Short answer: the Microsoft Copilot app is an assistant-led hub for asking questions, creating content and moving around Microsoft 365. Office web apps are the browser versions of individual programs such as Word, Excel and PowerPoint, where you directly create and edit files. They work together, but the Copilot app is not another name for Word online.
Copilot app and Office web apps at a glance
Microsoft now calls the former Microsoft 365 (Office) app the Microsoft Copilot app. The name began rolling out as “Microsoft 365 Copilot” on January 15, 2025, and Microsoft’s current support pages use Microsoft Copilot app. The change affects the hub used to find files, services and assistance; it does not rename Word, Excel or PowerPoint web into Copilot.

The table describes product roles, not a universal feature checklist. Microsoft says features and availability vary by subscription, account configuration, organization policy, geography and rollout stage.

What the Microsoft Copilot app actually is
A starting point for assistant-led work
The Copilot app puts a conversational assistant and Microsoft 365 navigation in one place. You can begin with a question, ask for an explanation, request a draft or summary, or look for a file or service. Depending on your account and enabled features, the app may also offer file-related experiences and ways to create or work with content.

It is best understood as a front door rather than a replacement for every Office program. A request such as “turn these notes into an outline” starts naturally in Copilot. The finished document may then be opened in Word web for detailed editing, formatting and collaboration.
A launcher for Microsoft 365 services
Microsoft documents a navigation pane that can expose areas such as Chat, Library, Agents, Search and Cowork. A separate menu or app launcher can take you to Word, Excel, PowerPoint, Outlook, Teams and other Microsoft 365 services. The exact labels and placement can change as Microsoft updates the app.
That navigation is the main reason the Copilot app can feel like an Office home page while still being a different product experience. It helps you choose the next service; it is not itself the full Word or Excel editing surface.

One app, separate account experiences
The updated app can accept personal and work or school accounts, but Microsoft says those experiences and their data remain separate. When you switch accounts, the files, conversations, policies and available features follow the selected identity. A work or school account remains subject to your organization’s security, privacy, compliance and administrative controls.

What Office web apps are
Browser versions of individual programs
“Office web apps” is a collective description for browser-based versions of Microsoft applications. The familiar examples are Word for the web, Excel for the web and PowerPoint for the web. Each app opens its own editor, ribbon and file workflow. You select a document, workbook or presentation, then work directly in that application.

The web editors support common writing, calculation, presentation and collaboration tasks without installing the Windows or Mac desktop programs. Feature depth can differ from desktop editions, and Microsoft can change capabilities over time, so a specialized desktop feature should be checked in the current app before you depend on it.

If your task is “fix the wording in this Word file,” “add a formula to this workbook” or “change the layout of these slides,” open the corresponding web app. The app is already in the context of the file and exposes the controls needed for that work. Copilot may help inside some apps for eligible accounts, but that assistance is an entitlement layered onto the editor, not what makes the web app exist.
Is the Copilot app the same as Word online?
No. Word online, now generally called Word for the web, is the browser editor for Word documents. The Copilot app is a cross-platform hub and assistant that can link to Word. You might start in Copilot, generate or locate content, and then open Word for the web to revise the document. Conversely, you can open Word for the web directly without starting in Copilot.
The same distinction applies to Excel and PowerPoint. Copilot can help you decide what to do or find the right file; Excel for the web is where you inspect cells, formulas and sheets; PowerPoint for the web is where you edit slides and transitions.
Choose by task, not by app name
Start in Copilot for assistant-led work
- Ask a question about a topic or a work process.
- Brainstorm ideas, outlines, headlines or meeting agendas.
- Summarize material that your account is permitted to access.
- Draft content before refining it in Word, PowerPoint or another editor.
- Find a file, person or Microsoft 365 service when you are unsure where to begin.
Start in a web app for hands-on file editing
- Rewrite or format a known Word document.
- Enter data, adjust formulas or review a worksheet in Excel.
- Edit slide text, layout or speaker notes in PowerPoint.
- Use the application’s sharing, comments, version history and formatting controls.
Use both for a mixed workflow
- Open the Copilot app and describe the outcome you need.
- Review the generated response or file suggestion; verify facts and permissions before using it.
- Open the linked Word, Excel or PowerPoint web app.
- Make the authoritative edits in the file editor, then share or collaborate from that application.
This workflow avoids a common mistake: treating an assistant response as if it were already a finished, correctly formatted Office file.

- Choose the platform. Microsoft describes Copilot app experiences for Windows, Mac, the web, iOS and Android. Use the version provided for your device or open the web experience through Microsoft’s Microsoft 365 access point.
- Sign in with the intended identity. Select your personal Microsoft account or your work or school account. Do not assume that switching accounts carries over conversations, files or entitlements.
- Check the navigation pane. Look for the areas Microsoft currently exposes, such as Chat, Library, Agents, Search or Cowork. Labels can differ by account and rollout.
- Enter a task in Chat. State the desired result, the source material and any constraints. For example, specify the audience, length and tone for a draft rather than asking for a vague “report.”
- Open the destination app when needed. Use the app menu or launcher to move to Word, Excel, PowerPoint or another service for detailed work.
- Verify the result. Copilot output can require fact-checking, formatting and permission review. Keep the original file and use version history when making consequential changes.

How to use Word, Excel or PowerPoint in a browser
- Open Microsoft 365 web access and sign in. Use the account that owns the file or has been granted access.
- Select the application. Choose Word, Excel or PowerPoint from the app list, or open the file from your recent documents or OneDrive.
- Create or open a file. Start with a blank document, workbook or presentation, or select an existing item.
- Edit in the application. Use the ribbon, menus, comments and sharing controls provided by that web app. Changes are generally saved to cloud storage associated with the account.
- Use Copilot only if it appears for that account. Its presence, location and capabilities depend on licensing, administrator settings and rollout; the web editor itself can remain available without the same Copilot features.
- Share from the file context. Check recipients and link permissions before sending a document that contains personal, confidential or organizational information.
Can you use the web apps for free?
Yes, Microsoft says people with a free account can use browser versions of Word, Excel and PowerPoint and receive 5 GB of OneDrive online storage. That is a genuine option for basic browser-based work; it is not a statement that every desktop feature or Copilot benefit is free.
Paid Microsoft 365 plans add benefits that differ by tier. Microsoft’s comparison distinguishes free web apps from subscriptions that can include desktop applications, additional storage and other services. Do not infer from the ability to open Word for the web that the signed-in account includes Copilot in Word, Excel or PowerPoint.

How Copilot licensing affects what you see
Personal accounts
For consumer accounts, the plan and the account owner matter. Microsoft says the subscription owner receives certain Copilot benefits in desktop applications, while people sharing a plan may have access to Copilot Chat without receiving every owner-only entitlement. A family or shared subscription therefore should not be described as giving every member identical in-app Copilot access.
Work and school accounts
Microsoft’s April 2026 license guidance distinguishes labels such as Copilot Chat (Basic), M365 Copilot (Basic) and M365 Copilot (Premium). These labels indicate whether an organization has assigned a Copilot add-on and where Copilot can be accessed directly. The organization can also configure or restrict use.
Eligible Microsoft 365 work or school users may have access to Copilot Chat without a separately assigned add-on, while deeper in-app capabilities depend on the assigned license and tenant configuration. It is therefore inaccurate to tell every business user that an add-on is required for any Copilot Chat, or that any Microsoft 365 sign-in automatically unlocks Copilot inside every Office editor.

Use Microsoft’s “What Copilot license do I have?” page to interpret the label shown for your account. Your administrator or subscription owner is the authority for entitlement decisions.

Why Copilot may be missing from Word or Excel
A missing Copilot button does not necessarily mean the application is broken. Check the causes in this order:
- Wrong account: confirm that Word or Excel is signed in with the personal, work or school identity that owns the benefit.
- Different product entitlement: free web access and a paid subscription can expose different features; a shared consumer plan may not give the same rights as the owner.
- Work license label: review whether the organization assigns Copilot Chat (Basic), M365 Copilot (Basic) or M365 Copilot (Premium), and what that label permits.
- Administrator policy: a tenant administrator can control or configure Copilot, even when the user’s license appears eligible.
- Platform or rollout difference: a capability may be available in one app, device or region before another. Microsoft changes navigation and feature availability.
- App state: sign out and back in, update the application or reload the browser after confirming entitlement. These steps address stale sign-in state, not missing licensing.
Before changing a subscription, ask an administrator or account owner to confirm the assigned license and policy. Microsoft’s comparison of free Copilot and Copilot in Microsoft 365 also separates consumer and business access.

Using personal and work accounts in the same Copilot app does not merge their data. Microsoft states that the account experiences remain separate. Select the correct account before asking for a summary or opening a file, particularly on a shared computer or phone.
With a work or school account, organizational security, privacy, compliance and administrative controls continue to apply. A prompt that references company material should be sent only through the organization-approved identity and services. Do not copy confidential data into a personal Copilot session merely because both accounts are available in the same app.

Microsoft’s product pages warn that Copilot features vary by subscription, account configuration, region and availability. The navigation pane, app names and placement of commands can change as Microsoft rolls out updates. A screenshot or instruction written for one account in one country is not proof that every reader will see the same control.

For that reason, use stable directions—sign in, identify the account, open the relevant app and check the license—rather than relying on a universal button position. Recheck Microsoft’s live support pages when documenting a specific Copilot command or regional availability.
Common scenarios
“I need to write a two-page proposal.”
Start in Copilot if you need an outline, ideas or a first draft. Move the result into Word for the web, where you can apply styles, edit wording, add comments and share the finished document. If you already have the document open, stay in Word and use any Copilot control that your account actually provides.
“I need to fix a spreadsheet formula.”
Open Excel for the web first. The cell references, worksheet context and formula bar are the important tools. Use Copilot as a supplementary explanation only when it is enabled and when you can verify the suggested formula against the workbook.
“I cannot find a presentation someone shared with me.”
Use the Copilot app’s search or library navigation if those areas are available for your account, then open the result in PowerPoint for the web. Confirm that you are signed in with the account to which the sharing invitation was sent.
“I want Office without paying.”
A free Microsoft account can use Word, Excel and PowerPoint in a browser and includes 5 GB of OneDrive storage, according to Microsoft. Decide whether the web editors meet your needs before paying for desktop applications or additional benefits. Copilot access is a separate entitlement question.

Bottom line
The Copilot app is the assistant and Microsoft 365 hub; Office web apps are the individual browser editors. Use Copilot to ask, plan, find and begin. Use Word, Excel or PowerPoint web to do the detailed work in the file. Whether Copilot appears, and what it can do, depends on the account, subscription or assigned work license, administrator policy, platform and region—not simply on whether a free web app opens.
