“We couldn’t reach the email server” tells you Outlook cannot connect, but it does not identify why. First check Outlook’s connection status, your internet access, and whether your email password changed. If the problem happens while adding an account, confirm its type and use the provider’s current server and sign-in settings. The right next step depends on which Outlook app you use, the account type, and whether one person or several are affected.
Start with the connection and sign-in basics
Check Outlook’s status
In classic Outlook for Windows, look at the status bar. “Disconnected,” “Working Offline,” or “Trying to connect…” means Outlook cannot reach the mail server. Select Send/Receive, then select Work Offline to turn it off if it is enabled. Try Send/Receive again. See Microsoft’s Outlook send and receive troubleshooting.
Confirm the computer is online
Open a browser and visit a website you know. If the site does not load, fix the device’s internet or local-network connection before changing Outlook settings. A working browser connection does not rule out an email-specific authentication or server-settings issue.

Check whether your password changed
If you recently changed the password with your email provider, update the saved sign-in in Outlook. Some providers require an app password for mail apps; if Outlook rejects a correct account password or the provider directs you to use one, follow that provider’s instructions. Do not share your password or disable account security protections.

Choose the steps that match your Outlook app and situation
First identify whether you use new Outlook, classic Outlook for Windows, Outlook for Mac, or Outlook on the web. Also note whether the error appears while adding an account or on an account that previously worked. Menu names and repair options differ by client.

If Outlook fails while you add an account
Confirm the account type
Make sure the account type you select matches the provider and address. Microsoft 365 or Exchange accounts should not be treated as generic POP or IMAP accounts. For a work mailbox, ask the administrator whether POP or IMAP is enabled before trying either protocol.

Use the provider’s current settings
When automatic setup cannot find settings for a third-party account, classic Outlook may allow manual POP or IMAP configuration. Get the incoming and outgoing server names, security requirements, and authentication instructions directly from the email provider. Server names, ports, and encryption requirements vary, so do not guess them. Microsoft’s Outlook email setup guidance covers account setup and app-password considerations.

- In classic Outlook, select File > Account Settings > Account Settings.
- On the Email tab, select the affected account, then select Repair.
- Follow the wizard and restart Outlook.
The Repair option is not available for Outlook 2016 connecting to Exchange. If you do not see it, do not assume the account is beyond repair; use the troubleshooting path for your client and account instead. See Microsoft’s profile repair instructions.
Keep Office updated
Microsoft recommends keeping Office updated when troubleshooting connection problems. For a Microsoft 365 account, its guidance also identifies outdated client or Windows software and a damaged Outlook profile among issues to investigate. For Outlook for Mac, investigate sending-specific settings
If you can receive mail but cannot send, the outgoing server path may be the problem. Microsoft lists SMTP authentication, incorrect credentials or settings, an ISP or network firewall blocking the outgoing server, SSL or port requirements, proxy requirements, and an unavailable server among possible causes. Ask your provider or network administrator for the correct configuration instead of changing server names or ports by trial and error. Microsoft’s Outlook for Mac send and receive guidance also recommends checking web access and local network connectivity.

When to involve your Microsoft 365 administrator
If a Microsoft 365 work mailbox is affected, ask whether coworkers have the same problem. When several people are affected, an administrator should check Exchange Online service health and run Microsoft 365 connectivity diagnostics where available. A single-user issue may instead call for client, profile, or device checks.

There is also a narrowly scoped managed-environment setup failure: Group Policy can disable local Autodiscover while an Office connected-experiences policy blocks cloud Autodiscover, leaving Outlook unable to retrieve account settings. Know when to contact the provider
If internet access works and the issue is limited to one third-party account, ask the email provider to confirm the current server, authentication, and security requirements. For a work account, contact your organization’s administrator instead, particularly if other users are affected. The quoted error alone cannot determine whether the cause is a local offline setting, credentials, provider configuration, a network restriction, or a service issue.
