For one person running one project, the choice usually comes down to how the work moves. If your project flows through a few clear stages, Trello Free is a sensible starting point. If you want the same tasks viewable as a board, a list, and a calendar, Asana Personal is worth a look, since its free plan covers one or two people. A timeline or Gantt view is the one feature that should push you toward a paid tier, and only if your tasks depend on each other.

This comparison is based on the official plan and product documentation published by Atlassian (Trello) and Asana, not on hands-on testing or measured productivity gains. Plan limits and prices change, so confirm the live plan page before you commit.

Start with the shape of your work

Visual project tools differ mainly in how they represent work. Trello is built around cards that move across columns, usually called lists or stages. Asana organizes work as structured tasks inside a project, and lets you display that same project in several layouts. Asana’s project-views page puts it this way: “Organize your work as a Kanban board, list, timeline, calendar, or Gantt chart.”

Before comparing features, sketch your project in plain terms. A typical solo research project might move through stages such as “To read,” “Reading,” “Synthesize,” and “Done,” with a few notes, open questions, and deadlines attached to each item. If that describes your work, the tool question is mostly about whether a board is enough. If you also need to see the same items by date, or plan a sequence where one task cannot start until another ends, the question changes.

Trello Free: cards moving through stages

Trello Free suits a project that can be managed as cards moving through a fixed set of stages. Atlassian describes the Free plan as suitable for individuals or teams getting organized. The limits to plan around are:

  • Up to 10 open boards.
  • Up to 10 collaborators.
  • A 10 MB limit per attachment file. Larger PDFs, datasets, or scanned archives will need to be stored elsewhere and linked.
  • 250 automation runs per month.

Those are plan ceilings from Atlassian’s current Trello plan documentation, not usage statistics. For one researcher with a single project, the board and collaborator caps are rarely the constraint. The attachment limit is the one most likely to matter, because research material is often larger than a typical task file. Check the Atlassian guide to choosing a Trello plan for the current figures and the full feature list for each tier. The sources reviewed do not list a calendar or timeline view for the free plan, so if you need date-based views, verify that on the live page before relying on Trello for them.

Asana Personal: one project, several views

Asana Personal is the better fit when you want to look at one project in more than one way. Asana describes its Personal plan as free forever for one or two people, with unlimited tasks and projects. Its list, board, and calendar views are available on the plan, so you can keep tasks in a list while you draft, switch to a board to see stages, and use the calendar to check deadlines.

The free plan has a clear boundary. Asana’s timeline (Gantt) view is not part of it. Asana’s project-views page states that Timeline (Gantt) views require Starter, Advanced, or Enterprise.

What Asana Starter adds, and what it costs

Asana’s pricing page lists Starter at $10.99 per user per month when billed annually. That figure is the annual-billing price shown on the pricing page when this article was written; it is not a permanent rate, and monthly billing may cost more. Starter is the lowest paid tier that unlocks the timeline view.

The gaps in this table matter. Asana’s free plan does not publish the same kinds of limits Trello does, so the comparison on attachments and automation is incomplete. Confirm those figures on the live pages if they affect your choice.

Decide by schedule needs

A solo research project often consists of mostly independent tasks: read this paper, summarize that chapter, draft a question for the advisor. Those tasks rarely need a dependency chain, which means the timeline view is probably unnecessary. Use this to decide:

  • Choose Trello Free if your work is a sequence of stages, you want a simple board, and you are comfortable keeping deadlines in the card rather than in a calendar.
  • Choose Asana Personal if you want the same tasks visible as a list, a board, and a calendar, and you do not need a Gantt chart.
  • Consider Asana Starter only if you have tasks that must finish before others can begin, and you need to see that sequence laid out on a timeline. Paying for it solely to have a more capable tool, without a dependency problem to solve, adds overhead you will not use.

Keep the setup small

Whichever tool you choose, a small setup is easier to maintain than a complete one. This is workflow advice, not a vendor-verified result:

  1. Create one board or one project for the research effort, not one per paper.
  2. Define no more than four to six stages, such as “To read,” “Reading,” “Synthesize,” and “Done.”
  3. Add only the fields you use: the next action, the due date, and a link to the source.
  4. Store large files outside the tool and link to them, which avoids hitting the Trello 10 MB per-file limit.
  5. Review the board once a week and move cards to reflect what is actually happening.

Verify before you commit

  • Open Trello’s and Asana’s current plan pages and confirm the limits and prices listed above.
  • Check whether your project needs calendar or timeline views, and confirm which tier includes them.
  • Test the tool with one real project for a short period before moving your full reading list into it.
