For a hosted email service, use the IMAP, POP3, and SMTP server settings provided by your email provider. First check in your hosting control panel which email service is attached to your domain: available services may include a provider’s own email, Titan Email, or Google Workspace, and each service has its own server settings.

What are the IMAP, POP3, and SMTP settings?

Use the published settings for your email service when adding an existing mailbox to an email app. Settings do not apply automatically to other providers or services.

For either incoming option, enter the full mailbox address and its mailbox password when prompted. SMTP is the outgoing server regardless of whether you receive mail using IMAP or POP3. Confirm that the mailbox exists, the domain is connected to the relevant mail service, and its MX records are correct before configuring an app.

How do I set up an email account in an app?

  1. Identify the email service. In your hosting control panel, open Emails and check which service is attached to the domain. Possible services include a provider’s own email, Titan Email, and Google Workspace. Use the settings for the service shown.
  2. Confirm the mailbox credentials. Check that the mailbox has been created, and have its complete email address and mailbox password ready.
  3. Check the domain’s mail connection. In your hosting control panel, open the domain’s Domain settings and review its mail DNS status. If your provider manages DNS and the domain uses its nameservers, the control panel may offer an automatic connection. If another provider hosts the active DNS zone, add or correct the records there instead.
  4. Add the mailbox to your app. Choose IMAP for server-based access and synchronization across devices, then enter the incoming and outgoing server details provided for your service. Choose POP3 only if its different message-management behavior suits you. App screens vary, but the server, security, port, full email address, and mailbox password are the information to supply.
  5. Adjust SMTP security only if needed. Start with the settings recommended by your email provider. If the app reports an encryption issue, check the provider’s instructions for an alternate port or encryption method.
  6. Recheck the domain status. After any DNS change, return to your domain settings to see whether the records are recognized. Manual DNS changes may take up to 24 hours to start working.

Should I choose IMAP or POP3?

Both IMAP and POP3 are used to access incoming mail; SMTP sends mail. The practical difference is how incoming messages are managed between the mail server and your devices.

  • Choose IMAP if you want messages managed on the server and synchronized across devices. Actions such as deleting a message are reflected across those devices.
  • Choose POP3 if you prefer downloading messages into an app. Depending on your provider’s POP3 behavior, downloaded messages may remain accessible in webmail; check the provider’s instructions if you need to delete them from the server.

Where do I add mail DNS records?

Add records at the provider that manages the domain’s active DNS zone. The company where you bought the domain is not necessarily the company hosting its DNS. For manual setup, open your email service’s domain settings, note the records shown for your domain, then enter them with the active DNS provider. For root-domain records, use @ or leave the host/name field empty, depending on the provider’s interface.

Verify the live values displayed in your email control panel for your domain before editing DNS, because the provider’s current instructions take precedence.

Record Host/name Value or target Priority Purpose
TXT (DMARC) _dmarc v=DMARC1; p=none; rua=mailto:dmarc@yourdomain.com Not applicable Example policy and reporting destination for SPF/DKIM failures

MX records are essential for receiving mail; SPF and DKIM are important for authenticating outgoing mail. DMARC is recommended for security but not required for basic email operation. The DMARC value above is only an example: replace yourdomain.com with an appropriate address for your domain before using it. If another service also sends email for your domain, do not replace its authentication configuration blindly; follow the relevant provider’s custom DKIM instructions for that setup.

Why is my email not connecting?

  • The server settings are rejected: Recheck the service attached to the domain in your hosting control panel. Settings for one email service will not configure a mailbox provided by another service.
  • You cannot receive messages: Confirm the mailbox exists and inspect Domain settings for missing or incorrect MX records. If DNS is managed externally, make changes in that active zone rather than an inactive DNS control panel.
  • You can receive but not send: Verify the SMTP hostname and that the security option matches the port, using your provider’s instructions.
  • The password is rejected: Check that you entered the full email address and the mailbox password, not a different account password. If needed, use your provider’s mailbox password reset instructions.
  • Mail still fails after DNS edits: Check your domain status again after propagation. Manual DNS changes may take up to 24 hours to start working.
