To make more room for school files without paying, first check what is using your Google Account storage, then clear unneeded files from Drive, Gmail, Photos, and other storage. A personal Google Account includes up to 15 GB shared across those services, so Drive may not be the main reason the account is full. Review important files before deleting them, and remember that emptying trash is permanent.

Check what is using your Google storage

Open Google’s storage manager and review usage by service. Google says personal accounts include up to 15 GB shared across Gmail, Google Drive, and Google Photos; Android WhatsApp backups can also use account storage. School or work accounts may have different storage arrangements.

If Gmail, Photos, or backups account for much of the usage, deleting Drive files alone may not solve the problem. Start with the service using the most space so you can focus your cleanup.

Remove large Drive files you no longer need

In Google Drive, open Storage. Files are listed from largest to smallest, making it easier to find large videos, downloads, exports, and old project files. Open each candidate and confirm it is no longer needed before deleting it. Drive does not provide a built-in automatic duplicate-file finder, so review possible duplicates yourself.

Files in Shared with me generally count toward their owner’s storage, not yours. Deleting someone else’s shared file will not free your quota. However, making your own copy of a shared file, or adding files to a shared folder owned by another person, can use your storage.

Find large Gmail attachments

Use Gmail’s search bar to find messages with bulky attachments. These searches identify candidates; inspect the results and keep anything you may need before deleting messages:

  • has:attachment larger:10M finds messages with attachments over 10 MB.
  • filename:.pdf larger:5M finds PDFs over 5 MB.
  • older_than:2y has:attachment finds messages with attachments older than two years.

Delete only messages you no longer need. If a message contains important schoolwork or records, save a copy before removing it.

Review Photos, backups, and connected-app data

Check Google Photos for large videos and photos you no longer need, and review backups and other storage in the storage manager. Google’s “other storage” category can include device backups and hidden data from connected apps.

Android WhatsApp backups count toward Google Account storage. Do not delete one casually: Google warns that deleting a stored backup is permanent and may mean losing chat history when changing phones or reinstalling WhatsApp. If you decide to remove it, change your WhatsApp backup settings first so a new backup does not recreate the storage use you are trying to clear.

Photo and collaborative-file storage rules can depend on when content was uploaded, created, or edited. For example, Google says Storage saver (formerly high-quality) Photos backups uploaded before June 1, 2021 do not count toward storage; some later uploads and newer or modified collaborative files do. Check Google’s storage policy details if you are unsure how a particular item is counted.

Empty trash only after checking it

Deleted items in Drive, Gmail, and Photos can continue to count against storage while they remain in trash or bin. Check each one for anything you may need to recover, then permanently empty it only when you are sure. Permanent deletion removes the recovery option.

After a large cleanup, Google says the storage total can take 48–72 hours to update. Give the account time to refresh before concluding that a deletion did not help.

Keep files locally if you need to retain them

If you want to keep a file but do not need it available in Google Drive across devices, download it to a personal device and then delete its cloud copy. You can use an external drive as an optional backup destination for large files, but it is not required. Keep in mind that a local copy will not have the same anywhere-access convenience as a cloud file, and you are responsible for maintaining that backup.

Consider paid storage only if cleanup is not enough

If you need to keep everything in the cloud and still need more room, Google One offers additional shared storage. Plan details and prices vary by country, so check the offer for your location rather than relying on a price quoted elsewhere.

When an account is over quota, Google says Drive uploads may stop, Gmail sending and receiving may be affected, and Photos backup may stop. Google also says it may remove content if an account remains over quota for two years, but it will give advance notice and an opportunity to act.
