Google Calendar gives you a single, explicit choice for unknown invitations: add events from everyone, add them only when the sender is known, or add them only after you respond to the invitation email. Outlook does not have one identical rule across every app and account. Outlook on the web documents a setting that keeps meeting requests from people outside your organization’s address book off the calendar by default, while separate Outlook mail and calendar-processing controls affect what reaches your inbox and how requests are processed.

The important distinction is that calendar placement and email delivery are separate. An invitation that Google does not place on your calendar can still arrive as an email. In Outlook, a junk-mail rule can move a message to Junk without changing meeting-request processing, and a calendar setting can process a request even though mail filtering is configured separately.

Google Calendar vs. Outlook at a glance

Question Google Calendar Outlook
Can unknown invitations be kept off the calendar automatically? Yes. Choose “Only if the sender is known” or “When I respond to the invitation in email.” Outlook on the web documents an external-sender processing option that, by default, does not apply requests and responses from people outside the organization’s address book. Availability and wording vary by client and account.
Does the invitation remain available by email? Yes. An invitation not added to the calendar still generates invitation email. Usually, unless mail filtering moves or deletes it. Junk-mail settings are separate from calendar processing.
Who counts as a trusted or known sender? A person in your contacts, someone in your organization, or someone you have previously interacted with. The documented Outlook on the web rule refers to people in or outside your organization’s address book, not to one universal “known sender” definition.
Can administrators restrict the choices? Yes. A work or school administrator can limit which invitation options are available. Organization policies and the specific Outlook client can change which processing controls you see.
Can you report a calendar event as spam? Yes, for eligible events created through Google Calendar on a computer. Reporting a recurring event removes the series. Use Outlook’s mail-reporting and junk controls; the exact calendar-event reporting tools depend on the account and client.

For most personal Google accounts, “Only if the sender is known” is the best balance between convenience and protection from unwanted calendar entries. Choose “When I respond to the invitation in email” when you want every event to require an explicit decision. In Outlook, first identify whether you are using Outlook on the web, the new desktop app, classic desktop Outlook, or a mobile app, then adjust calendar-processing and junk-mail settings independently.

How Google decides whether an invitation is from a known sender

Google Calendar treats a sender as known when at least one of these conditions is met:

  • The sender is saved in your contacts.
  • The sender belongs to the same organization as you.
  • You have previously interacted with the sender.

Interaction can include prior communication that Google is allowed to use when determining contact information. If someone you know is still treated as unknown, check whether your Google Account permits Google products to save contact information from interactions. A company or school administrator may also remove or restrict some invitation choices, so the available menu can differ from a personal account.

Google Calendar: choose how unknown invitations are added

Change the setting on a computer

  1. Open Google Calendar.
  2. Select Settings.
  3. Under General, open Event settings.
  4. Find Add invitations to my calendar.
  5. Select one of the three choices: From everyone, Only if the sender is known, or When I respond to the invitation in email.

These choices apply to new invitations. Changing the setting does not retroactively reorganize events that have already been added or declined.

What each Google choice does

Setting Calendar behavior When it makes sense
From everyone Invitations sent directly to your email address are added automatically, regardless of who sent them. Use it when missing an event is more costly than seeing an occasional unwanted entry, or when another system already screens invitations.
Only if the sender is known Known senders’ invitations are added automatically. Unknown invitations are not placed on the calendar, but an invitation email still arrives. The practical default for people who want automatic scheduling from contacts and colleagues without automatic placement from unfamiliar addresses.
When I respond to the invitation in email Google waits for your response to the invitation email before adding the event. Choose this for maximum control when you want to inspect every organizer, title, time zone, and attendee list first.

Google documents a group-invitation exception: you can respond to the email to add the event even when the normal automatic-add rule would not place it on the calendar.

What happens to an unknown invitation

With Only if the sender is known enabled, an unfamiliar organizer’s event remains out of the calendar but still produces an invitation message. You can review the message, verify the organizer through another channel, and then respond. If you mark the sender as known or interact with them, later invitations from that sender may be added automatically.

There is a privacy trade-off. Google warns that the known-sender behavior might reveal to an organizer that the sender is not in your contacts. That can matter when an organization uses automated invitations, shared aliases, or a customer relationship system rather than individual contact records.

Change the setting on Android

  1. Open the Google Calendar app.
  2. Tap the menu, then Settings.
  3. Open General, then Adding invitations.
  4. Tap Add invitations to my calendar.
  5. Select Only if the sender is known or another available option.

If unwanted events continue on Android, review apps that have access to your calendar. If you use the Google Calendar app with a third-party calendar provider, that provider may control its own spam and invitation behavior; consult its settings rather than assuming Google’s rule applies.

Google Calendar: shared calendars and visibility

Invitation placement and calendar visibility are separate decisions. Google provides a shared-calendar option that controls whether people who can view or edit events can see all invitations, including invitations from unknown senders or invitations that are not yet visible on the calendar.

  • People with permission to view or edit events can be allowed to see those invitations.
  • People who have permission only to find your availability cannot see event details.

Review this setting when your calendar is shared with assistants, family members, project teams, or external collaborators. Restricting invitation visibility can prevent a pending or suspicious event from being exposed to people who only need free/busy information.

Report a suspicious Google Calendar event as spam

For an eligible suspicious event created through Google Calendar on a computer:

  1. Open the event.
  2. Open More actions.
  3. Select the option to report the event as spam.
  4. Confirm the report.

Google removes the reported event. If the event is recurring, reporting it removes the series. This control does not apply to events created by another provider, app, or service, so an event that arrived through a synchronization or third-party calendar may require action in that originating system. Reporting is a cleanup action; using Only if the sender is known is the prevention setting.

Outlook: why the answer depends on the app and account

Unlike Google’s clearly labeled three-choice menu, Outlook exposes several related controls across Outlook on the web, desktop Outlook, and managed work or school accounts. Do not assume that a setting visible in Outlook on the web exists with the same name in every edition.

Outlook on the web external-sender processing

Microsoft’s Outlook Web App documentation describes Automatically process requests and responses from external senders. In that documented context, meeting requests and responses from people who are not in the organization’s address book are not applied to the calendar by default. This is the closest Outlook equivalent to Google’s known-sender choice, but its scope is specifically Outlook on the web and the organization-address-book rule.

If you cannot find that wording, check your account’s current calendar settings and your administrator’s policy. The absence of the option does not prove that Outlook is applying every external invitation automatically; it may mean your client uses a different control or that an administrator manages it centrally.

Automatic processing in current Outlook on the web

Current Outlook-on-the-web calendar settings also include automatic processing for events detected in email, invitation and response handling, and options such as removing outdated meeting requests and responses from the Inbox. These controls describe workflow behavior—what Outlook does with messages and requests—not a universal filter for unknown organizers.

It should not be presented as proof that all meeting requests from unknown senders are blocked. Check the wording beside each switch and test with a controlled invitation if the distinction matters to your organization.

Outlook junk mail is not the same as calendar processing

Outlook’s safe-sender and blocked-sender lists govern inbox filtering:

  • Messages from blocked addresses or domains are sent to Junk.
  • Safe senders and domains are treated as trusted for mail filtering.
  • A message’s location in the inbox does not by itself determine whether a meeting request is applied to the calendar.

Moving an invitation to Junk can make it harder to find, but it is not a reliable replacement for a calendar-processing rule. Conversely, keeping an organizer on the safe-sender list may improve delivery without forcing every meeting request onto your calendar. Configure both layers when you need predictable behavior: calendar processing for placement, and junk-mail rules for message delivery.

Why a Google Calendar invitation appears in Outlook

A Google Calendar organizer can send an invitation to an address that you read through Outlook. Google explains that invitation emails help a calendar connected through a third-party email provider, including Outlook, maintain correct event information. Seeing a message from Google Calendar in Outlook therefore does not mean Outlook has accepted the event or that an unknown-sender rule was bypassed.

If these synchronization notices clutter your inbox, create an Outlook mail rule based on the message header noreply-calendar-sync@google.com and move matching messages to an appropriate folder. This filters notification mail; it does not block unknown organizers and does not change Google Calendar’s Add invitations to my calendar choice.

How to stop Google Calendar invitations from unknown senders

  1. On a computer, open Calendar → Settings → General → Event settings.
  2. Set Add invitations to my calendar to Only if the sender is known.
  3. If you want to approve every invitation manually, choose When I respond to the invitation in email instead.
  4. Review suspicious events that already exist and report eligible Google-created events as spam.
  5. On Android, check Calendar → Settings → General → Adding invitations and review apps with calendar access if spam continues.
  6. For shared calendars, restrict who can see invitations that are not yet visible on the calendar.

Remember that unknown invitations can still arrive as email. The setting prevents automatic calendar placement; it does not promise an empty inbox.

How to stop Outlook from automatically adding meeting invitations

  1. Identify the Outlook surface you use: Outlook on the web, the new desktop app, classic desktop Outlook, or mobile.
  2. Open that client’s calendar settings and look for invitation, response, and automatic-processing controls.
  3. In Outlook on the web, check whether Automatically process requests and responses from external senders is available and review its current state.
  4. Review any setting for automatically adding events detected in email; do not confuse it with the external-sender meeting-request rule.
  5. Check Settings → Mail → Junk email (the exact path can vary) for blocked and safe senders. Use these lists to manage delivery, not as a substitute for calendar processing.
  6. If a work or school account hides the control, ask the administrator which meeting-processing policy applies.
  7. Send a test invitation from an address outside the organization and verify both outcomes: whether an email arrives and whether an event appears on the calendar.

A test is especially useful after a client update or when the same mailbox is connected to multiple Outlook apps. One client may display a request while another synchronizes the resulting event later.

Troubleshooting common surprises

“The sender is in my contacts, but Google still treats the invite as unknown.”

Confirm that the invitation was sent to the address associated with the Google Account whose contacts you edited. Check whether Google is allowed to save contact information from interactions, and verify that an organization policy has not changed the available invitation options.

“I selected the known-sender option, but I still received the invitation email.”

That is expected. The option controls automatic addition to the calendar, not delivery of the invitation message.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

“An Outlook rule moved the invitation to Junk, but the meeting still appeared.”

Mail filtering and calendar processing are separate. Review the meeting-request processing setting in the Outlook client that applied the event, then review blocked and safe-sender rules for inbox behavior.

“A recurring Google event keeps returning after I delete one occurrence.”

For an eligible Google Calendar event, use More actions → Report as spam to remove the recurring series. If another provider or app created the event, remove or block it in that originating service.

“My organization does not show the Google invitation choices.”

A work or school administrator can restrict which choices are available. Ask the administrator to confirm the organization’s calendar policy rather than changing unrelated mail settings.

“A Google Calendar sync message appears in Outlook even though I did not accept anything.”

The message may be a synchronization notification intended to keep calendar information accurate across services. Filter the notification using a mail rule if necessary, but do not treat that rule as an unknown-sender block.

Choosing the right policy

Your priority Google Calendar choice Outlook approach
Never miss routine invitations from colleagues and contacts Only if the sender is known Allow the documented external-sender behavior that fits your organization, while keeping trusted mail delivery configured.
Inspect every organizer before an event is added When I respond to the invitation in email Disable or limit automatic processing where your client and administrator permit it, then review each request manually.
Accept all invitations automatically From everyone Use automatic processing only if the resulting calendar noise and security risk are acceptable.
Reduce inbox clutter from cross-service notifications Keep the calendar policy you need and filter notification messages separately. Use a mail rule or folder for synchronization notices; do not alter calendar processing just to hide mail.

For a mixed Google-and-Outlook setup, configure each service independently. Google’s known-sender decision applies when Google Calendar handles the invitation; Outlook’s processing and junk rules apply when Outlook handles the mailbox or calendar. Neither service can guarantee identical behavior for every account, client, or administrator policy.
