Ubuntu’s documented “Google authentication” flow connects a Google account to GNOME Online Accounts so compatible desktop applications can use the Google services you authorize. It is not a method for replacing your Ubuntu computer’s local user-password login with a Google account.

On a GNOME desktop, open Activities, search for Online Accounts, choose Google, complete Google’s sign-in and consent prompts, then select the services that applications may use. You can change those permissions or remove the account later from the same panel.

What Google authentication on Ubuntu actually does

Ubuntu uses GNOME Online Accounts to keep an online identity available to supported desktop applications. When you add Google, the account becomes a source of services such as email, calendars, contacts, chat, or documents, depending on what the account offers and what the application supports.

This connection is separate from signing in to the Ubuntu computer itself. Your local Ubuntu user account, disk-encryption credentials, and login screen are not replaced by adding Google in Online Accounts. The setup only gives compatible applications a way to request the Google services you leave enabled.

Adding an account also does not grant every application unrestricted access to every Google feature. Each service is listed separately in the account panel, and an application must support the service before it can use it. For example, a mail application can use the Google email service when that service is enabled, while a calendar application can use the calendar service when you allow it.

What you need before starting

  • A running Ubuntu desktop with the GNOME Online Accounts panel available.
  • The Google account you want to connect and the ability to complete its normal sign-in checks.
  • Permission to authorize GNOME when Google asks whether it may access the account.
  • A clear decision about which services your desktop applications actually need.

The Ubuntu help used for this procedure is a general GNOME desktop guide, not a release-by-release walkthrough. Names, layout, and whether sign-in appears in a dialog or a browser can vary between Ubuntu releases, so treat the wording on your screen as authoritative if it differs slightly from the sequence below.

How to add a Google account in Ubuntu

1. Open Online Accounts

  1. Open the Activities overview.
  2. Search for Online Accounts.
  3. Open the matching settings panel.

The panel is where GNOME keeps account connections and their individual service switches. You do not need a separate authentication utility for the documented setup.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Select the account type

In Online Accounts, choose the option for the account type you want to add. Select Google to begin the Google connection.

3. Sign in to Google

Use the sign-in control shown by Ubuntu. Depending on the release and desktop components installed, GNOME may present a credentials dialog or open a browser window for Google’s sign-in page. Enter your Google credentials in the interface provided and complete any additional checks Google requires for that account.

  • POWERFUL SECURITY KEY: The Security Key C NFC is the essential physical passkey for protecting your digital life from phishing attacks. It ensures only you can access your accounts.
  • WORKS WITH 1000+ ACCOUNTS: Compatible with Google, Microsoft, and Apple. A single Security Key C NFC secures 100 of your favorite accounts, including email, password managers, and more.
  • FAST & CONVENIENT LOGIN: Plug in your Security Key C NFC via USB-C and tap it, or tap it against your phone (NFC) to authenticate. No batteries, no internet connection, and no extra fees required.

  • BUILT TO LAST: Made from tough, waterproof, and crush-resistant materials. Manufactured in Sweden and programmed in the USA with the highest security standards.

Keep the sign-in in the Google or Ubuntu-provided window. Do not paste credentials into an unrelated application. If the browser opens, finish the sign-in there and return to the Online Accounts panel when prompted.

4. Authorize GNOME

After you authenticate, Google presents a consent request describing the access GNOME wants. Read the request and approve it only if the listed access matches what you intend to use. This authorization is the step that allows the desktop account connection to obtain the services you select; entering a password alone does not configure those services.

5. Review the offered services

Ubuntu says offered services are enabled by default when an online account is added. Review every switch before opening your applications. Turn off anything you do not need, then leave on only the services required for your work.

Ubuntu’s overview uses email, calendars, chat, and documents as examples of services an online account can provide. Its service-control instructions specifically identify Google email, calendar, and contacts as services that can be enabled or disabled independently.

6. Use a compatible application

Open the desktop application that should use the account. It can access the Google services that remain enabled and that the application supports. If an application does not support a particular service, adding the account will not add that capability to the application.

Choosing which Google services to enable

The practical choice is not “Google access on or off”; it is which individual services your applications need. Start with the narrowest set that completes the task and expand it only when an application genuinely requires another service.

Service Typical desktop need What the Online Accounts setting controls
Google email Reading or sending account mail in a compatible mail application Whether applications may use the connected account’s email service
Google calendar Viewing or managing calendars in a compatible calendar application Whether applications may use the connected account’s calendar service
Google contacts Looking up or managing contacts in a compatible application Whether applications may use the connected account’s contacts service
Chat Using a supported chat application with an offered online-account service Whether that offered service is available to compatible applications
Documents Using a supported document service from a compatible application Whether that offered service is available to compatible applications

The table describes the service categories Ubuntu identifies; it does not guarantee that every Ubuntu release offers every category or that every application supports it. The switches shown for your account and the capabilities documented by your application determine what is usable.

Change Google access after setup

Turn a service off

  1. Open Activities and search for Online Accounts.
  2. Open the panel and select the connected Google account.
  3. Find the service you no longer want applications to use.
  4. Switch that service off.

Ubuntu states that applications will no longer be able to use a service after it is disabled. This change affects the individual service rather than requiring you to remove the entire Google account.

Turn a service back on

Return to the same account entry in Online Accounts and switch the service on again. Ubuntu documents this as the way to restore a previously disabled service. An application may need to refresh its account view before the change appears.

Match access to the task

For a mail-only workflow, leave email enabled and review whether calendar or contacts are necessary. For calendar work, enable calendar and only the additional services your chosen application needs. This least-access approach reduces the number of account services exposed to desktop applications without disconnecting the account entirely.

How to remove the Google account safely

When you no longer want Ubuntu applications to use the account, remove it from the Online Accounts panel rather than merely closing an application.

  1. Open Activities and search for Online Accounts.
  2. Select the Google account in the panel.
  3. Choose the control to remove or delete that account from Ubuntu.
  4. Confirm the removal when GNOME asks.
  5. Follow Ubuntu’s advice to revoke the provider credential at the online service.

Ubuntu Documentation explains that “Many online services provide an authorization token which GNOME stores instead of your password.” The word “many” matters: the documentation does not establish that every provider uses the same mechanism. Removing the account from Ubuntu disconnects the desktop entry; revoking the corresponding authorization at Google is the additional step Ubuntu recommends when you are finished with the connection.

Authentication, consent, and service access are different steps

These terms describe separate parts of the setup:

  • Authentication: Google verifies that you can sign in to the account.
  • Consent: You approve GNOME’s requested access in Google’s authorization prompt.
  • Service selection: You decide which offered services stay enabled in Ubuntu.
  • Application use: A compatible desktop application requests the enabled service it knows how to use.

A successful sign-in without consent cannot complete the connection. Consent without an enabled service does not give an application that service. An enabled service still requires application support.

What to do when the screens do not match

The account panel looks different

The documented procedure is for GNOME’s general Online Accounts flow, and Ubuntu releases can present different labels or layouts. Look for the same functional sequence: open Online Accounts, choose Google, complete sign-in, authorize GNOME, and review service switches. Do not assume that a label or browser handoff is identical across releases.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Ubuntu opens a browser instead of a dialog

A browser handoff is one of the sign-in patterns described by Ubuntu’s help. Complete the Google prompt in that browser and follow the return or confirmation instruction shown on screen. If your release does not return to Online Accounts, consult the documentation for that exact Ubuntu release rather than applying steps from a different version.

Google refuses the sign-in or authorization

The general help explains the expected flow but does not provide a current release matrix or a diagnosis for every failed sign-in. Administrator restrictions on a Google Workspace account, two-step-verification issues, browser handoff failures, and unsupported desktop versions can require different remedies. Record your Ubuntu release and the exact message, then use the corresponding official Ubuntu and Google guidance for that environment.

A service is missing from an application

First check the account entry in Online Accounts and confirm that the service switch is on. Then verify that the application supports that service. Ubuntu’s account connection exposes enabled services; it does not add unsupported features to an application.

Privacy and access decisions

Review the authorization request before accepting it and keep only the service switches needed for the applications you use. If your needs change, disable a service instead of removing the entire account when you still need the other services. When disconnecting permanently, remove the account in Ubuntu and revoke the provider authorization as advised by Ubuntu Documentation.

This setup is therefore best understood as a controlled connection between GNOME, Google, and compatible applications—not as a replacement for the Ubuntu login system and not as a blanket permission for every application on the computer.
