Email agents should classify each API failure before deciding what to do: refresh credentials for authentication failures, surface permission problems for a human to fix, back off on throttling or temporary service errors, and reconcile uncertain sends before trying again. HTTP status alone is not enough. Gmail API and Microsoft Graph expose different error details and retry signals, so keep provider-specific handling behind a shared internal failure model.

Build a provider-aware failure record

For every failed request, capture the HTTP status, provider error code and message, response headers, operation, and relevant request identifiers. Preserve the original provider response for diagnostics; normalize it for application logic rather than throwing provider details away. Gmail documents both HTTP status and a JSON error body, so inspect both when classifying a failure.

A useful internal record can include a category such as authentication, authorization or policy, throttling, missing resource, transient service failure, or ambiguous outcome. Keep the raw provider payload and headers alongside that category. This allows a common retry worker to make consistent decisions without pretending that Gmail and Graph report failures identically. Choose an action for each failure class

Failure class Typical response Agent action
Authentication Credentials are absent, expired, or invalid Refresh the token when supported; if refresh cannot restore access, request renewed user authorization. Do not loop retries with the same unusable credential.
Permission or domain policy The identity is authenticated but the requested operation is not allowed Stop automatic retries and explain what the user or administrator must change.
Missing resource The requested message, mailbox resource, or other target cannot be found Check whether the identifier is stale or the resource was removed; retry only if the operation’s context makes the resource likely to appear.
Throttling or time-based rate limit The provider is limiting request volume Honor the provider’s wait signal where available; otherwise use exponential backoff. Avoid immediate retries.
Transient server or backend failure The provider reports a temporary service-side problem Retry with bounded exponential backoff and jitter, then defer work if the failure persists.
Ambiguous send outcome A timeout or response does not establish whether the send took effect Mark the operation uncertain and reconcile provider state before issuing another send.

These categories are a routing model, not a claim that every provider uses the same status or error code for each one. Use the provider payload and operation-specific documentation to map actual responses. Retry Gmail API failures without creating a fast loop

Gmail recommends exponential backoff for time-based rate-limit errors and backend errors. Its guidance describes increasing waits—for example, about one second, then two, then four—with random jitter. It also says retry periods should begin at least one second after an error. Jitter helps prevent many agents that failed together from retrying in lockstep. Gmail API error handling

  1. Classify the response. Read the HTTP status and Gmail JSON error details. Separate rate-limit and backend failures from authentication, permissions, policy, and missing-resource problems.
  2. For retryable rate limits or backend errors, defer the request. Start no sooner than the documented one-second minimum, increase the delay exponentially, and add jitter.
  3. Bound automatic attempts. Google’s guidance supports increasing waits and avoiding rapid retries, but does not set a universal attempt cap or queue design. Choose and document limits for your service.
  4. After the bound is reached, persist the work for later handling. Keep the operation visible as deferred or failed rather than dropping it or retrying continuously.

Do not retry a permission or domain-policy failure on the same credentials and configuration: the required recovery is a user or administrator action, not another API call.

Handle Microsoft Graph throttling by honoring Retry-After

For Microsoft Graph throttling, detect HTTP 429 and wait for the interval in the Retry-After header. Do not retry immediately. If the header is absent, Microsoft recommends exponential backoff. The relevant thresholds vary by service and scope and can change, so avoid hard-coding a presumed universal request quota. Microsoft Graph throttling guidance

  1. On a 429 response, parse Retry-After and schedule the affected work no earlier than that interval.
  2. If the header is missing, apply exponential backoff rather than an immediate retry.
  3. Track throttling by the relevant workload and scope so one hot operation does not cause uncontrolled retries across unrelated work.
  4. Use a durable deferred-work path if throttling continues beyond your automatic retry policy.

Microsoft cautions: “Avoid immediate retries, because all requests accrue against your usage limits.” Attribute that guidance to Microsoft Learn, not to an individual speaker.

Make batch handling granular

Batching can reduce request overhead, but it does not make failures atomic or remove rate limits. Gmail warns that large batches can trigger rate limiting and says not to send batches larger than 50 requests. Microsoft Graph evaluates the subrequests in a JSON batch individually, so a batch response can contain a mixture of successful and throttled operations.

  • Gmail: Keep a batch at or below Google’s documented maximum of 50 requests, and avoid large bursts that increase rate-limit risk. Gmail API error handling
  • Graph: Inspect each subrequest result. Retry only failed subrequests, using their corresponding Retry-After values; alternatively, wait for the longest applicable interval before resubmitting the failed items. Treat send confirmation as an operation-state problem

A successful HTTP status does not always settle whether an email was sent. Google explicitly warns, “You can’t assume that a 200 response means the email was successfully sent.” A timeout or ambiguous response can leave the agent unable to tell whether the provider accepted the send.

Represent that condition as an explicit uncertain state rather than treating it as an ordinary retryable failure. Before resending, reconcile against provider state where the API and operation support it—for example, check whether the intended message can be found using the operation’s available identifiers or application records. The exact reconciliation method depends on the send operation; Gmail’s documented caveat establishes the uncertainty, while the reconciliation workflow is an engineering response to it. Do not assume a universal idempotency key or delivery guarantee unless the specific provider operation documents one. Gmail API error handling

Reduce the failures that retries cannot fix

  • Limit request frequency rather than relying on retries to absorb sustained overload.
  • Keep batches within provider guidance and avoid bursts of large batches.
  • Prefer change tracking or notifications over continuous polling and repeated full scans when available. Microsoft notes that polling patterns are more likely to cause throttling and can degrade performance. Microsoft Graph throttling guidance
  • Check the retry behavior of the particular SDK and version before depending on automatic retry handlers; otherwise, application-level retries can compound SDK-level retries.

Keep quota assumptions current

Do not treat a quota figure as permanent or universal. Google says Gmail API usage limits changed effective May 1, 2026. Which quota treatment applies depends on project history: whether the project used the API between November 2025 and April 2026, or was created on or after May 1, 2026. Consult Google’s current Gmail API usage limits for the applicable project regime rather than copying a number into shared retry logic.

Microsoft says Graph throttling thresholds vary by service and scope and may change. Build the agent to respond to actual throttle signals, especially 429 and Retry-After, instead of depending on a fixed assumed ceiling. Microsoft Graph throttling guidance

A practical decision flow

  1. Record the operation, provider, HTTP status, provider error body, and headers.
  2. If credentials are invalid or expired, try the supported token-refresh path; otherwise request user authorization.
  3. If the request is blocked by permissions or domain policy, stop and direct the user or administrator to the required change.
  4. If the failure is a Gmail rate limit or backend error, defer using exponential backoff with jitter and a minimum one-second start; if it is Graph 429, honor Retry-After, falling back to exponential backoff only when the header is absent.
  5. For batch operations, isolate failed items and leave successful items alone.
  6. For an uncertain send, reconcile the operation before another send attempt.
  7. After your documented retry bound, persist the work for later handling and expose its state to monitoring or the user.
