Most shared-document services encrypt files while they travel and while they are stored, but that does not automatically prevent the provider’s systems from accessing document content or managing the keys. Their standard collaboration features are built around accounts, permissions, synchronization and editing; keeping decryption keys only on users’ devices can make those workflows harder to support. End-to-end encryption (E2EE) is possible for shared documents, but it is often an optional, limited mode rather than the default.
What “encrypted” does—and doesn’t—tell you
Encryption in transit protects data moving between your device and a service. Encryption at rest protects stored data, such as files on a server. Neither phrase, by itself, tells you who controls the decryption keys. A service may encrypt stored files yet still be able to process their contents as part of its ordinary service architecture.
With end-to-end or client-side encryption, encryption and decryption happen on authorized endpoints, and the provider is not supposed to hold the keys needed to read the protected content. The goal is to keep plaintext away from the storage provider—not to make the document unreadable to the people you intentionally share it with.

That distinction is about technical access, not whether an employee routinely opens users’ files. A provider may retain the technical ability to process content without people freely inspecting it.

- Certified to FIPS 197 - High-level information security standard approved by the U.S. Government
- Brute-Force Password Attack Protection - Data is automatically erased after 6 failed access attempts. The data and encryption key are securely destroyed and the crypto drive is reset
- Rugged Double-Layer Waterproof* Design - Protects the crypto drive against knocks, drops, break-in and submerging in water. The electronics are shielded by a hardended inner case. The rubberised silicone outer casing provides a final layer of protection
- Auto-lock - The crypto drive will automatically encrypt all data and lock when removed from a PC/Mac or when the screen saver or "computer lock" function is activated on the host PC/Mac
- Secure Entry - Data cannot be accessed without the correct high-strength alphanumeric 8-16 character password. A password hint option is available. The password hint cannot match the password
Why ordinary collaboration favors a different design
A shared editor typically handles identity, permissions, storage, synchronization and document changes across multiple people and devices. If a service needs to process document contents to deliver a feature, it generally needs plaintext somewhere in that process—or a more specialized cryptographic design that supports the feature without conventional access.
E2EE shifts key control to users’ devices. That adds work around distributing keys to collaborators, verifying identities, changing access, handling lost accounts and coordinating edits across devices. The OECD noted in 2024 that “E2EE introduces more complexity, in particular in contexts where several users are involved,” including shared files in network drives (OECD report). This is a design pressure, not proof that collaborative documents cannot use E2EE.

Providers may respond by limiting which collaboration features work in encrypted mode, or by offering E2EE only for particular accounts, file types or folders. The trade-off is not simply “secure” versus “insecure”: it is a question of key control, supported workflows and scope.

Google Workspace: standard encryption and an optional client-side mode
Google says Drive, Docs, Sheets and Slides files are encrypted in transit and at rest using AES-256. Separately, eligible Workspace accounts can use administrator-enabled client-side encryption. Google says of files covered by that mode: “Your files are encrypted from end-to-end and between clients. Google cannot decrypt your files.” That statement applies to files protected by the feature, not every Google document (Google’s encrypted-files guide).

- Protection against brute force password attacks - Data is automatically erased after 6 unsuccessful access attempts. The data of the USB flash drive type c encryption with dual connectors is destroyed and the cryptographic drive is reset.
- Durable dual-layer waterproof design* — Protects the crypto reader from bumps, drops, run-in and immersion in water. The electronics are protected by a hardened internal case. Rubberized silicone outer case provides a final layer of protection.
- Auto-Lock —The cryptographic key automatically encrypts all data and locks when removed from a PC/Mac or when screen protection or "computer lock" is enabled.
- Secure Entry —Data on these flash drives cannot be accessed without the correct alphanumeric password of 8 to 16 characters. A password indication option is available for this flash drive. The hint cannot match the password.
Client-side encryption changes the editing workflow. Google’s documentation says only one person can edit at a time, autosave begins on a 30-second cadence, and some features are unavailable or altered. Comments and permissions also work differently. Users must verify their identity, and an administrator must enable the feature for the organization. Shared access is granted to collaborators through a per-file key (Google’s setup guidance; Google’s collaboration guidance).
Dropbox: E2EE for selected team folders, not all content
Dropbox separately documents E2EE for selected team folders. It states that “Private client keys aren’t stored at Dropbox and never leave the user’s device.” That applies to the encrypted team-folder feature, not to the entire Dropbox account (Dropbox encrypted team folders overview; Dropbox security overview).

- FIPS 197 with XTS-AES 256-bit Encryption: Provides business-grade security with hardware-based encryption to protect your sensitive data
- Brute Force and BadUSB Attack Protection: Safeguards against unauthorized access attempts and malicious USB attacks with digitally-signed firmware
- Multi-Password Option with Complex/Passphrase modes: Offers flexible password configuration options to meet various security requirements and user preferences
- New Passphrase Mode: Enhanced security feature allowing users to create longer, more memorable password phrases for easier access without compromising protection
- Dual Read-Only (Write-Protect) Settings: Enables write protection functionality to prevent accidental data modification or deletion when needed
Dropbox’s documentation excludes Dropbox Paper and other cloud content, shared folders and the Dropbox mobile app from this E2EE feature. Moving a file outside an encrypted folder removes that folder’s encryption. Check the current plan and exact folder scope before relying on it; feature availability and limitations can change (Dropbox feature overview).

Microsoft documents TLS protection for data in motion and multiple encryption layers. Its Service Assurance material says SharePoint stores encrypted file content in Azure blobs and describes an authorization layer that protects the key rather than exposing it to the end user (Microsoft 365 security documentation). Those are meaningful cloud security and access-control measures, but they do not establish that ordinary shared Microsoft 365 documents use client-held E2EE.

What to check before choosing an encrypted workflow
“Supports E2EE” is not enough to tell whether your actual collaboration is covered. Check the feature’s scope and the work your team needs to do:
- Coverage: Does encryption apply to the whole account, selected folders or only certain file types? What happens when a file is moved?
- Keys and access: Who controls decryption keys? How are collaborators authorized, and what happens when someone loses access or leaves the team?
- Editing: Can multiple people edit at once? Are changes synchronized normally, or does the product restrict editing or autosave?
- Collaboration features: Check comments, suggestions, integrations, APIs, search and previews; encryption may disable or alter some of them.
- Devices: Confirm whether web, desktop and mobile apps all support the encrypted workflow.
- Administration and recovery: Look for plan eligibility, administrator setup, identity checks and documented account-recovery options.
- Sharing beyond your organization: Determine how external collaborators receive access and how quickly you can revoke it.
Can the provider read my shared documents?
The answer depends on the specific product mode and the files it covers. For a service’s ordinary cloud collaboration mode, encryption in transit and at rest alone does not establish that the provider lacks the technical ability to process content. For a documented client-side E2EE feature, the provider may state that it cannot decrypt covered files; verify the scope and limitations rather than extending that claim to every file in the account.
