet maintenance. Compare how each option handles participant access, reminders, data permissions, and usage limits rather than assuming a spreadsheet or an app is automatically better.
