Build offline capture as a data-and-sync system, not a cache switch. Keep the local data set limited to what a technician needs for assigned work, save every field action on the device first, and show clearly what has synced, what is queued, what failed, and what conflicts. Treat each photo as a record linked to its job, with its own upload status. Use structured forms with autosave for the details that matter, and separate AI that runs on the device from AI that needs a connection, with a manual path for when the connected part is unavailable.
Define offline by the tasks a technician must finish
“Offline” is only useful when it is defined by work. Before choosing a platform, list the jobs a technician must complete with no signal: reading the work order, checking asset history, completing a checklist, capturing photos, and closing the job. Each of those tasks depends on three design layers:
- Local read set: the records downloaded to the device.
- Local write queue: changes saved on the device and sent later.
- Sync state: what the technician can see about each change, including errors.
Microsoft frames offline use in these terms. Its Dynamics 365 Field Service mobile documentation states: “After the offline profile is set up and data is downloaded to the mobile device for the first time, the mobile app runs offline-first.” (Microsoft Learn: Configure offline data synchronization)
Scope the offline data set deliberately
Microsoft’s offline profile is the main control. An administrator uses it to choose which tables and fields are available offline, which related data comes with them, which filters apply, and how often sync runs (Microsoft Learn: Configure offline data synchronization). The default Field Service profile is a starting point with common tables and recommended filters, not a finished configuration (Microsoft Learn: Best practices and limitations for the offline profile).

Scope is the largest performance lever. A larger profile means a longer first download and more device storage. Microsoft’s guidance also lists restrictions you must design around: some tables are unsupported offline, and some flows run only with connectivity or only at the next sync (Microsoft Learn: Best practices and limitations for the offline profile).

Scope checklist
- Filter by the technician’s assigned work and a short date window, not the full service history.
- Include related records such as asset, customer contact, or parts only where the job screen displays them.
- For every step of the job, confirm whether it works offline, runs at the next sync, or needs connectivity, and design a fallback for the last two.
- Measure the first download on your slowest supported device over the weakest connection you expect in the field.
How sync, queued writes, and conflicts behave
Local storage and sync mechanics
Microsoft’s Power Apps offline-first documentation describes a local SQLite-based cache, an initial download, incremental synchronization, and local queuing of offline writes until connectivity returns (Microsoft Learn: How offline first functionality works in Power Apps mobile). Each stage can fail independently, so the app has to report which stage a change is in.

Platform differences
Sync does not behave the same on every platform. On iOS, syncs occur in the foreground. On Android, a sync started in the foreground can continue after the app moves to the background (Microsoft Learn: How offline first functionality works in Power Apps mobile). For iOS, tell technicians to keep the app open until it reports that sync has finished, and do not promise background completion there.
Conflicting edits
Microsoft’s sync guidance says conflicting changes may be resolved with dispatcher changes winning (Microsoft Learn: Configure offline data synchronization). Do not assume a universal merge policy. Decide, for each record type, what happens when a technician and an office user change the same field.

Making sync state visible
- Saved on device: the change exists only on the phone.
- Queued: waiting for connectivity or the next sync.
- Uploading: in transit; on iOS, the app must stay open.
- Synced: confirmed by the server.
- Failed: retry is available, and the reason is shown.
- Conflict: needs a rule or a person to resolve it.
Give each state its own icon and text label. Technicians often check status briefly, in poor light, or while wearing gloves.

Photos as linked work records
A photo is only useful when it is attached to what it documents. Link each image to the work order, service appointment, or asset it supports, store its capture time with it, and show the upload state on the photo itself. Vendor documentation does not set a universal standard for image metadata or retention, so those choices belong in your requirements.
Salesforce: documented offline image queuing
Salesforce’s Mobile and Offline Developer Guide states that supported Salesforce mobile apps can queue image uploads while offline and upload them after network service returns. The guide ties this to app support and to a Salesforce Mobile App Plus licensing condition, so confirm licensing and configuration before treating offline photo upload as a design assumption (Salesforce Developers: Mobile and Offline Developer Guide).

Microsoft: smaller files, but a narrower offline claim
Microsoft’s offline profile guidance recommends allowing photo resolution to default to smaller file sizes, which reduces device storage use and transfer volume (Microsoft Learn: Best practices and limitations for the offline profile). That guidance does not show that every Microsoft field app photo workflow supports offline upload, so verify the exact photo workflow in your configuration.

Design the failure paths
- Low storage: decide in advance whether capture stops, compresses the image, or warns the technician before they leave the site.
- Upload failure: keep the original file on the device until the server confirms receipt, and show the failed photo on the job itself, not only in a log.
- Parent record edited or removed before sync: move the photo to a review state rather than letting it disappear.
- App closed during upload: the queue must resume on the next launch without sending a duplicate.
Capture details with structured forms
Free-text notes are hard to validate and easy to leave incomplete. Structured capture gives the office consistent data and gives the technician fewer ways to skip required facts.

Salesforce Data Capture creates dynamic forms with conditional logic and autosave, and Salesforce documents their use online or offline in the Field Service app (Salesforce Help: Data Capture for Field Service Mobile). Conditional logic shows a question only when an earlier answer requires it, which keeps longer inspections manageable on a small screen.

Microsoft inspections and the experience question
Microsoft documents inspections as a way to capture structured service results. Before promising offline inspections, check which mobile experience technicians open. Microsoft’s Dynamics 365 Field Service mobile app overview states that the refreshed experience does not currently support working offline (Microsoft Learn: Dynamics 365 Field Service mobile app overview).
AI: separate on-device capability from connected features
“AI in the field” covers at least two different things. A barcode reader that works in a basement is a narrow on-device vision function. A tool that summarizes job history is usually a connected service. Plan and test them separately.
On-device barcode recognition
Google’s ML Kit barcode scanning performs barcode recognition on the device without a network connection. It supports common linear and 2D barcode types, and its documentation describes limits on formats and image quality (Google for Developers: Barcode scanning with ML Kit). That narrow capability does not show that general-purpose image understanding or generative AI works offline.

Salesforce describes Agentforce in the Field Service mobile app as using text and images to find records, summarize records, generate post-work summaries, and gather information (Salesforce Help: Field Service Mobile App). That overview does not establish offline availability for these features, so treat them as connected features until a current release or configuration document says otherwise.

Build the manual fallback first
- Every AI-assisted step needs a manual path that completes the same structured record.
- AI-generated text should land as a draft the technician confirms, not as a finished record.
- A job must still be closable when the connected AI service is unreachable.
Devices, storage, and security
- Operating system: check the platform requirements on Microsoft’s download page and confirm the minimum version your target app needs (Microsoft Learn: Download and install the Dynamics 365 Field Service mobile app).
- Storage: Microsoft notes that storage requirements depend on the configured offline profile, so size devices after the profile is set (Microsoft Learn: Download and install the Dynamics 365 Field Service mobile app).

A test script for offline behavior
Vendor behavior changes between releases. Run these steps on the app version, platform, and licensing your users will have.

- Configure the offline profile for one representative technician role, then complete the first download on the target device while connected.
- Switch the device to airplane mode. Complete a job end to end: read the work order, fill a structured form, capture two photos, and close the job. Each action should save on the device without an error.
- Before reconnecting, open the queue view and confirm each change appears as saved on device or queued.
- Reconnect and watch each item move to synced. Record any item that stays queued or fails, along with the reason shown.
- Force a conflict by editing the same field on the device and in the office system. Record which value survives, and confirm it matches your rule for that record type.
- Close the app during a photo upload, reopen it, and confirm the photo is sent once with no duplicate.
- Disable the connected AI feature and confirm the manual path completes the same structured record.
