Choose an office chair and desk as a connected workstation: match their adjustments and dimensions to your body, tasks, equipment, and room. There is no single arrangement that fits everyone, so prioritize fit and adjustability over labels such as “ergonomic.”
Start with the work and the person using the workstation
Before comparing furniture, note what must fit on the desk—monitor, keyboard, mouse or other input device, and work materials—and how the workstation will be used. Measure the available room and consider whether the user needs to work seated only or alternate between sitting and standing. Keep frequently used items within easy reach, and plan for clear space beneath the desk so legs and feet can move.
OSHA’s Computer Workstations eTool says there is no single “correct” posture or component arrangement for everyone. Use its recommendations as selection and setup guidance, not as a universal fit guarantee. OSHA also says its eTools do not create new OSHA requirements. The agency’s pages accessed on October 7, 2026, did not display publication dates. OSHA Computer Workstations eTool and its purchasing guide are useful starting points.

Look for adjustments that let the user sit with the back supported, shoulders relaxed, and elbows near the body. Where possible, try a chair before buying it; OSHA recommends trying different chairs and, in its purchasing checklist, evaluating a chair over an extended period.

Check the seat and backrest
- Backrest and lumbar support: The backrest should follow the lower back’s natural curve and support the lumbar area. Check whether its position or angle can be adjusted to suit the user.
- Seat height: Adjust the seat so the feet rest flat on the floor or on a footrest. OSHA’s purchasing checklist gives a seat-height adjustment range of 15–22 inches as an example, not a guarantee that the chair will fit every user.
- Seat depth and edge: A seat pan with depth adjustment accommodates different body sizes. A rounded “waterfall” front edge can help avoid pressure behind the knees. OSHA’s checklist gives example dimensions of 15–17 inches for seat-pan length and about 18 inches minimum for width. These checklist dimensions may not suit every body type.
Decide whether armrests and casters work for the setup
Armrests are optional. If included, they should support the forearms without forcing the shoulders upward or pushing the elbows away from the body. Choose casters suited to the floor, and consider OSHA’s recommendation for a sturdy five-legged base.
Choose a desk for equipment, reach, and legroom
The work surface must hold the monitor, keyboard, and input device, with additional room for materials used in the job. OSHA advises placing the monitor at least 20 inches from the eyes; allow enough depth to achieve that distance without crowding the keyboard or other equipment. Position the keyboard, mouse, and monitor in front of the user, and place frequently used items within easy reach.

Check the underside as carefully as the desktop. It should leave room for thighs, knees, feet, and changes in seated position. Avoid storing items beneath the desk if they restrict leg or foot movement. A height-adjustable desk can help when the user needs to alternate between sitting and standing, but it is not necessary for every workstation.
Use keyboard-height figures as fit starting points
OSHA’s purchasing checklist gives example keyboard heights of 22–30 inches for seated tasks and 36–46.5 inches for standing tasks, with the keyboard around elbow level. Treat these as starting points for adjustment, not a fixed setting for every person. A keyboard tray may help when a fixed-height desk cannot place the keyboard at a comfortable height.

Set the monitor and furniture together
Place the monitor directly in front of the user and at least 20 inches away. OSHA recommends positioning the top of the screen at or just below eye level. The right position depends on the user and should be worked out alongside chair, desk, and keyboard placement—not by adjusting the monitor in isolation. See OSHA’s monitor guidance.
Once the equipment is in place, adjust the workstation so wrists and forearms are straight and aligned, shoulders are relaxed, elbows stay close to the body, the back is supported, and feet rest on the floor or a footrest. OSHA’s good working positions guidance also recommends changing position frequently, making small chair or backrest adjustments, stretching, and standing or walking periodically. A sit-stand desk enables posture changes, but it does not replace movement.

Compare desks and chairs by fit, not by label
When choosing between options, evaluate the complete setup rather than treating the desk and chair as unrelated purchases. A useful comparison includes:

- Adjustment range: Can the chair’s seat, backrest, lumbar support, and any armrests be adjusted for the user? Can the desk reach a comfortable working height for the intended tasks?
- Surface and clearance: Is there room for the monitor at the recommended viewing distance, the keyboard and input device, and work materials? Is the area below the desk clear enough for comfortable movement?
- Task and equipment fit: Can the user keep the monitor, keyboard, and input device in front and frequently used items within easy reach?
- Use pattern: Does the workstation support the user’s actual work postures, including seated-only work or practical transitions between sitting and standing?
- Tryout: Can the user test the chair’s fit and comfort before purchase? If not, understand the seller’s return terms before committing.
A chair or desk marketed as ergonomic is not automatically a good fit. Prioritize whether the available adjustments and clearances let the user reach a comfortable working position with the equipment they use.
