Google Inactive Account Manager and Apple Legacy Contact solve different problems. Google’s plan is triggered when your Google Account has been inactive for a period you choose. Apple’s feature is an after-death request process: a designated person presents an access key and required legal proof, then Apple releases only eligible iCloud and backup data. Neither feature gives another person unrestricted access to the account, its password, or every item stored in it.
Google lets you name up to 10 trusted contacts and choose which categories each person can download. Apple lets you name one or more Legacy Contacts, but access is limited to specified data and excludes purchases, payment information, subscriptions, and iCloud Keychain contents.

The trigger is inactivity, not a death certificate
Inactive Account Manager is a contingency plan for a Google Account that has not been used for a period selected by the account holder. The plan can notify trusted people, share selected data, or both. It is therefore useful when you want a controlled hand-off after you stop using the account, whether the reason is death, incapacity, or simply permanent abandonment.

Google assesses activity through multiple signals rather than one single login counter. Its examples include the last sign-in, recent activity in My Activity, use of Gmail (including the Gmail app), and Android check-ins. Activity elsewhere in Google can also matter. Because Google’s public help page does not publish a complete, current list of waiting-period choices, use the options shown when you configure the feature instead of relying on a number quoted by a third party.
Up to 10 contacts, with separate data choices
You can designate as many as 10 trusted contacts. The important control is per-contact data selection: you may choose all available categories or only selected categories, and different people can receive different selections. For example, one person could receive a Drive archive while another receives Gmail or YouTube data, provided those categories are offered in your account’s setup screen.
Google’s help examples include Blogger, Drive, Mail, and YouTube. They are examples of possible categories, not a promise that every account has exactly the same list. Google can change what is selectable, and some information cannot be shared. Treat the signed-in configuration page as the authoritative list for your account.
What a trusted contact receives
If you enable sharing, Google sends the contact a notification and a list of the account-data categories you selected. The message includes a download link rather than handing over a live session in your account. Google says the trusted contact’s mobile number is used to verify identity before the download can occur. This is a data-export arrangement, not permission to sign in as you.
If you configure notification without data sharing, the person is informed according to your plan but does not receive the selected account files. Review the notification and sharing choices separately before saving the plan.

Configure the plan carefully
- Sign in to the Google Account you want to plan for. Open Google’s Inactive Account Manager help page and follow the link into the signed-in setup experience.
- Choose the inactivity period offered in your account. Google’s public documentation does not give a complete fixed list of current options, so record the value displayed to you rather than assuming a universal timeout.
- Add trusted contacts, up to the 10-person limit. Confirm each address and phone number carefully; the mobile number is part of Google’s download verification process.
- Decide whether to notify, share data, or do both. If sharing data, select categories for each recipient. The list can differ by account and can change over time.
- Review the final notification and recipient assignments. Check that a person receives only the categories intended for them and that old addresses or phone numbers have been removed.
- Revisit the plan when your accounts or relationships change. A new phone number, changed email address, or newly sensitive folder can make an old configuration inappropriate.
Google’s separate two-year inactive-account deletion policy
Do not confuse the Inactive Account Manager waiting period with Google’s account-deletion policy. Google says a personal Google Account that has not been used across Google for at least two years is considered inactive, and Google reserves the right to delete the account and its data. This is a policy consequence, not the timer you choose in Inactive Account Manager.
Google lists reading or sending email, using Drive, watching YouTube, sharing a photo, downloading an app, using Search, and using Sign in with Google as examples of activity. The policy does not apply to accounts established through work, school, or another organization. If an account is managed by an employer, school, or other institution, its administrator and applicable organizational policy matter instead.
Because the deletion policy and the sharing feature are distinct, setting up Inactive Account Manager should not be treated as a guarantee that an account will be preserved indefinitely. Keep independent copies of records that must survive a provider policy, and make sure the people who need them know where those copies are stored.
How Apple Legacy Contact works
It is an after-death request reviewed by Apple
Apple Legacy Contact is designed for what happens after the account holder dies. The designated person does not automatically receive a password or an unlocked account. They submit an access request to Apple, which verifies the required information before granting access to eligible data.
The contact generally needs two things: the access key created when the holder designated them and a death certificate. Documentation can vary by country or region. Apple gives Japan as an example where a family certificate may be used instead of the document normally required elsewhere. Use Apple’s current local instructions when preparing a request.

Supported setup devices and the access key
According to Apple’s setup page, the account holder needs a supported Apple device running iOS 15.2 or later, iPadOS 15.2 or later, or macOS Monterey 12.1 or later to establish a Legacy Contact. The holder generates an access key for each designated person.

That copy is critical: a contact who cannot produce the key may face a more difficult legal process, even if they were named in the holder’s settings. Store it somewhere the intended person can reach after death, while protecting it from casual access during the holder’s lifetime.
The Legacy Contact does not need an Apple Account or an Apple device to make the request. The requirement is on the account holder during setup; the contact’s request is handled through Apple’s access process.
More than one contact can act independently
You can designate more than one Legacy Contact. Any one listed contact can make decisions about the account data independently, including choosing permanent deletion of the account data. That makes the choice of contacts consequential: appoint people who can coordinate responsibly, or understand that one contact may act without waiting for the others.
What Apple Legacy Contact can access
Apple’s eligible data list covers many personal records stored in iCloud and some content contained in iCloud Backup. Access is still limited to the categories Apple identifies and grants after verification.

The phrase “some content” matters for backups: an iCloud Backup is not a promise that every item or credential becomes available. Apple’s current category list is the controlling reference.
What Apple Legacy Contact cannot access
Apple explicitly excludes several categories that people often assume would transfer with a digital estate.
- Purchased movies, music, and books.
- Subscriptions and in-app purchases.
- Apple Account or Apple Pay payment information.
- Information stored in iCloud Keychain.
- Passwords and passkeys, which Apple’s setup guidance also identifies as outside the contact’s access.
In practical terms, a Legacy Contact is not inheriting a password vault, payment wallet, or a catalog of purchased media. Plan separately for bills, subscriptions, licensed content, and credentials that the contact may need to close accounts or manage offline.
Apple setup checklist
- Update a supported Apple device. The setup page lists iOS 15.2 or later, iPadOS 15.2 or later, and macOS Monterey 12.1 or later.
- Open the Legacy Contact settings on the device. Use Apple’s current setup instructions for the exact menu path shown by your operating-system version.
- Select one or more trusted people. Verify spelling, contact details, and whether each person is still the right choice.
- Generate an access key for each person. Give the key to the intended contact and keep a secure copy for your records.
- Print or save the key. A digital copy can be stored with estate documents; a printed copy can be placed with other end-of-life paperwork.
- Tell the contact where the key is kept. The person needs to find it after your death, but the key should not be left exposed during your lifetime.
What happens when no Apple Legacy Contact was set up?
Apple has a separate process for requests involving a deceased account when no Legacy Contact designation exists. Apple says legal documentation may include a death certificate, court order, or other documents, with the exact route depending on the country or region. Its guidance describes court-order access in the United States, Israel, and other locales while noting that some jurisdictions use different procedures.
This route is not interchangeable with the Legacy Contact process. A named contact with an access key has a defined request path; without that designation, the requester may need to establish legal authority. Follow Apple’s current local instructions at Apple’s deceased-account guidance rather than assuming that a document accepted in one country will work in another.

Common mistakes to avoid
Assuming a contact gets unrestricted access
Both systems are controlled disclosures. Google provides a notification and download link for selected data; Apple releases specified iCloud and backup categories after review. Neither one is an invitation to use the account as the holder.
Treating Google’s two-year policy as the Inactive Account Manager timer
The two-year figure belongs to Google’s personal-account inactivity policy. The feature’s configured waiting period is separate, and Google does not publish a complete universal list of current choices on the public help page.
Failing to preserve Apple’s access key
Designation alone is not enough for the normal Legacy Contact request. The contact needs the generated key and the required death documentation, subject to local rules.

iCloud Keychain information, passwords, and passkeys are excluded. Make a separate, lawful plan for credentials and financial administration.
Ignoring regional documentation rules
Apple’s proof requirements vary by jurisdiction. A death certificate is generally required, but Apple identifies alternatives in some places. Check the instructions for the country handling the request.
Leaving old contacts in the plan
Review both services after a change in family circumstances, phone number, email address, or estate plan. A stale contact can receive information intended for someone else or be unable to complete verification.
A practical digital-estate review
Use the two features as parts of a broader plan rather than as substitutes for a will, an executor’s instructions, or secure records.

- Record the configured Google contacts and waiting-period choice in your estate documents.
- Give each Apple Legacy Contact a usable copy of the access key and explain where the original is stored.
- Identify information neither service shares, especially passwords, passkeys, payment details, subscriptions, and purchased media.
- Review the arrangements after major account, device, relationship, or jurisdiction changes.
For the exact Google categories and waiting-period options, rely on the signed-in Inactive Account Manager screen. For Apple, rely on the current setup and data-access pages, because supported software versions and regional legal requirements can change.
