Contact Form 7 mail can fail at three different points: the form’s Mail settings, WordPress’s wp_mail() handoff, or delivery after the message leaves WordPress. A red-border error means the send attempt failed. A success message means only that WordPress accepted the handoff; it does not prove that the recipient’s inbox received the message. Check the Mail tab first, then investigate host logs, spam filtering, and the mail server.
Start by identifying what Contact Form 7 is telling you
Before changing plugins or moving to another mail service, note the exact state shown after submission. Contact Form 7’s visual result narrows the failure stage.
A red-border failure
A red border means Contact Form 7 attempted to send the message through WordPress’s wp_mail() function and that attempt failed. The failure can come from invalid mail settings, a mail server that is down or inaccessible, or another server-side problem. It is not the same as a message that was accepted and later placed in spam.
When this happens, correct the form configuration, then ask the hosting provider to inspect mail and PHP error logs if the failure continues. The host may need to confirm whether its mail service is available, rejecting messages, or limiting the account.

A green success message
A green success state means Contact Form 7 completed its WordPress-side processing. It does not confirm delivery to the recipient. WordPress’s developer reference puts the distinction plainly: “A true return value does not automatically mean that the user received the email successfully.” The message can still be rejected, quarantined, or filtered after the handoff.
For a green result, check the recipient’s spam or quarantine folder and ask the host to check outgoing and incoming mail logs. If the receiving server has no record of the message, the next investigation point is the sending server or mail path rather than the form’s front-end message.

Understand the three stages of a Contact Form 7 email

This separation prevents a common mistake: repeatedly editing form fields when the message has already left WordPress, or blaming Contact Form 7 when the host’s mail server is unavailable.
Correct the Contact Form 7 Mail tab
Open the form in WordPress and select the Mail tab. Validate each address and header as an email server would, not as a visual label.
1. Put a real mailbox in To
The To field must contain a valid recipient mailbox. Use a complete address, such as inquiries@example.com, rather than a name, a display label, or a mail-tag that can be empty. If you use several recipients, make sure each address is valid and separated according to the field’s accepted syntax.
Do not confuse the visitor’s address with the destination. The visitor’s address belongs in Reply-To when you want replies to go to that person; your organization’s monitored mailbox belongs in To.

2. Use a same-domain From address
Set From to a real mailbox on the same domain as the website, for example wordpress@example.com for a site at example.com. A visitor’s address should generally not be placed directly in From, because it can create an invalid or unauthorised sender identity.
Contact Form 7 maintainer Takayuki Miyoshi summarized the requirement this way: “The From field is not a label or decoration; it must be a valid email address that is in the correct syntax.” A display-name form is valid when the mailbox remains valid, such as John Smith <john@example.com>. The sender mailbox should exist or be accepted by the site’s mail system.
3. Make Reply-To carry the visitor’s address
Use a valid header line such as Reply-To: [your-email] when [your-email] is guaranteed to contain an email address. This keeps the authenticated or site-domain sender in From while allowing your staff to reply to the person who submitted the form.
4. Check Cc, Bcc, and every additional header
Additional headers must contain one valid header per line. Review Cc, Bcc, and Reply-To for misspelled addresses, stray punctuation, line breaks, or mail-tags that can resolve to non-email text. Remove an unused header instead of leaving a partially configured line in place.
5. Treat Mail (2) as a secondary message
Contact Form 7’s Mail (2) template runs only after the primary Mail template succeeds. It cannot repair a broken primary configuration. Fix and test Mail first; then configure Mail (2) if you need an automatic acknowledgment or another message.
Make sure address mail-tags always contain valid email values
Mail-tags are replaced with submitted form values. A tag used in To, From, Reply-To, Cc, or Bcc must resolve to a non-empty, correctly formatted email address every time it is used.

Use a required email field for required addresses
A field such as [email* your-email] requires the visitor to submit an email address and applies email validation. Its corresponding mail-tag, [your-email], is therefore suitable for Reply-To when the submission passes validation.
Do not trust optional or generic fields as addresses
An optional field such as [email your-email] can be empty. A plain text field or optional select can contain a name, an arbitrary phrase, or a value that is not an email address. If that tag is inserted into a mail header, the resulting message can be invalid even though the form appears to accept the submission.
If the visitor’s email is genuinely optional, keep the tag out of address headers or create a separate required email field for messages that depend on replies. Test the form both with the field filled and with it left blank; the latter case is where optional-tag errors often appear.
Run Contact Form 7’s Configuration Validator
Use the form editor’s configuration validation feature after editing the Mail tab. The validator can identify configuration problems that are easy to miss by eye.
- Empty required Mail-tab fields.
- Invalid mailbox syntax in To, From, Cc, Bcc, or Reply-To.
- A sender address that does not belong to the website’s domain.
- Invalid or malformed additional headers.
- Attachment files that do not exist.
- Attachments stored outside
wp-content. - Attachment sizes that exceed permitted limits.
- Unsafe email configuration.
Resolve every validator warning before testing delivery. An attachment error can prevent a message that otherwise has correct addresses from being sent. Recheck the validator after changing a field, because correcting one issue can reveal another.
Test the result without confusing processing with delivery
Submit a controlled test after the validator is clean. Use a real monitored recipient and record the time, the exact form used, whether the result is red or green, and whether an attachment was included. Send a second test without an attachment if the first attempt failed; this distinguishes an attachment-specific problem from a general mail problem.

- Open the public form in a private or logged-out browser window.
- Enter a valid required email address and ordinary text in every field.
- Submit once and record the visible result.
- If the result has a red border, stop treating the issue as inbox filtering and investigate
wp_mail(), the host, and server logs. - If the result is green, check the recipient’s inbox, spam folder, and quarantine area, then inspect mail-server records if available.
- Repeat with a second recipient on a different mail system only after the first result has been documented.
A green test that reaches one mailbox does not establish universal delivery. It proves that this particular message completed the WordPress handoff and was accepted somewhere along this particular route.
When the form is green but the email is missing
Check spam, quarantine, and mailbox rules
Search the recipient mailbox for the subject, sender, and submission time. Check spam and any quarantine or security dashboard managed by the recipient’s organization. Inbox rules can move a message to another folder without showing an obvious failure in Contact Form 7.
Verify the destination and sender independently
Confirm that the To address in the Mail tab is the mailbox you are actually checking. Confirm that the From address is a valid site-domain mailbox and that Reply-To, rather than From, contains the visitor’s address. A typo in To can produce a successful WordPress handoff to the wrong destination.
Ask for mail-server evidence
If the recipient has no message or quarantine record, ask the host whether its outgoing mail server logged the message. The useful questions are whether the server accepted the message, attempted delivery, received a rejection, or applied an account limit. The receiving organization may also be able to confirm whether it saw and rejected the connection.

The official Contact Form 7 troubleshooting guidance identifies invalid mail setup, a down or inaccessible mail server, and other server problems as possible causes of a red-border failure. Give the host enough information to trace one event instead of reporting only that “the form does not work.”
- The page or form name.
- The UTC or local submission time and time zone.
- The exact red-border message.
- The recipient address with sensitive portions redacted if necessary.
- Whether the validator reported errors.
- Whether the test included an attachment.
- Whether the same form fails for every recipient.
Ask the host to inspect PHP and mail logs for that timestamp and to confirm that the account’s mail service is running and reachable. The host should check for rejected connections, unavailable transport, rate limits, disabled PHP mail, or a queue that cannot hand messages onward. If the host cannot provide a reliable mail path, another mail server can be a legitimate escalation.

Decide whether to stay with host mail or use another server

Choose the least disruptive option that matches the evidence. Do not move to a new mail service merely because a message landed in spam; first verify the sender, recipient, and receiving-server records. Conversely, repeated red-border failures with a host-confirmed outage justify changing the transport rather than endlessly editing form fields.
Requirements for an alternate mail server
Whichever service you evaluate, confirm that it supports a same-domain From address, valid authentication, the message volume your site needs, and a usable delivery log. Follow its current setup instructions for WordPress and Contact Form 7. Keep the original host evidence so you can verify that the new route actually changes the failure stage.

“The form says sent, but nobody receives it”
Read the result as a processing success, not a delivery receipt. Check spam and quarantine, verify To and From, then request host and recipient-server logs. If the host shows acceptance but no downstream delivery, investigate the receiving system or use a mail server that supplies delivery events.
“It fails only when the visitor leaves the email blank”
An optional email mail-tag is probably being inserted into Reply-To or another address header. Make the field required with an email field tag, or remove the optional tag from address headers.
“It fails only when an attachment is added”
Run the validator and check that the file exists, is inside the permitted wp-content location, and does not exceed the configured attachment limit. Test a message without an attachment to confirm the scope.
“The visitor’s address is in From and messages are rejected”
Move the site-domain mailbox into From and put the visitor’s validated mail-tag in Reply-To. From must remain a valid mailbox in the correct syntax and should belong to the website’s domain.

Mail (2) depends on primary Mail succeeding. Fix the primary template and verify its delivery before diagnosing the secondary message.
A repeatable diagnostic checklist
- Record whether the submission shows a red-border failure or a green success.
- Open Mail and confirm a real mailbox in To.
- Set From to a correctly formatted mailbox on the website’s domain.
- Review Cc, Bcc, and Reply-To one line at a time.
- Ensure every address mail-tag is required, validated, and non-empty when used.
- Run the Configuration Validator and fix all listed errors, including attachment warnings.
- Retest with a simple message and then with an attachment if attachments are part of the workflow.
- For red-border failures, send the timestamp and error details to the host and request mail/PHP log review.
- For green results, check spam and quarantine, then request sending and receiving-server evidence.
- Only after the evidence identifies a transport problem, evaluate a dedicated SMTP or other mail server.
What the evidence can and cannot prove
Contact Form 7 can report that its call to WordPress failed, or that WordPress accepted the call. Neither state alone is a complete delivery receipt. The red-border state is strong evidence of a failure before or during the WordPress mail handoff. The green state is evidence of processing success only. Inbox arrival requires evidence from the receiving mailbox or mail systems involved.
A January 15, 2016 troubleshooting post by the Contact Form 7 maintainer describes reported configuration and server problems, but it does not establish a universal failure rate. There is no authoritative percentage that shows how often Contact Form 7 mail fails, so diagnosis should rely on the specific validator output, timestamps, and server records for your site.
