Set a clear boundary: employees should use a company-managed ChatGPT workspace (or another approved enterprise AI service) for work, while personal accounts remain for personal activity. The rule only works when IT also provides identity controls, retention and deletion settings, monitoring, data-loss safeguards and a supported way to keep personal conversations separate.
Why personal ChatGPT use creates an IT problem
A consumer account can make it easy to paste source code, customer records, contracts or other sensitive material into an AI service without the organization knowing which data was sent, who can access it later or how long it will remain available. The risk is not limited to the model response: prompts, uploaded files, generated outputs, conversation history and usage metadata can all become records.
OpenAI’s managed-account guidance says, “Your administrator manages this account and the ChatGPT data associated with it.” That is materially different from a personal workspace, which is user-managed unless the organization verifies or claims the relevant domain. IT should explain that distinction before inviting anyone into a company workspace.

Can employees use personal accounts for work?
Allowing unrestricted personal-account use leaves the organization without a reliable policy, audit trail or offboarding process. A practical policy is:
#1 Best Overall
- Work prompts, files and outputs must use the organization-managed workspace or another approved enterprise AI service.
- Personal accounts may be used for personal tasks, but not for company confidential, regulated, customer, employee or proprietary information.
- High-impact uses—such as employment decisions, legal or financial advice, safety decisions and actions affecting a person’s rights—require qualified human review.
- Employees must follow the company’s disclosure, records-retention and incident-reporting rules.
OpenAI Academy’s guidance puts the order plainly: “Your company’s rules come first, so check organizational AI policies before using ChatGPT for work.”
What can an employer see?
In a managed account, administrators may be able to access, export, audit, retain, delete or otherwise control account data, including prompts, uploaded files, outputs, conversation history and usage metadata. IT should state these powers in plain language rather than implying that a managed account is private from the employer.
A personal workspace is not automatically transferred to the employer merely because an employee uses a company device or network. However, an organization can apply browser, proxy, CASB, DLP, endpoint or egress controls that block, alert on or record traffic. The exact visibility depends on the controls deployed and the notices provided to workers. NIST’s BYOD publication, dated September 28, 2023, warns that “An ineffectively secured personal mobile device could expose an organization or employee to data loss or a privacy compromise.”

One OpenAI account can show separate personal and company workspaces. Joining a company workspace and migrating personal content are separate choices.
What migration can do
OpenAI’s onboarding guidance says migration can copy supported content into the company workspace and deactivate the personal workspace. Moving company content back to a personal workspace cannot undo that change.
What employees should do before joining
- Keep personal conversations in an account tied to an email address you personally own and control.
- Read the migration screen carefully and do not accept migration merely to gain access to company features.
- Export or preserve personal material through a supported process before any migration decision.
- Assume company-linked access may end when employment ends.
IT should provide a documented path for preserving personal material and should never describe migration as a reversible merge.

Choose the right operating model
| Control area | Unmanaged personal use | Managed ChatGPT workspace | Sanctioned alternative AI service |
|---|---|---|---|
| Who controls data | The individual controls the personal workspace, subject to the provider’s consumer terms. | The organization controls the managed account and associated data. | The organization controls the service under its chosen contract and configuration. |
| Audit and retention | No dependable organization-wide audit or retention policy. | Administrators can apply logging, retention and deletion controls and may access account data. | Capabilities depend on the supplier’s enterprise contract and settings; verify them before approval. |
| Identity and offboarding | Usually separate from corporate identity; access can persist after employment. | SSO, provisioning and deprovisioning can tie access to the employment lifecycle. | Use the service’s equivalent identity and lifecycle controls. |
| Integrations and features | Users choose features and connected apps individually. | Groups and organization-level controls can limit features and connected apps. | Controls vary; document approved integrations and restrictions. |
| Privacy and contractual protections | Consumer settings may not meet organizational requirements. | Business products are described as not using organization data for model training by default and as offering encryption and retention controls. | Assess training defaults, encryption, retention, legal terms and support commitments in the contract. |
Eight actions for IT administrators
1. Inventory current use
Identify teams using personal accounts, the data classes appearing in prompts and the business purpose. Separate low-risk drafting or brainstorming from high-risk source code, customer records, regulated data, employment decisions and legal or financial advice.
2. Publish an acceptable-use policy
Define approved tools, prohibited data, required human review, disclosure requirements, records retention, incident reporting and consequences. Include examples employees can recognize, such as “do not paste an unredacted customer ticket.”
3. Provide a governed alternative first
Configure the managed workspace before broad invitations. OpenAI’s enterprise quickstart identifies an identity provider, verified domains, provisioning, groups, security, compliance, logging, retention, network controls and feature access as administrative foundations.
4. Connect identity to the employee lifecycle
Use SSO where available. Automate joiner, mover and leaver changes—for example, SCIM provisioning where supported—and review group membership and connected applications regularly.
5. Set retention and deletion rules
Choose settings that match legal holds, privacy obligations and the organization’s records policy. Business products are described as offering retention controls and not using organization data for model training by default; confirm the configuration and terms that apply to your edition.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minute6. Secure BYOD and network paths
Apply device-management, browser, proxy, CASB, DLP and egress controls appropriate to the environment. Document whether each control blocks, alerts, logs or permits activity, and provide the required privacy notices.

7. Communicate before enforcement
Tell employees which account is managed, what administrators can access, what migration does, how personal data stays separate and what happens at offboarding. Give them a supported export or preservation route before enforcing a migration choice.
8. Monitor and improve
Review usage analytics, policy exceptions, incident reports and high-risk prompts. Keep a human reviewer for decisions involving people, money, safety or legal rights, and update controls as new use cases appear.

OpenAI describes business products as providing encryption in transit and at rest, retention controls and administrative features, with organization data excluded from model training by default. Its security overview also describes strict access controls and support for compliance frameworks and agreements relevant to business customers. These statements do not replace a configuration review: administrators should verify the selected edition, settings, connected applications, retention period and contractual commitments.

What a workable policy sounds like to employees
Use one sentence employees can remember: “Use the company-managed workspace for company work; use your personal workspace only for personal work.” Follow it with the data rule, the human-review rule and a clear contact for exceptions. Explain that IT may control and audit managed-account data, while personal conversations should remain in a personally controlled account and should not contain company information.
