ChatGPT is useful for a first-pass spreadsheet audit, not as a certificate that a workbook is correct. It can profile sheets, spot missing or unusual values, find duplicates, identify data-type problems, explain trends, inspect formulas and references in supported Excel or Sheets experiences, and calculate checks. You still need to inspect the cited cells, test formulas and assumptions, and reconcile important totals against source records and business rules.
The safest workflow is staged: prepare a clean copy, ask for a bounded analysis, require sheet-and-cell evidence, make changes only from an explicit plan, then verify independently with Excel’s auditing and data-validation tools.
What ChatGPT can audit—and what it cannot prove
With a native spreadsheet file, ChatGPT can examine the structure and contents of a workbook or data table. Typical first-pass checks include:

- Duplicate rows or duplicate keys.
- Inconsistent data types, such as numbers stored as text or mixed date formats.
- Outliers, unusual categories and abrupt changes in a series.
- Totals, averages, transformations and other calculations that can be recomputed.
- Formula patterns, references and named formula chains when the Excel or Google Sheets in-product experience can access them.
- Charts or summaries that do not agree with the underlying range.
It cannot establish that the business logic is right merely because a formula returns a number. A workbook may contain a perfectly valid formula built on the wrong assumption, an omitted row, an outdated rate or an incorrect source range. OpenAI’s guidance says to review generated code, outputs and assumptions before relying on them, and its spreadsheet guidance says to verify outputs because AI can make mistakes.

Think of the result as a list of candidates for human review. Every finding should include the sheet, cell or range, the observed value or formula, why it may be a problem, and the evidence needed to confirm or reject it.
Choose the right ChatGPT workflow
There are two practical ways to work. The choice depends on whether you need analysis of an uploaded file or changes and explanations inside the workbook.

The Help Center currently describes the Excel and Google Sheets experience as available globally to Business, Enterprise, Edu, K-12, Free, Go, Pro and Plus users, subject to workspace controls and setup. Availability and limits can change, so check the current product page and your organization’s settings before planning a process around it.
Prepare the spreadsheet before uploading it
Preparation determines whether ChatGPT can read exact values or merely infer a layout. Make a preserved copy of the original, then prepare a working copy as follows:
- Use a native, text-readable file. Upload .xlsx, .xls, .csv or .tsv when exact values matter. An image of a table, a screenshot or a PDF with a complex layout is less reliable for cell-level checking.
- Put field names in the first row. Use descriptive, unique column names such as
invoice_date,customer_idandnet_amount, rather than unexplained abbreviations. - Keep one record per row. Do not place subtotals, notes or a second unrelated table inside the same rectangular data range.
- Remove layout breaks. Blank rows or columns, merged cells and decorative blocks can split a table and cause a tool to read only part of it. Keep explanatory notes on a separate sheet.
- Preserve important context. Include units, currency, date conventions, valid category lists and the definitions of calculated fields in a separate readme sheet or in your prompt.
- Check size and access. OpenAI’s upload guidance gives an approximate 50 MB limit for spreadsheets and CSV files, with the effective limit depending on row size, plan and client. If the file is larger, split it by logical table or period and state the relationship between parts.
Do not ask the model to retrieve live information from a website during a Python-based analysis. The notebook cannot make external web requests or API calls; download the authoritative extract yourself and upload it with its date and source.

Write a bounded audit prompt
A vague request such as “Is this spreadsheet correct?” produces an unreviewable answer. Define the scope, rules and output format. This prompt is a useful starting point:
Audit the sheets named Sales and Returns for the period 2025-01-01 through 2025-12-31. Check for missing required fields, duplicate invoice_id values, invalid dates, numbers stored as text, outliers in net_amount, and totals that do not reconcile to the control totals in the Summary sheet. Do not change the file. Return a table with sheet, cell or range, observed value or formula, issue, why it may matter, and a specific verification step. List assumptions and areas you could not determine.For a formula investigation, name the cell and ask for the chain rather than a guess. OpenAI’s documented example is: Why am I getting an error in cell B145? Explain the formula chain and propose a fix.
You can add, “Compare the formulas in B145:B200, identify the first deviation from the surrounding pattern, and quote the relevant references.”

Ask for a plan before any edit: which tabs and ranges will be changed, what will be preserved, and how the change can be reversed. Request a proposed correction separately from the observed issue so an explanation is not mistaken for an approved edit.
Run the audit in stages
1. Profile the workbook
Start with structure, not conclusions. Ask ChatGPT to list sheet names, used ranges, header rows, row counts, column types, formulas versus constants, hidden or empty areas it can detect, and any merged or irregular regions. Confirm that the reported range matches what you see in Excel or Sheets. If a sheet is truncated, stop and fix the layout before interpreting findings.
2. Test data quality
Run separate checks for required fields, duplicate keys, invalid categories, date boundaries, numeric parsing and missing values. State whether a blank means “not applicable,” “not yet received” or an error; otherwise the model cannot classify it reliably. Ask it to show sample rows and exact locations for each issue, not just a count.

3. Review formulas and references
Have the model compare formulas across a selected range and explain named formulas, relative and absolute references, cross-sheet links and error values. Ask it to distinguish a formula that differs intentionally from one that is an accidental break in a copied column. For large workbooks, review one logical block at a time and include the expected formula pattern in the prompt.
4. Recompute and reconcile
Request independent calculations for control totals, row counts, subtotals and key ratios. Compare those results with the workbook’s displayed values and with a trusted source export. A difference is a lead, not proof of an error: investigate filters, rounding, time zones, currency conversions and excluded statuses before changing anything.
5. Approve a change plan
For every proposed edit, require the exact range, old and new formula or value, reason, and expected downstream effect. Apply a small batch, save a new version, and ask ChatGPT to list the changed cells. Review that list against the workbook rather than accepting a broad “fixed” message.
Verify findings with Excel’s own controls
Use independent spreadsheet checks after ChatGPT’s pass. In desktop Excel, open Formulas → Formula Auditing → Error Checking. Excel can flag formula error values, inconsistent formulas in a calculated column, formulas that refer to empty cells, unlocked formula cells and some invalid entries in tables. Open Data → Data Validation and inspect the rule, allowed values, input message and error alert for columns that should be constrained.
Recalculate important worksheets and manually recompute a sample of totals from source rows. Check filters, hidden rows, named ranges, external links and the dates or rates used in assumptions. If you chose to ignore a particular Excel error, remember that Excel can suppress that error in future checks until ignored errors are reset.

Microsoft states that these rules are not exhaustive and do not guarantee an error-free worksheet. They are a second layer that checks the actual formulas and validation settings, while ChatGPT is most useful for explaining patterns, surfacing anomalies and helping you decide where to look.

The model reports the wrong values
Image-based tables, merged layouts, blank separators and formulas displayed as values can prevent exact extraction. Upload the native workbook, isolate the rectangular table, and ask for the detected range before requesting conclusions.
A formula explanation is too general
Specify the sheet, cell, adjacent comparison range and expected result. Ask for the formula text and each precedent or dependent reference. If the workbook uses named ranges, provide their definitions.
It proposes broad or unexpected edits
Stop the edit, restore the preserved copy and request a cell-by-cell plan. Limit the next request to one sheet and one range. Apply only approved changes and save a versioned file after each batch.

Macros, VBA or external connections are involved
Do not assume the assistant executed a macro or refreshed a connection. Spreadsheet-native guidance notes that advanced VBA and macros may not be fully supported. Inspect the VBA project, query definitions and refresh settings using the application’s own tools, and document whether data was refreshed before auditing results.

The answer depends on data outside the file
Upload the dated source extract or state that the check is limited to the workbook. A Python-based ChatGPT analysis cannot call an external API to fill missing information.
The feature is unavailable
Check file type, file size, plan, model, region, add-in installation and workspace permissions. If the sidebar is unavailable, export a clean table and use the upload workflow; if upload is blocked by policy, perform the checks locally and use ChatGPT only with an approved, de-identified sample.
Protect confidential workbook data
Before uploading payroll, customer, health, financial or proprietary data, follow your organization’s policy and the current terms for the product and add-in. OpenAI explains that prompts and data are processed to answer requests. Marketplace terms may allow Microsoft to read workbook content, attachments and prompts, and some OpenAI data logs may be retained for 30 days for safety and integrity. Those conditions can change and may differ by account or workspace.
Use the minimum necessary columns, replace direct identifiers with stable test IDs, remove secrets and credentials, and keep a record of who approved the upload. Never place passwords, API keys or connection strings in a prompt or workbook copy.
A repeatable sign-off checklist
- Original workbook is preserved and the audit copy is identified.
- Sheets, ranges, period, units and business rules are explicitly scoped.
- ChatGPT findings include cell or range evidence and stated unknowns.
- Important totals are recomputed from source records.
- Excel formula-error and data-validation checks are completed.
- Macros, external links, hidden rows and assumptions are reviewed separately.
- Every edit has an approved plan, a versioned save and a named reviewer.
Used this way, ChatGPT reduces the time spent locating suspicious cells and explaining complicated formulas. The final decision still belongs to a person who can verify the workbook’s assumptions, source data and business purpose.
