A construction timesheet app captures workers’ hours in the field and can connect them to a job, task, or cost code before approved time moves toward payroll. The right fit depends on how your crews clock in, how you track labor by project, and whether the app’s approval and export workflow matches your payroll setup.
What a construction timesheet app should do
At a minimum, the app should record who worked and when. For contractors managing labor by job, it should also let workers or supervisors assign time to the correct project and, where needed, a task or cost code. That distinction matters: an employee-hours report alone may not give a project manager usable job-cost data.
Field time can be entered through a worker’s phone, a shared kiosk, or supervisor-entered crew punches. Some products add GPS or geofence checks, approvals, and payroll or accounting exports. These are options to compare, not capabilities to assume are universal.
Compare the workflow, not just the feature list
Time capture and job assignment
Check whether workers can clock in on their own devices, whether a supervisor can enter time for a crew, and whether a shared-device kiosk is supported. Then confirm how workers select a job, task, or cost code and whether a supervisor can correct a mistaken assignment. GPS, geofences, and worker privacy
Ask precisely when location is checked: at clock-in, during a shift, or under another rule. A page describing GPS clock-ins does not by itself establish continuous tracking. Explain the setting to employees and review your local privacy and labor requirements before enabling location features. Chronotek describes geofencing and alerts when workers leave a site while clocked in; QuickBooks Time says its Workforce Time mobile app shares GPS location while users are on the clock. Offline use and corrections
Construction sites may have unreliable connectivity. Verify whether the app can record time offline, what data is queued, and how it syncs after reconnection. Also check whether edited entries show who changed them and whether the worker or supervisor can review a correction. Approvals and payroll handoff
Map the whole path from punch to pay: who checks a timesheet, who approves it, what happens when an entry is rejected, and how approved hours reach payroll. Ask whether the product supports your payroll or accounting system, your cost-code setup, and the export format you actually use. “Integration” is not enough detail to confirm compatibility with a particular configuration. Estimate the real cost for your crew
Compare the cost at your actual headcount, not just a starting price. For Chronotek’s listed structure, the arithmetic at its five-employee minimum is $19 base + (5 × $6) = $49 per month; that is the vendor’s stated minimum configuration, not a market average. Breche lists a starting price of $99 per month. Both figures were captured from vendor pages accessed in 2026, and should be confirmed before purchase. Ask each provider whether pricing changes with employee count, billing term, feature tier, or implementation needs.
Run a job-site trial before choosing
- Choose a representative crew and site. Include the devices and connection conditions your workers actually encounter.
- Test every capture route. Try worker mobile punches, any shared kiosk, and supervisor crew entry if those workflows matter to you.
- Enter real job structure. Check whether workers can select the right project, task, and cost code without confusion.
- Test connectivity loss. If offline operation is important, record time without service and verify what happens when the device reconnects.
- Review a correction and approval. Edit a mistaken entry, inspect the audit trail, and confirm who can approve or reject time.
- Complete a payroll handoff. Use a sample export or test connection to confirm the fields, pay categories, and cost codes arrive as expected.
- Check workforce fit. Confirm supported phones, shared-device options, language needs, and how location settings are explained to workers.
How to choose
Start with the operational problem you need to solve. If labor needs to roll up by project, prioritize job and cost-code allocation over a simple employee-hours clock. If crews work across sites or lose connectivity, put location behavior and offline syncing near the top of the trial checklist. If payroll errors are the main concern, make approvals, correction history, and an end-to-end payroll test the deciding criteria.
