ChatGPT can help you draft cold outreach, but no prompt can guarantee that a message sounds human or earns a reply. The reliable approach is to give it verified context and clear constraints, check the draft for invented details, and rewrite anything you would not naturally say.
What to include in a cold outreach prompt
Give ChatGPT the facts and boundaries it needs to draft—not a vague request to “write a great cold email.” OpenAI recommends clear, specific prompts with enough context and explicit tone guidance. That can steer the wording; it does not verify the claims in the result. OpenAI’s prompt-writing guidance explains this approach.
- Recipient: Their role and organization, using details you have checked.
- Sender and offer: Who you are, your actual relationship to the recipient (if any), and an accurate description of what you provide.
- Reason for writing: One specific, relevant observation about the person or organization, along with its source. Do not ask the model to manufacture personalization.
- Possible relevance: A problem the offer may address, framed as a possibility rather than an assumption about this individual.
- Constraints: Desired length, voice, and a modest next step. Tell the model what to avoid, including fake familiarity and unsupported claims.
OpenAI Academy describes using ChatGPT to draft, polish, and adapt workplace communications. Its example prompt specifies the recipient, topic, tone, concision, subject line, and closing; it does not claim that a prompt makes a message undetectable as AI-written. A reusable prompt for a first-contact email
Replace each bracketed item with real, verified information. If you cannot fill in a detail accurately, leave it out rather than asking ChatGPT to guess.

Help me draft a concise first-contact email to [recipient role] at [organization]. I am [sender and relationship, if any]. We offer [accurate description of product or service]. Write in a [plain, warm, direct] voice, in [word or line limit] words. Avoid generic praise, fake familiarity, clichés, unsupported claims, and invented facts. Do not imply we have met. End with [small, clear next step]. Give me three distinct drafts and briefly identify any sentence that needs fact-checking.
This is a practical synthesis of general prompting advice, not a tested formula or a verbatim OpenAI prompt. Treat the drafts as starting material, not as evidence that a personal detail or product claim is true.

Two ways to use ChatGPT—and the trade-off
ChatGPT can help produce a complete draft or work on smaller pieces. The available guidance supports drafting and polishing as use cases, but does not establish that either workflow gets better results.

How to review and personalize the draft
- Choose one draft or useful fragment. Do not send every generated option or treat fluent writing as proof that the message is ready.
- Verify recipient details. Check that the observation is current, relevant, and actually about this person or organization.
- Check every claim about your offer. Remove benefits, capabilities, results, or guarantees that you cannot substantiate.
- Read it aloud. Replace phrases you would not naturally use. Keep the message concise and the request clear, without pressure or fabricated urgency.
- Review the subject and sending requirements. Make sure the subject accurately reflects the email and check applicable law and company policy before sending.
A useful final test is whether the opening gives a real reason for contacting this person, every personal detail is accurate, and you could comfortably say each sentence aloud. If not, edit or remove it.
U.S. commercial email: the CAN-SPAM baseline
For U.S. readers, cold business outreach can still be commercial email. The FTC says the CAN-SPAM Act is not limited to bulk messages and does not exempt business-to-business email. Its compliance guide lists requirements including accurate header information, non-deceptive subject lines, clear ad identification, a valid postal address, a clear opt-out method, and honoring opt-out requests within 10 business days. It also says responsibility cannot simply be contracted away to a service provider; both the promoted company and the sender may be responsible. This is a U.S. baseline, not a worldwide legal summary. Requirements can depend on the jurisdiction and circumstances, so check local law and your organization’s policies. Do not use ChatGPT to scale spam or deceive recipients: OpenAI’s Usage Policies prohibit using outputs to spam or mislead others.

What a prompt cannot promise
A specific prompt can improve how well a draft follows your directions; it cannot establish that the message is true, make it sound like you without your editing, ensure inbox delivery, or guarantee replies or conversions. The official guidance describes drafting and polishing, not measured reply rates or human judgments of whether an email sounds AI-written. Use the prompt to improve the writing process, then rely on your own fact-checking and judgment.
