Yes. You can use a personal Microsoft account and a work or school account on the same Windows PC, but they remain separate identities: one account does not merge with, replace, or transfer the other account’s Microsoft 365 license. The practical setup depends on which account activates Office, where you want files stored, and whether your organization permits its account on your device.
What “two Microsoft 365 accounts” means
There are four separate things to consider: the account that activates Office, other accounts you add to Microsoft 365 apps, the accounts syncing through OneDrive, and whether the work account is registered with Windows or managed by your organization. These choices can overlap, but adding an account in one place does not automatically do everything in the others.
Microsoft says personal and work or school accounts can be used side by side, but cannot be combined or merged. Microsoft’s account guidance explains the distinction.

Office activation should use the Microsoft account or work or school account associated with the Microsoft 365 subscription or Office purchase. Check the account and product information in an Office app if you are unsure which identity provides the license. Microsoft’s Office activation guidance says to sign in with the account used to buy or subscribe.

Adding a second account to Word, Excel, PowerPoint, or Outlook does not move a license between accounts or create a combined subscription. App access and features still depend on the account’s entitlement and, for a work or school account, the organization’s settings.
How to use both accounts in Office apps
Microsoft 365 apps support multiple-account access for certain uses. You can add the other identity in the app when you need to access its files or services. The available options can vary by app, subscription, and organization policy; Microsoft describes account behavior in About accounts in Office.

Switching between accounts in Office does not normally require signing out. Avoid signing out simply to change which account you are using: Microsoft warns that signing out can remove that account’s Office license from the apps and prevent editing until activation is restored. See What happens when you sign out of Office.
How personal and work OneDrive sync together
OneDrive is separate from Office activation. On Windows, the setup Microsoft documents supports one personal OneDrive account alongside one or more work or school accounts. Their files remain in separate storage locations, shown under separate OneDrive names in File Explorer. You can copy or move files between locations if you have access, but you cannot sync a work or school folder into your personal OneDrive as though both were one account. What to do when Windows asks to add the work account
When you sign in to a work account in an app, Windows may ask whether to add the account to the device. An app-only choice can keep the account scoped to that app. Adding the account to Windows can register the PC with the organization, make device information visible to it, and—depending on the employer’s configuration—allow the device to be managed.
Read the prompt before choosing, and follow your employer’s BYOD rules or ask IT if you are unsure. Microsoft explains the options in its guidance on managing user accounts in Windows and adding a work or school account to a Windows device.

Does a personal Microsoft 365 plan replace a work license?
No general business entitlement follows from having a personal plan. Your work account continues to govern access to work files and services, and organizational controls still apply. Microsoft documents a limited Copilot scenario in which Microsoft 365 Personal, Family, or Premium may be used with accessible work files; an administrator can disable that use. It does not establish that a personal plan replaces a business license or grants broader work access. Details are in Microsoft’s pages on using a personal, Family, or Premium plan at work and Copilot when multiple accounts are added to Microsoft 365 apps.
A practical setup checklist
- Identify the license account: In an Office app, check the account or product information and confirm which identity is associated with the subscription or purchase.
- Add the other identity only where needed: Add it to the relevant Office app or OneDrive rather than signing out of the account that activates Office.
- Keep storage locations distinct: Use the personal OneDrive location for personal files and the work or school location for organization files; move or copy files only when permitted.
- Review the Windows registration prompt: Choose app-only access or device registration based on the wording, your organization’s policy, and IT guidance.
- Check organization-specific access: If an app, feature, or work file is unavailable, confirm your assigned license, permissions, and device requirements with your Microsoft 365 account page or IT administrator.
When Family sharing matters
If your personal subscription is Microsoft 365 Family, Microsoft says family members can install the desktop apps on their devices and describes a limit of five devices signed in at the same time. That Family-specific limit should not be treated as a universal limit for work subscriptions. See Microsoft’s subscription-sharing guidance.
