A global search box can look like one input and one results page. In practice, it can become a subsystem that must decide what data to search, how to interpret a query, which results a person may see, how to rank them, and how to keep them current. In a 2026 account, the author describes a logistics platform where that work took about eight months—an experience, not an industry-wide cost benchmark.

Why the request sounds smaller than the work

The request came from a logistics customer: enter a phone number once and find everything associated with that customer across applications. An operations manager put the frustration plainly: “why do I have to know which table a thing lives in before I am allowed to look for it?”

The author says the platform had 34 list views across 11 applications, each with its own filter panel. The resulting global-search project took about eight months to ship and became the most expensive feature the author’s team built that year. Those are details from one first-person account, published in 2026, not a general estimate of what search costs other teams.

Filters and search solve different problems

A filter applies a structured condition to a known field: for example, show records with a particular status, date range, or owner. The user knows what field to constrain and what value to choose.

Search starts with a fragment and requires the system to make choices on the user’s behalf: which fields to inspect, how to compare values, and what counts as a close match. A phone number, a person’s name, and an order identifier may need different matching behavior. A text box connected to a database query does not, by itself, answer those product and engineering questions.

What “search everything” can include

The author divides the searchable material into three corpora. This is a framework from the author’s account, not a universal taxonomy; its value is in making scope visible before implementation begins.

Records

Records are rows in business tables across applications. A team needs to decide which entities and fields are included, how a result points back to its source, and what happens when a user’s query could match several kinds of record.

Metadata

Metadata includes field labels, forms, workflow definitions, scripts, and permission rules. Searching it is different from searching customer records: a user may be trying to find where a concept is configured, rather than an instance of that concept.

Unstructured content

Attachments, scanned documents, comments, and imported chat threads can add substantial scope. The author notes that these sources can require different tokenization, access rules, retention policies, and cost assumptions from structured records.

Matching depends on language and identifiers

Search behavior cannot safely be inferred from the appearance of the query alone. The author flags Chinese and English as examples of languages that may call for different tokenization strategies. A phone number or order number may be better treated as an identifier that can be normalized than as ordinary prose. Names and mixed-language content create further choices about what should count as a useful match.

These are design concerns raised in the author’s account, not prescriptions validated across all products. A team needs to define expected behavior for its users and data—for example, whether punctuation or spacing changes an identifier match, and whether a partial value should return results—before choosing how to index or query it.

Permissions can leak through search itself

A search index is another place where access rules must be enforced. The author warns that checking permission only when someone opens a result may be too late: a result title, result count, or highlighted snippet can disclose restricted information. A search system therefore has to preserve the source system’s access rules in the ways it retrieves, counts, and presents matches.

Query-time filtering and index scoping are two different approaches with different costs. The account does not establish that one approach is always preferable. The relevant test is whether every part of the search experience—results, counts, and excerpts—respects the user’s permissions for the underlying data.

Freshness and lifecycle are part of the feature

A saved record can reach the database before it reaches a separate search index. That gap makes freshness a product expectation as well as an implementation detail: users need to know whether a newly saved item should appear immediately or after some delay. The author describes indexing work that includes backfills, tenant provisioning, and deletion, not just the initial act of building an index.

For a multi-tenant system, existing customers may require large backfills when search is introduced. New tenants must be provisioned into the search layer, and deleted data or tenants must be reflected there too. The article does not provide a universal freshness or deletion guarantee; those expectations need to be made explicit for the system being built.

Ranking is a product decision

A query can return several plausible matches, but the first result is the one users are most likely to act on. Ranking therefore decides which result appears most useful, not merely how the system sorts records. Teams need to determine which signals should matter and whether the ordering can be explained well enough to support user confidence.

The author also raises a concern about automation: retrieval errors become more consequential when agents act on search results. This is a caution in the account, not a measured risk estimate. Where results drive automated actions, the system’s tolerance for ambiguous matches and its handling of uncertainty deserve deliberate attention.

Questions to settle before calling it “global search”

  • Scope: Which records, metadata, attachments, comments, and imported content are actually searchable?
  • Matching: How should languages, names, phone numbers, and business identifiers be tokenized or normalized?
  • Access: Do result titles, counts, and snippets obey the same permissions as opening the underlying item?
  • Freshness: How soon after a write should a result appear, and how will that expectation be communicated?
  • Lifecycle: How will backfills, tenant creation, and deletion be handled?
  • Relevance: What makes one plausible result more useful than another, and can the ranking be understood?
  • Automation: What should happen when a query has multiple plausible matches and an agent may take action?

These questions expose why the search box is not the whole feature. The interface may be small, but its behavior depends on data scope, matching, permissions, indexing, lifecycle, and relevance decisions. The eight-month logistics project is one author’s example of that hidden scope—not a forecast for every team.
