Email masking can reduce how often employees expose their primary email addresses and help isolate unwanted mail, but it does not authenticate senders or detect phishing by itself. For a workforce, it is an exposure-management measure—not a substitute for anti-phishing controls, multifactor authentication (MFA), safe forwarding rules, and a clear way to report suspicious messages.
What email masking means in a workplace
“Email masking” can describe different address arrangements. An administrator-managed alias gives a mailbox an additional address; mail sent to it arrives in the employee’s existing inbox. Google Workspace says its alternate address is not a separate Google Account and cautions that aliases are not private. Microsoft 365 likewise routes messages sent to a user’s additional address to that user’s inbox. These are useful for address management, but they are not automatically disposable privacy masks.
A privacy mask is a separate address an employee supplies to a website or other party instead of revealing a primary address. A masking service routes incoming mail onward, and some services let users disable or delete individual aliases. The exact options—such as replying from the mask, audit history, content scanning, and retention—depend on the provider.

Start by identifying the actual need: a second address for an employee, a shared role address, or a distinct address for each external service. A shared role inbox may need a shared mailbox or group workflow rather than an alias attached to one person.

How masking can limit exposure
If each external service receives a distinct alias, the organization shares fewer primary addresses. Should unwanted mail arrive at one alias, that can help identify which address may have been exposed. If appropriate, the organization can disable that alias without changing the employee’s primary mailbox address.
This is containment, not a guarantee that spam will stop. Disabling an alias can also block legitimate order updates, account-recovery messages, customer requests, or business correspondence. Before turning one off, identify its owner and dependent accounts, and provide a route to update the address where it is used.

No quantified workforce phishing- or spam-reduction figure is established for email masking in the sources cited here. Avoid treating a provider’s description of its feature as independent evidence of a measured security outcome.
Why an alias does not prevent phishing
Masking does not prove that a message’s sender is genuine, scan the message for malicious content, or stop an attacker from contacting an employee through another address. It also does not prevent display-name impersonation, lookalike-domain attacks, or abuse of a compromised account.

Sender authentication is a separate layer. Microsoft notes that a deceptive lookalike domain can have valid SPF, DKIM, and DMARC records. Those protocols therefore do not, on their own, establish that a message from a lookalike domain is trustworthy. Use them as part of a broader mail-security setup alongside anti-spoofing and impersonation protections.
Choose the right kind of alias
| Option | Typical purpose | Who manages it | What to verify |
|---|---|---|---|
| Administrator-managed mailbox alias | Give one employee an additional work address that delivers to the same inbox. | An email administrator associates the address with a user. | Whether replies can use that address, how it is changed or removed, and what happens when the employee changes role or leaves. |
| Purpose-specific privacy mask | Share a separate address with an external service or contact rather than the primary address. | Depending on the service, the individual or an administrator. | Whether the mask can be disabled independently, whether replies are supported, and what message data the provider processes or retains. |
| Shared role address | Receive mail for a function or team rather than one person. | The organization, using a shared mailbox, group, or suitable routing workflow. | Who can read and send from it, how access is audited, and how ownership continues through staffing changes. |
These options do not have identical privacy, administration, or lifecycle properties. Before rollout, establish who may create aliases, how they are labeled, who can receive or send from them, and how they are revoked. Check the chosen provider’s current documentation for the precise behavior.

Forwarding is a mail-flow decision with security and delivery consequences. Microsoft warns that automatic external forwarding can disclose organizational information and that attackers may use forwarding rules after compromising an account. Limit external forwarding to approved needs and destinations, and monitor rules that route mail outside the organization. Microsoft’s guidance notes: “Forwarding rules to external recipients are often used by attackers to extract data.”

Google explains that forwarded messages may fail SPF checks or be incorrectly classified as spam or phishing. Its guidance discusses envelope-sender rewriting, SPF records, filtering before forwarding, and forwarding headers. Test legitimate transactional and business messages through the chosen route rather than assuming they will arrive normally.
Quick Recap
Build masking into layered workforce defenses
- Set forwarding policy: Restrict external destinations according to business need, and monitor forwarding rules for unexpected changes.
- Apply mail protections: Configure the provider’s anti-phishing, spoofing, and impersonation controls; treat SPF, DKIM, and DMARC as components of that setup, not proof that every authenticated sender is safe.
- Protect accounts: Require MFA and include suspicious forwarding rules in account-compromise reviews.
- Make reporting practical: Give employees a clear way to report suspicious messages and ensure reports reach the people responsible for review.
- Plan alias ownership: Define who creates, monitors, and revokes each kind of alias, including when an employee changes roles or leaves.
- Prepare for retirement: Before disabling an alias, identify legitimate services and workflows that depend on it and provide a migration or recovery path.
Questions to settle before rollout
- Is the address for an individual, a specific external service, or a shared team function?
- Can the employee reply or send from it, and is that behavior appropriate for the business use?
- Where does forwarding occur, what filtering happens before it, and how is authentication handled?
- What message content and metadata does the provider process or retain?
- Can an alias be paused or removed independently, and who has central audit and offboarding control?
- What is the plan for legitimate delivery and account recovery if an alias is disabled?
